    Executive Assistant

    Job description

    Key focus of the role:

    • This role provides support for the Chief Marketing Officer of OMEM Marketing and Communications, on key strategic programmes, co-ordinating, reporting, drafting presentations to various stakeholders as well as day to day operational deliverables.
    • The role involves building and maintaining relationships with cross functional stakeholders including senior management and other businesses both within and outside the broader Old Mutual Group. The nature of this position allows for both strategic alignment and operational action and requires a flexible motivated person who is comfortable with ambiguity and high pressure environments. A high level of integrity, maturity and confidentiality is essential when engaging and performing key functions in multiple initiatives. The incumbent is individually accountable for achieving results through own efforts and performing the administrative tasks of the excutive with accuracy, reliability and speed.

    Note: This is not a secretarial / personal assistant role and requires an individual with a relevant postgraduate degree.

    Role Description & Key Result Areas:

    • Administration & Support
    • Performs administrative duties for executive, including presentations, minutes and other tasks.
    • Co-ordinates resources to gather information and may prepare first draft of various reports.
    • Required to respond timeously and professionally to a variety of ad hoc projects, business issues, client requests and stakeholder requests, etc. that impact across the organization.
    • Prepares presentations with little input from senior.
    • Responsible for ensuring relevant matters are included on various forum agendas.
    • Required to investigate and research various ad-hoc business-issues, strategic initiatives and developments.
    • Represents the executive on certain ad hoc projects, meetings and events as required.
    • Relationship Building
    • Builds and maintains relationships with executives, senior management, transformation stakeholders, and EA’s across OMEM.
    • High level of contact with external parties, stakeholders and clients as required.
    • Communication and Engagement
    • Prepares reports and presentations for the CMO.
    • Leads the project management of key events on behalf of the CMO and may host internal guests, e.g. transformation stakeholders, OMEM Exco and Senior Leadership Group.
    • Personal Effectiveness
    • Accountable for service delivery through own efforts.
    • Individually accountable for managing own time, tasks, and output quality.
    • Makes increased contributions by broadening individual skills.
    • Collaborates effectively with others to achieve personal results.

    Qualifications and experience:

    Role Requirements:

    • Postgraduate Financial or Commercial (or any other relevant) degree with 2-5 years working experience (financial services industry would be an advantage).
    • Minimun 2 years experience in a similar role.
    • Experience in stakeholder management and liaising at a Senior Management level.
    • Strong project management skills/ability to see projects completed
    • Proficiency in Word, Excel and PowerPoint.
    • Excellent command of the English language, both in communication ability and in drafting skills.
    • Key behavioral skills and attributes required to fulfill this role:
    • A self starter, showing strong action orientation, with excellent organisational, planning and prioritising skills.
    • Assumes responsibility and accountability for the successful completion of tasks and maintains a high standard of excellence.
    • Excellent communiciation skills (written and verbal).
    • Displays strong attention to detail, high level of accuracy in his/her work and be able to perform under pressure.
    • Solid interpersonal skills, showing an ability to work through influence rather than control; and to be able to interact at all levels and facilitate the delivery of decisions.
    • Strong levels of maturity and ability to handle stress and sensitive interpersonal and other matters if needed.
    • Clear ability to build and maintain relationships and networks.
    • Ability to work both in a team and independently.
    • Be reliable, have integrity and display a professional approach. Maintain confidentiality of all information, both from internal and external sources.

    Additional Details:

    • In addition to knowledge, skills and experience relating to the incumbent’s area of business expertise, emphasis will be placed on planning and organising skills as well as excellence in communication (written and verbal), engagement and interpersonal skills.
    • A broad understanding of our industry, organisation, products, intermediaries and customers will be an advantage.
