    Facilities Manager

    Job description

     JOB SUMMARY

    The Facilities Manager is responsible for managing the operational delivery of cost effective outsourced and facility management services to two of our leading Pharmaceutical clients, according to KPIs and SLAs.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

    • Responsible for the quality, safety, cost and delivery of all in scope services
    • Provide consistently efficient service to the client for the Facilities and Support Services.
    • First escalation point for all issues and incidents across client site
    • Coordinate internal relocations and setting up of meeting rooms.
    • Provide general administrative support and support the Regional Account Manager in the reporting and financial processes.
    • Ensure the Health and Safety requirements and guidelines are observed including risk assessments for both visitors and staff.
    • Responsibility for customer satisfaction for all of the services both soft and technical at the client site.
    • Responsibility for Vendor management of local supply partners at the client site.
    • Performance, contractual and vendor management.
    • Supporting the Regional Account Manager in creating and controlling the budget for the client site.
    • Supporting the Regional Account Manager in developing and overseeing of the KPIs, budgets and deadlines.
    • Focusing site teams on meeting agreed KPIs, budgets and deadlines.
    • Ensure all resources are effectively optimized, costs minimized and profit maximized for any activity under control.
    • Ensure the client sites have fully competent and motivated FM teams.
    • Support the Regional Account Manager in overseeing the introduction or phase-out of buildings occupied by the client.
    • Ensure CBRE effectively manages the client critical assets.
    • Ensure all contract activities comply with all company, legal and client requirements for Health and Safety, Quality Management, environmental policies and general duty of care.
    • Ensure client site has a Safety system in place and that it is audited for compliance.
    • Investigate, plan and make recommendations to the Regional Account Manager to implement best practice and forward thinking strategy on the client site.
    • Act as a contact point for all the Helpdesk work orders raised for client site.
    • Control FM budgets and yearly service costs for the client site. Ensure purchasing and payment approval processes are properly organized within the dedicated on-line platform/application.
    • Ensure the client on-line workplace management database is up to date and that quality audits related to workplace management are performed on regular basis.  
    • Support engineering team in all the activities related to Maintenance services provided for the client.
    • Support and manage FM projects for the client site.

    ESSENTIAL SKILLS include the following:

    • Distinctively skilled in outsourced service solutions to international clients.
    • Experienced in the identification and realization of business growth opportunities
    • Strong business acumen
    • Experience of managing staff and the provision of services within a client environment
    • Experience of managing maintenance and technical services related to critical assets and environment
    • Experience of managing engineering projects
    • Experience of managing budgets and sub-contractors
    • Advanced computer skills, particularly with the MS Office package

    EDUCATION and EXPERIENCE

    • A qualification in a facilities/technical based discipline and experience of sub-contractor supervision.

    • 3 years in a similar position.

    CERTIFICATES and/or LICENSES
    • Must have a full driving license
    COMMUNICATION SKILLS
    • Ability to comprehend, analyse and interpret complex business documents.

    • Ability to respond effectively to highly sensitive issues.

    • Ability to write reports and articles in a clear and concise style.

    • Ability to motivate and negotiate effectively with key employees, vendors, management, and client groups to take desired action.

    • Excellent knowledge in oral and written English

                                 

    FINANCIAL KNOWLEDGE

    A practical working knowledge of financial terms and principles. An ability to review and analyse complex financial data and business reports and to develop innovative solutions, as well as experience in conducting analysis/due diligence in terms of contract negotiation

    REASONING ABILITY
    • Demonstrate an ability to solve complex problems and deliver a variety of options in complex situations.

    • Requires a sound level of analytical and quantitative skills

    • Ability to prepare required reports and support of the Account Management and the CBRE Finance team in relation to service level agreements for both client and sub-contractors

    • Good understanding of the importance of cost savings and sustainability in business

    • Previous experience in similar role

    SCOPE OF RESPONSIBILITY

    Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve complex results. Responsible for setting team deadlines.
