    Office Manager/HR Assistant

    Position

    • Due to the expansion of its international and domestic business Neoflex is looking for an Office administrator/HR assistant based at our Johannesburg office.

    Job Description

    • The duties involve a wide range of support activities inside Neoflex global company and its South Africa branch in Johannesburg in particular, from supporting office infrastructure and maintenance, handling all office administrative functions, assisting Regional Director in the general management domain, and coordinating meetings to maintaining our employee data to posting job ads.
    • An important part of your role will be to act as the liaison between Regional Director, HQ HR team and employees, ensuring smooth communication and prompt resolution of requests and questions. You will also assist in creating policies, processes and documents.

    Key responsibilities

    • Assist Regional Director with management of administrative staff and subcontractors (accounting, legal, office management, etc.);
    • Coordination of day-to-day communications with headquarters office;
    • Management of the local office housekeeping;
    • Management of local procurement;
    • Assistance with the recruitment of the local personnel (IT consultants).
    • Assist with day-to-day operations of the HR functions and duties with focus on maintaining a smooth employee’s onboarding process.
    • Conduct initial orientation to newly hired employees.
    • Compile and update employee records (hard and soft copies).
    • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.).
    • Deal with employee requests regarding human resources issues, rules, and regulations.
    • Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc.).
    • Communicate with public services when necessary.
    • Properly handle complaints and grievance procedures.
    • Coordinate communication with candidates and schedule interviews.
    • Assist our global recruiters to source candidates and update our database.
    • Provide any other Regional Director/Office Leader Head and HR Director tasks related to HR support.
       

    What we expect from successful candidate

    • Excellent organization ability.
    • Ability to build and maintain positive relationships with colleagues.
    • Competency in Microsoft applications including Word, Excel, and Outlook, experience with any HR-related software will be a plus.
    • Well-developed written and verbal communication skills.
    • Administrative or/and HR-related degree, experience in human resources or related field and some experience in our industry will be an advantage.
    • Positive attitude, creativity, integrity, personal maturity, readiness to deal with challenges.
    • To be able to work autonomously and remain calm under pressure.
    • Strong interpersonal skills; ability to navigate through any communication/language gaps or barriers; work productively and professionally with any level of business resources.
    • Following and managing training sessions.
    • Assist Regional Director in the general management and admin domain.
    • Assist HR Managers in the whole recruitment lifecycle.
    • The ability to express his thoughts clearly.
