    Centre Lease Administrator - Mall of Africa (6 months contract)

    The Job

    • The purpose of the Lease Administrator is to provide Leasing support to a specific Centre. The production of accurate tenant transaction ledger is a key focus area for this role.

    Qualification

    • Matric
    • Qualification in Finance (Advantage)

    Experience 

    • 3-5 Years’ experience in a similar role within a property environment.

    Responsibilities

    Leasing Administration

    • Ensures accurate tenant statements by coordinating the on boarding of tenants inline with internal processes and regulatory requirements.
    • Monitors and maintains standard, procedure and policies to lease administration and capturing thereof onto the accounting system.
    • Monitors the lease tracking register for the building.
    • Compiles offer to lease documentation and monitors timelines accordingly.
    • Manage tenant profiles on the accounting system.
    • Performs credit checks on the tenants, directors and shareholders.
    • Responsible to obtain all FICA and Financial documents related to:
    1. Offer to Lease
    2. Lease Agreement
    3. Cessions/Addendums
    • Compile surety review document for submission to the Centre Financial Manager (complete Annexure B and D)
    • Responsible for all Parking:
    1. Leases, long term as well as month to month lease agreements
    2. Allocation of parking bays
    3. Notify Parking office of any new and or cancellation of parking.

    Ensures accurate reconciliation of access cards for parking (Plastic tickets).

    • Inspect and reconcile monthly rent rolls and reports from the computer system and verifies the status of the accounts.

    Centre Weekend Duties

    • Successful execution of weekend duties.
    • Responsible for weekend duties as agreed with General Manager (GM) and Leasing Manager.

    Tenant deposit maintenance

    • Administers and maintains accurate tenant deposits.
    • Keeps record of all tenant deposits as well as ensure tenant deposit refunds are accurate.
    • Keeps accurate record of tenant deposits including deposits that needs to be used for reinstatement.
    • Ensure that any deposit outstanding is called up in advance for repayment to the tenant.
    • Ensure the tenant deposit amount in the accounting records corresponds to the lease agreement.

    Reporting

    • Extracts and provides timeous business reports.
    • Provides support to Leasing Manager to ensure accurate reporting.
    • Provides the following reports for the monthly management packs:

    Building Lease Profile

    Lease Expiring Reports 

    Tenant Transaction Detail Ledger

    • Administers the accounting function with regards to debtors
    • Responsible for downloading and uploading the tenant transaction detailed ledger, including:
    1. Control and reconcile production of monthly rent roll.
    2. Generate monthly rent calculations.
    3. Process debtors’ journals as received from Leasing Manager.
    • Generate and process the pre statement run.

    Risk Management

    • Identifies and manages business risk.
    • Ensures compliance with relevant Acts.
    • Controls, manages and governs the processes and systems within area of accountability to ensure compliance and minimise the business risk.
    • Implements all audit recommendations in area of accountability and resolve audit findings timeously.
    • Design, approval, implement and maintenance of policies within area of responsibility.

    Self Development

    • Participates in training and development initiatives in line with personal development plans.
    • Identifies training / development needs and pro-actively selects effective solutions to address development gaps within the team and staff reporting to him/her
    • Ensures that a personal development plan is developed and implemented
