    Events Producer


    Assist Event Directors with the delivery for exhibitions for the company as well as working closely on a strategic level with the Operations Director and Event Manager to ensure smooth delivery of all events so that any risks and opportunities are fully managed.


    Key Requirements:

    •  Fluent in English & French (verbal & written)
    •  Valid South African work permit
    •  Tertiary qualification in Events Management (degree or diploma level)
    •  Minimum of 3 years previous experience is a similar operations role within the events/exhibition industry
    •  Proven experience in budget management and cost control
    •  Must currently be residing in Cape Town


    Key Responsibilities:

    •  To manage the operational delivery of a number of events from conception to completion on events allocated to him/her
    •  Staff Resourcing for on-site for all applicable shows managed by him/her
    •  Staff travel arrangements for on-site at all events across the portfolio including: visa applications, flights, hotel bookings and travel allowance allocation
    •  Meet weekly with senior operations manager to report operations budget applicable to him/her, future planning, forecasting and maintain event financial margin on all events Understand the portfolio’s strategy ensuring they achieve their goals where Operations is concerned with the operations team
    •  Where necessary work closely with the Venues Manager to ensure all venues are sourced in timely manner and are up to portfolios expectation and budget and report back on Venues Manager progress when needed
    •  Manage contractors and suppliers including sourcing and appointing new contractors alongside the senior operations manager
    •  Contract negotiation with venues and suppliers
    •  Manage all additional/exhibitor orders with the venue and the exhibitor and in turn with finance/payments
    •  Able to identify and assist management with improvement and implementation of best practice
    •  Demonstrate clear and effective communication of milestones and reporting
    •  Compile an exhibitor communications plan across all the shows that he/she is allocated to
    •  Manage exhibitor lists with sales team on a weekly basis
    •  Call and manage exhibitor expectations as well as meet the deadlines of the ops and marketing communications plan
    •  Liaising with the whole team including production, marketing, sales and finance to ensure maximum awareness of all conference elements
    •  Accurate and timely communication of cash flow for all operations costs on the management of his/her show
    •  Upselling of exhibitors on signage, awards seats, meeting rooms and side events
    •  Deliver sponsor and exhibitor benefits and fulfillment of all packages as sold by the portfolios
    •  Production and timely communication of correct and detailed technical information forexhibitors
    •  Ensuring methodical filing and record keeping
    •  Responding to requests from sponsors and exhibitors pre-event and onsite.
    •  Managing appropriate staffing levels during the event and at other busy times
    •  Consideration of health, safety and environmental issues and decisions
    •  Post show evaluation and reporting
    •  Closing off on invoices of all shows post event
    •  Attend training courses as directed by Line Manager
    •  At all times representing Africa Oil & Power in a professional manner
