    Human Resources Lead

    Job description

    Responsibilities
      • Ensure the company’s HR related policies and procedures are updated and aligned with market best practices.
      • Initiate and update the Standard Operating Procedures in line with ThoughtWorks policies.
      • Maintain and prepare employment files for all staff in the SA office to ensure accurate and essential information of employees is recorded.
      • Develop, implement and maintain HR record system (manual and/or computerised).
      • Oversee leave administration to ensure all transactions are captured accurately for audit purposes.
      • Prepare and update personnel information form annually to ensure compliance with all company policies and procedures.
      • Prepare all relevant documentation to be captured for payroll purposes.
      • Orient employees to the ThoughtWorks environment in relation to the HR processes and procedures and office arrangements.
      • Liaise with all benefit administrators and consultants to ensure all information is up to date and be knowledgeable in the matters.
      • Engage with staff, industry players and employee benefits companies.
    General HR programmes and correspondence
      • Ensure compliance with all relevant SA laws, regulations, Acts, and legislation (e.g. LR Act, BCEA, Employment Equity Act, COIDA, SDA, SDLA etc).
      • Ensure appropriate HR policies, procedures and practices are in place and manage such policies, procedures and practices.
    Oversee Skills Development And Employment Equity Programmes
      • Ensure that all related requirements of the legislation are in place.
      • Liaise with management on aspects of skills development and employment equity.
      • Represent ThoughtWorks for Employment Equity and Skills development.
      • Company’s Skills Development Facilitator for SETA liaison.
      • Employment Equity manager for the company.
      • Diversity: You will be a champion for diversity within ThoughtWorks and the wider world of technology. You are responsible for creating a positive work environment, on local projects and in the office, to support this aim.
      • Implement the transformation agenda including all elements of the BBBEE scorecard and the annual BBBEE review.
      • Responsible for all disciplinary and grievance procedures
      • Advise and guide management on any disciplinary and grievance related issues.
      • Minute and distribute minutes of the disciplinary and grievance enquiries while ensuring compliance with lawful processes.
      • Promote well-being of all staff within ThoughtWorks.
      • Drive and ensure effective employee wellness initiatives are accessible and used by employees
      • Coordinate and manage professional well-being services provided by external service providers.
      • Management Consultation to assist with employees having job performance, conduct and attendance problems.
      • Program utilisation reporting.
      • Coordinate environment, health and safety initiatives and ensure compliance to the legislative requirement.
    Effective Employee Relations through sound ER/IR practices and communication structures
      • Ensure that company and divisional policies and guidelines are communicated and implement company wide.
      • Provide support, council and advise to line management and staff to comply with employment relations procedures and systems.
      • Advise line management on proactive tactics and strategies to avoid industrial action or reduce potential problems.
      • Negotiate recognition agreements, maternity agreements and so forth in conjunction with the relevant Management team.
      • Liaise with other HR Managers and professional institutions and update line management regarding potential problems and new developments.
      • Advise line management on disciplinary matters, grievance handling and dispute settlements.
      • Liaise with General Manager on IR matters.
      • Train all line managers on IR/ER processes to ensure all disciplinary and grievance matters are managed consistently.
      • Remuneration, job evaluation processes and performance management
      • Review and develop job profiles.
      • Oversee job evaluation meetings and processes where necessary.
      • Conduct salary benchmarks and assist with positioning of employees.
      • Recommend salaries for new and promoted employees to ensure internal equity and external competitiveness.
      • Prepare HR statistics report for ThoughtWorks General Manager
      • To have accurate employee related information for management.
      • To ensure that jobs are correctly evaluated and that employees are remunerated in line with external and internal guidelines.
      • Ensure the People-Soft database provides the required information timeously and accurately.
      • Consultant career and professional development: From group and individual training needs, to conference attendance and leadership development assessment, succession planning and coaching, you will work with the consultants and the local business to ensure that our people are developing as consultants and practitioners. This will require you to be a hands-on coach and mentor to our consultants. You take responsibility for making sure that our people have the professional tools to do their jobs effectively.
      • Project Success: You will spend time with the teams on projects, working with the Project Leaders to manage performance issues, coaching the consultants around becoming better ThoughtWorkers and are responsible for ensuring that we have high performing teams. This may include team dynamics work and delivering feedback/conflict resolution training.
    Global Mobility
      • Consult with managers and assignees on assignment packages, immigration and HR policy issues.
      • Prepare and run client review meetings at a regional or global mobility management level.
      • Maintain all data management to ensure that effective, valid data is produced for client and internal use.
      • Manage the human resource aspects of inter-company mobility.
      • Act as the point of contact for all inbound and outbound moves to and from South Africa and other locations.
    People Planning
      • You will collaborate with resource management to unite the BU’s long- term strategic people planning, employee’s career aspirations, and current people needs.
    Payroll Management for the ThoughtWorks Pan Africa Offices
      • Manage and provide payroll support on items related to, but not limited to:
      • Payroll processing, payroll customer service, answering questions related to payroll issues, researching invoice issues, checking issues and other tasks related to payroll duties and entries.
      • Oversee preparation of payroll tax reports, including quarterly and year-end returns.
      • Oversee and manage payment of various benefit schemes.
      • Manage and review payroll duties.
      • Handle statutory audits.
    Qualifications And Experience
      • Three year Bachelor degree in HR Management/ Industrial Psychology.
      • 5 years in an HR administrative function.
      • Knowledge of Employee relations and labour legislation.
      • Payroll management skills.
      • An efficient individual who pays a high attention to detail.
      • Able to handle large volumes of work with multiple interfaces while consistently meeting deadlines.
      • Ability and willingness to both give and receive direct feedback from superiors and/or other team members.
      • Excellent communication skills.
      • The role involves extensive communication with people all over the world, an ability to interact with people from different cultures and time-zones using all sorts of different methods, like email, IM, telephone, face to face and video-conferencing is critical.

Once that’s done though, you’ll be comfortable getting on and working pretty autonomously. We’re a low-hierarchy, business. This means no cubicles, no private offices and no-org charts.
