    Senior Administrator

    To assume the role of effective and efficient administration related to the allocation, checking and processing of transfers in, transfers out and other functions surrounding the operation of Section 14’s.

    Minimum Requirements...

    Formal Qualifications:

    • Grade 12 (Matric)
    • Having achieved or studying towards a retirement ,pension fund qualification or equivalent qualification

    Key Performance Areas

    Financial Management & Operational Effectiveness:

    • Maintaining expenses in line with Branch standards and limits
    • Maintaining & managing Section 14 transfers
    • Eliminating PI Claims-ensure that all allocations are done correctly and accurate information provided on request. Ensure accurate execution of all tasks within “role specific below” and within SLA and agreed standards
    • Fund administration (where applicable) (non pensioners)

    Embracing & Implementing TCF

    • Ensures that TCF is understood and practiced by the people reporting to Line Manager
    • Draws on TCF management information (and potentially contributes towards the input thereof) to monitor progress in TCF and address short-comings relevant to his/her area with urgency. (General Staff)
    • Keeps abreast of latest TCF information and guidelines as from time to time (General Staff)

    Client Service

    • Ensure effective and efficient service delivery incl. both Internal and external clients
    • Ensure quality and accuracy of work delivered both verbally and written, meets both internal and external customer expectations and is complete without error.
    • In this service orientated business, clear and precise communicating is required, while building and strengthening relationships, upward, downwards and laterally with internal and external Clients.
    • The image of Alexander Forbes Operation & Administration must be maintained and improved by providing prompt, polite and efficient service .

    Role Specific

    • Process Section 14 transfer in allocations for AFRF, AF Access, Finsolnet, AF Unclaimed Benefit Preservation Funds and AF Coreplan portfolio of pension and provident funds
    • Process Section 14 transfer outs for AFRF, AF Access, Finsolnet, AF Unclaimed Benefit Preservation Funds and AF Coreplan portfolio of pension and/or provident funds
    • Confirm active membership for transfers in prior to application of Section 14
    • Prepare Section 14 transfer out data.
    • Receiving Fund bank details to be provided to the Transferor funds with 2 working days of having received the FSB approval.
    • Manage and maintain team mailboxes and folders within the mailboxes. Attend to daily queries within turnaround time of 24 or 48hours, as per the agreed SLA.
    • Daily identification of unprocessed deposits, providing accurate comments and timeous feedback.
    • Perform General administrative duties that may arise from time to time eg. faxing and filing
    • Ensure transfer values and schedule is received within 60 days after approval has been received,
    • Follow up with transferor fund regarding outstanding information and assets weekly
    • Ensure transfer values and schedule is provided within 60 days after approval has been received in respect of transfers out. The final schedule must be provided to the Transferor Fund within 3 days after the payment has been finalised.
    • Update transfer in and internal transfer out control ongoing
    • Update the workflow system-Tracker ongoing accurately
    • Allocate transfer values within the service level agreement of 5 days agreed standard, ensuring that the correct values have been allocated to the respective members for whom the benefits are due, and that the correct investment portfolios have been used.
    • Prepare Transfer Statements and send to the Consultant or Client within 7 working days of the transfer being processed.
    • Preparation of year end transfer controls by the agreed audit dates, and attending to audit queries timeously.
    • Checking of Transfers and Statements in accordance with relevant procedures and current business practice, within the agreed SLA.
    • Ensure that timeous and accurate updates on the Closing down funds controls.
    • Funds are to be closed as a priority, with the necessary follow ups and accurate stats provided to management.
    • Provide feedback to individuals and management to identify root causes of errors.
    • Error rates are closely monitored and the relevant action will be taken where necessary.
    • Clearly communication via emails and in discussions with management and clients.
    • Professional telephone communication, effectively attending to queries raised.
    • Assist Team Leader to compile and distribute daily /weekly / monthly management reports / control tools.
    • Managing and controlling central e mail inboxes.
    • Training and development of colleagues.
    • Team work. Assisting with colleagues portfolios whilst a colleague is on leave.

    Role Specific

    • Process monthly bills (reconciliations) – portfolio of pension and provident funds
    • Ensure contributions are received by the 7th of the month and schedules by the 15th of the month
    • Allocate contributions within the service level agreement of 5 days agreed standard

    Section 13 A Reporting

    • Allocate late payment interest within 5 days agreed standard
    • Load new entrants and make necessary changes to member records
    • Set up switches between investment portfolios.
    • Prepare of monthly admin reports to the Consultants within agreed standards,
    • Prepare benefit statement, preparation of printing and send out to clients within agreed standards
    • Generate, or Clear and report prepare Monthly reports of the holding account.
    • Liaise with members, employers and brokers (verbal and written)
    • Follow up with employers and or members and Brokers / Consultants regarding outstanding information
    • Liaise with consultants regarding fund rules the Fund
    • Perform General administrative duties that may arise from time to time eg. faxing and filing
    • Daily identification allocation of unprocessed deposits within agreed standards

    Monthly Process

    • Depending on clients – stats Reporting to client need to be done monthly to agreed standards after the bill is processed..
    • Attend to daily queries within turnaround time of 24 48hours, and ensure that all narratives are up to date and accurate
    • From time to time, you may be required to perform other related duties and functions that may be reasonably expected of you given your position and the operational requirements of the Company.
