    Property Manager

    Job Summary

    The basic objective of a Property is to effectively manage all elements of the Properties including but not limited to day to day running of the property facilities, maintenance activities, marketing and promotions, establishing and managing the relationship with tenants, ensure full occupancy and other activities in order to maximise intrinsic value and returns of the property.

    Responsibilities

    Property Management Including Operation/ & Finance

    • Optimization of the property portfolio composition by driving and providing strategic input towards the maintenance, refurbishment or redevelopment of properties under management;
    • Assist in the strategic planning and management of the total property portfolio /Number of property by providing input into the short and medium term objectives, in order to achieve the ideal portfolio structure, composition, size and performance;
    • Contribute and assist in the computation of monthly valuations related to the direct property portfolio;
    • Establish and maintain positive relationships with key role players in the property industry i.e. developers, brokers and tenants.
    • Develop Property Management plan incorporating all Oasis properties aligned with Oasis organizational strategy;
    • Liaise with maintenance managers for minor and major building works;
    • Develop and implement Oasis property / building standards associated with “look and feel” of buildings such as, amongst others, signage, use of posters, ablution facilities, offices, laboratories and parking;
    • Ensure that Oasis properties comply to Safety, Health and Environmental policies and regulations;
    • Ensure that Oasis property align to green buildings guidelines and requirements in line with sustainable development initiatives;
    • Perform strategic financial analysis to understand capital and operating expenses for the property portfolio;
    • Draft annual rental and recoveries budgets and forecasting, as well as plan, manage and control operating expenditures for the property portfolio;
    • Co-ordinate monthly rental billing with finance department and assist with preparation of the monthly and ad hoc reports;
    • Conduct market research and benchmarking exercises, analyses market information market trends, operational costs and recommend annual rent increases to management;
    • Manage and administer Oasis properties space management, lease management, internal client’s space management and recoveries as well as estates management;
    • Initiate any upgrades of Oasis properties and accommodation in line with facilities management plan, organisational requirements and best practices;
    • Manage a comprehensive property database including all records, drawings, designs, historic transactions and agreements;
    • Identify and ensure control of risk associated with Oasis properties;
    • Conduct site visits on the entire properties portfolio and flag property related concerns and/or log calls with the relevant departments.

    Leasing:

    • Devise property leasing strategy to ensure that all properties are fully let at market related rentals;
    • Ensure that the leases protect the landlord at all times and the landlord obligation must be kept at the minimum;
    • Conduct a due diligence on all properties;
    • Negotiate the best possible lease terms;
    • Maintain a schedule of all renewal and expiry dates;
    • Show vacant stores/Properties to prospective tenants. Inspect and report when tenants vacate and return keys. Hang up window wrap;
    •  Interpret and maintain all leases with the assistance of the Head of Property;
    • Prepare all tenant and service provider correspondence for review and signoff;
    • Collate and deliver rent statement to tenant, proof of delivery pasted into the delivery book – Daily and monthly procedures;
    • Communicate all property and operating expenses with property finance team
    • Coordinate with the municipalities for payments and reconciliation of accounts
    • Prepare daily, weekly and monthly property performance and operational reports
    • Attend regular site visits of all properties;
    • Managing tenant’s recoveries and taking necessary action to recover past due debts;
    • Collect all turnover figures by stipulated date. This function is done telephonically by letter and email;
    • Maintain correspondence file with the Trustees of OCPFM;
    • Assist with marketing activities being held at the properties;
    • Accurate completion of all lease applications, including performing credit and background verification and notifying prospective residents of results; 
    • Assist with Property Development and ensure success of the complex;
    • Act as a liaison between tenants, landlords, and owners regarding prospective tenants, agreements repairs and tenancy termination;
    • To maintain a high professional and ethical profile in accordance with the industry and company standards;
    • Accurately complete all necessary documentation associated with leasing and managing properties, including the preparation of rental board documents, inspection reports, typing of leases, generation and distribution of monthly owner statements and maintenance of key registers for our group and company properties;

    Property Development:

    • Liaison with City of and other governmental officials, including organizing and attending meetings as required to resolve outstanding matters. Follows through with all pertinent parties to ensure that appropriate action on pending matters is done as required.
    • Assist in the coordination of zoning matters with appropriate consultants, legal and governmental bodies.
    • Ensures all plans and required submittals are processed with the appropriate government body and follows through to obtain approvals as required. Track progress of these submittals to Coordinates, schedules and attends architectural design/schedule matters and follows through to ensure required action is done as required.
    • Coordinate environmental reviews and remediation efforts on various development projects.
    • Coordinates land maintenance activities.

    Maintenance

    • Plan, organize and supervise maintenance and repairs of all oasis properties;
    • Prepare daily, weekly and monthly work maintenance schedules;
    • Makes periodic inspections of assigned facilities to determine condition;
    • Compiled snag lists on houses for repair and maintenance purposes;
    • Assist with Property Development and ensure success of the project;
    • Responsible for arranging maintenance and repairs to properties which are to be carried out expeditiously, economically and to an acceptable standard;
    • Act as a liaison between tenants, landlords, and owners regarding prospective tenants, agreements repairs and tenancy termination;
    • To maintain a high professional and ethical profile in accordance with the industry and company standards;
    • Responsible for arranging maintenance and repairs to properties which are to be carried out expeditiously, economically and to an acceptable standard;
    • Performs complex repair and maintenance tasks;
    • supervises a staff of skilled and semi-skilled workers in such maintenance duties as painting, carpentry, masonry, cement work, and general upkeep involving structures, furnishings, equipment, floor coverings, acoustical ceiling, plumbing, heating, air conditioning, electrical, and related systems; trains, instructs, and assigns subordinates, and inspects completed work;
    • Trains and evaluates staff; maintains time and cost records; schedules vacation, relief, and emergency coverage;
    • Ensuring that safety standards and regulations are observed.

    Health And Safety

    • Conduct regular audits and ensure that all non-compliance items are resolved as quickly as possible.
    • Convene and chair monthly Health & Safety Meetings.
    • Ensure all involved parties and stakeholders are regularly informed of updated processes/changes, i.e. emergency services, security, elected emergency staff and resident volunteers, etc.
    • Manage Security Contractors and check reporting systems, implement and continually update the Security Operating Plan for the property.

    Reporting:

    • Reporting: Prepare daily, weekly, bi – weekly and monthly reports
