    Studio Traffic Manager

    Job description

    Key accountabilities include:

    Scheduling/Traffic

    • Manage the project schedule. Communicate what work needs to be performed, which resources will perform the work and the timeframes in which that work needs to be performed.
    • Project manage each job thereby ensuring smooth workflow within the Studio. Supervising, coordinating and ensuring that all aspects of the project management (from initiation to release) are executed on a timely and orderly manner. An canditate with Agile Project management experience would fit right in.
    • Lead daily stand up meetings and collaborate with managers to assign and maintain project status.
    • Work closely with the studio’s creative leadership to balance workloads and establish appropriate timelines on projects.
    • Improve the traffic system and project management process, keeping the parts that work well and suggesting ways to do it better.

    Finances

    • Managing various studio budgets, such as expenditure for equipment, stationery, food and entertainment.
    • Monthly cashflow and forecasting (alongside Director).
    • Drafting fee proposals and invoicing.
    • Followup and chase payments.
    • Payroll (in accordance with accountant).
    • Debit and Credit management.

    Office Management

    • Studio admin responsibilities.
    • Responsible for making sure the studio has the right supplies in place, office equipment is operational (including IT equipment), and the office is clean and ready for use.
    • Manage the relationship with vendors regarding office maintenance.

    General

    • Provides general admin support to director (diary management, travels).
    • Coordinate meetings (agenda, notes)
    • Acts as first point of contact for visitors visiting studio.
    • In charge of office cultural events (employee appreciation days, holiday parties, happy hours, etc.).

    Requirements

    • Minimum 1-3 years of Traffic / Project Manager experience.
    • Understanding of SCRUM.
    • Must have the ability to create schedules and prioritize workload.
    • Detail-oriented and able to multitask and prioritize requests from team members. Well organized, with an interest in promoting process improvements.
    • Ability to maintain a cool head under pressure, to adjust to constant changes and to handle multiple tasks.
    • Proactive problem-solver with strong communication and writing skills.
    • Energetic, motivated and positive team player who enjoys working across various teams.
    • High proficiency in MS applications. Knowledge of Sage Pastel online and an Agile program will be a bonus.
