    Secretary Human Resources

    Job description

    Applications are invited for the above mentioned position in the Head Office Human Resources Department based at Libertas Parva in Stellenbosch. The successful applicant will report to the Group Manager: Compensation & Benefits.

    Purpose Of The Role

    To provide world class quality administrative support, as well as ensuring the smooth operation of the department.

    Key Performance Areas would include, but are not limited to:

    • Secretarial duties including stationery, office equipment, typing, filing, diary management, tea/coffee arrangements, scheduling of meetings, answering of telephone and taking messages for team if needed.
    • Assist with ad-hoc duties
    • Preparation of professional presentations
    • Liaise with and support team with business related travel arrangements
    • Plan, organise and manage events.& new employees on-boarding arrangements
    • Arranging of various functions/events such as team conferences, workshops and/or meetings.
    • Create T numbers for training events for department
    • Create purchase requisitions and purchase orders
    • Ensure timeous payment of invoices
    • Responsible for vendor applications
    • Assist with Brand crafters workflows (HR policies/ procedures)
    • Assist with Recruitment requirements (Interview guides, printing of CV’s, adverts, arrangements of assessments etc)
    • Assist with the Job Evaluation admin process (Following up on documentation, compiling agenda, minutes, etc.)

    The successful candidate must have the following qualification, skills and experience:

    • Matric plus an admin/secretarial or relevant qualification.
    • Minimum of 3-5 years proven secretarial/ admin experience within a similar environment.
    • Strong administrative, organizing and numerical skills.
    • Computer literate in MS Office Suite and SAP experience will be advantageous.
    • Provide a high standard of customer service to all internal, external customers and work partners
    • Excellent interpersonal and communication skills (verbal and written).
    • Maintain a high level of confidentiality and professional demeanor
    • Must be able to work independently, accurately and under pressure.
    • High attention and adherence to detail.
    • The ability to multi-task.
    • A self-driven, pro- active and motivated person with an open mind and a positive work ethic.
