    Office Coordinator

    Job description

    Our Durban Office in the Westville Area has a vacancy for an Office Co-ordinator.

    As the first point of contact for the company, you will be required to be professional, friendly, confident, well- groomed and well presented. This role requires you to be proactive and able to drive a task from commencement to completion. It is vital that you are punctual, reliable and work with a high level of accuracy. Planning and organization skills as well as problem solving and decision making is important to be effective in your role and to ensure smooth running of the Durban Sales Office in Westville.

    Job Description:

    • Managing the front desk and switchboard
    • Screening incoming sales calls in order to allocate to the correct key account manager
    • Arranging appointments and meetings
    • Maintain office efficiency
    • Welcoming guests and arranging beverages for visitors/guests
    • Design, manage and maintain a filing system
    • Assist with travel bookings, including flights, accommodation, visas etc.
    • Managing complaints, queries and correspondence and escalate to management where needed
    • Liaising with staff, suppliers and if necessary, clients
    • Ordering stationery and office goods whilst being consistent with the budget and remaining cognisant of cash flow
    • Recording office expenditure and maintaining the office budget, with a goal to always remain below budget
    • Preparing letters, presentations and reports
    • Implementing and maintaining procedures/office administrative systems
    • Ensuring the necessary requirements are met for new employees i.e. (IT, Equipment, Stationery, Work Stations)
    • First point of call for all IT matters
    • Communicate with clients using clear and concise language applying email etiquette at all times.
    • General administration, sales team support and internal sales
    • Performing PA duties to the Durban Branch Manager
    • Assist with health and safety policies and procedures
    • Excellent work and time management
    • Ensure a high quality of work at all times and complete all task timeously
