    Personal Assistant

    Job description

    About the Role

    We are looking for a matured and experienced Personal Assistant to provide Admin Assistance to the Senior Manager responsible for the Bonitas Call Centre & Back Office area who will ensure that the administrative burden placed on management is alleviated through preparation and checking of documentation that needs to be signed and approved, taking of minutes, diary management, and the management of travel and accommodation requirements. Effective liaison with stakeholders at various levels, finalise documentation and meeting logistic arrangements.

    Experience:

    1  2 years personal assistant experience.

    Qualifications:

    Matric, secretarial diploma advantageous and related experience

    What you will do:

    • Client service delivery and quality:
      • Follow procedures and cooperate with peers and leader for best possible service delivery
    • Compliance and Risk Management:
      • Defined legal, statutory and regulatory compliance is maintained at the required standards
      • Operational risk and governance structures, measures and frameworks are complied with and necessary action is taken to address issues, when necessary

      • Contribute to cost savings within the department to assist with financial goals and targets

      • Meet delivery objectives through working with other team members within and linked to the department / project
      • Resolve operational performance variations and problems and escalate unresolved issues to higher levels

    Position Specific Outputs

    • Recording and distribution of minutes of meetings professionally and accurately.
    • Timeous distribution of action items and proactive follow on issues where applicable
    • Update on escalated queries must be provided within 24 hours and daily where the query would take a while to resolve
    • Prepare and process Purchase orders, Invoices, Stationery, Management and Staff Expense Claims, Gift/Staff Welfare requests.
    • Arrange travel, accommodation and departmental logistics according to the group's travel policy. Necessary leadtime should be taken into account i.e. booking, approval, confirmation etc.
    • Diary management, manage and follow up on all incoming emails and written correspondence, compile and disseminate relevant communication, plan, organize and control daytoday administration of SM's office Meetings, event coordination, workshops, , teambuilding etc.
    • Always establish purpose of the meeting before accepting and make available readup material to assist the SM to prepare for the meeting
    • Collate and compile various reports which includes deadline management, formatting and collation
