    Head of Financial Shared Services

    Job Purpose

    • Creating a Finance Shared Service strategy together with the Finance Director and the CFO Lead the financial shared services teams to operate effectively, while driving performance aligned with strategy in action and supporting the broader team in meeting business goals.

    Key Responsibilities

    Strategic and Technical Contribution

    • Participate in the formulation and implementation of the Finance strategy, based on a 2 to 5-year view of requirements.
    • Provide strategic input to business goals.
    • Ensure that assigned and agreed strategic targets are operationalized and achieved.
    • Define and agree Service Level Agreements (SLA’s) with all internal customers, including KPI’s and manage performance.
    • Ensure that the shared service activities are performed in a robust financial control environment.
    • Plan and develop best practices, systems, processes, and procedures to enable continued improvement that meets the needs in times of change.
    • Participate in ERP steering committees to ensure alignment and practical achievement of project goals.
    • Ensure adherence to Corporate Policy and Internal Control procedures for Accounts Payable, accounts receivables and Fixed Assets and GL.
    • Develop and maintain key relationships with key customers – internal and external.
    • Focus on customer service and satisfaction, including regularly publishing metrics such as quality, controls, performance improvement insights, and engage with stakeholders regularly.

    Financial Accounting

    • Oversee and manage IFRS compliance.
    • Ensure that the Accounts Payable, accounts receivables and Fixed Assets, and GL. Functions are maintained according to policy and IFRS.
    • Ensure that monthly general ledger reconciliations are completed and reconciling items resolved.
    • Ensure that the monthly close-off of accounts fairly reflects the monthly results of the organization.
    • Perform the functions associated with being a bank signatory.

    Creditor Management

    • Oversee the management of all creditors including stock and nonstock.
    • Ensure all supplier accounts are reconciled and paid according to terms and agreed pricing conditions.
    • Drive analytics to improve efficiency, insight, and performance.

    Accounts Receivable

    • Oversee the credit control process, including setting credit limits and payment terms and management of all claims.
    • Conduct risk assessments and evaluate customer credit profiles.
    • Manage collections and resolve payment issues efficiently.
    • Develop and enforce credit policies and procedures.
    • Collaborate with other functional areas / teams to support business objectives.
    • Ensure compliance with relevant legislation and company policies.
    • Prepare regular reports on credit performance and risk exposure.

    Asset Management

    • Oversee the management of the fixed assets across all sites.
    • Ensure the assets are fairly reported in SAP through periodic asset verifications and compliance with IFRS principles.
    • Ensure appropriate wear and tear and depreciation rates are applied consistently and in line with IFRS principals and current tax legislation.
    • Ensure that Fixed asset movements are recorded accurately and in a timely manner.
    • Ensure that the WIP accounts are reviewed and actioned on a monthly basis.
    • Review fixed asset reconciliations.

    Statutory Compliance

    • Participate in the statutory financial close-off.
    • Manage and oversee that the required interim and year-end reporting schedules are completed.
    • Liaise with internal and external auditors.
    • Provide input regarding compliance with company law in conjunction with the legal department thereby ensuring compliance with commercial law and legislation generally.

    Internal Control

    • Continuously identify and pursue opportunities to improve control procedures throughout the business.
    • Follow up on audit queries and ensure that corrective action is taken by the responsible teams.
    • Ensure compliance with approved procedures by means of control checks performed by the finance team.

    Staff Management

    • Manage all teams and collaborate effectively.
    • Lead and develop staff within the context of the Labour Relations Act, Employment Equity Act, Basic Conditions of Employment Act and the Skills Development Act.
    • Monitor staff performance and provide regular feedback.
    • Manage staff activities, ensuring service levels are met and protocols are adhered to.
    • Coach and support staff, where necessary, to achieve objectives.
    • Manage staff leave and general time management issues in line with organizational deliverables and standards.
    • Manage and deliver on succession plans to enable the development of a future generation of leaders and specialists and ensure optimal turnover and retention levels are maintained.
    • Conduct regular performance appraisals with subordinates.
    • Establish sound staff and labor organizing and communication structures and systems.
    • Develop and manage high performance multidisciplinary teams in order to solve problems within the commercial arena.
    • Conduct regular meetings and ensure that records are kept and shared across the team and that action plans agreed to within team meetings are delivered upon.

    Qualifications, Skills and Experience Required for the Job

    Qualifications and Experience

    • Matric (Grade 12).
    • Must be a registered CA(SA).
    • 10 years’ experience, 5 of which a senior level, managing large teams.
    • SAP experience would be advantageous.
    • Experience in leading large teams and effectively collaborating.

    Diesel Mechanic

    Job Purpose

    • To diagnose problems, make appropriate repairs, provide on-going maintenance and conduct periodic testing to ensure vehicles run smoothly and safely. 

    Key Responsibilities

    Vehicle Maintenance and Repair:

    • Maintain engines to meet government standards of emission and other pollutants.
    • Troubleshoot engine performance problems and make recommendations for repair or replacement.
    • Depending on the severity of the issue, repair the vehicle in the workshop or send it out to the contracted service centre.
    • Conduct annual and routine testing and maintenance of the diesel vehicles.

    Implementation of Safety Health Environment, Risk and Quality (SHEQ):

    • Implement and comply with health and safety procedures.
    • Ensure that documentation required within the Total Integrated Management System (TIMS), is applied consistently within scope of function.

    Stock Control:

    • Complete a spares requisition once spares have been drawn from stores in order to have the buyer procure and replenish stock.

    Assistant Guidance:

    • Guide, train and coordinate the functions of the technical assistant.

    Effective Teamwork and Self-Management:

    • Take ownership and accountability for tasks and activities and demonstrate effective self-management in terms of planning and prioritising, and self-development.
    • Follow through to ensure that quality and productivity standards of work are consistently and accurately maintained.
    • Inform relevant parties in the event of tasks or deadlines not met, the potential risks thereof and provide appropriate resolution.
    • Manage colleagues and employees’ expectations and communicate appropriately.
    • Demonstrate willingness to help others and “go the extra mile” to meet team targets and objectives.

    Qualifications, Skills and Experience Required for the Job

    Qualifications and Experience

    • Valid Code EB drivers’ licence.
    • Matric.
    • Qualified Diesel Mechanic.
    • Minimum of 5 years’ experience as a diesel mechanic.

    • Mechanical maintenance and fault finding.
    • Engines and tools, including their design, uses and repair.

    Network Capacity Planner

    Job Purpose

    • Responsible for managing the network within the given parameters. Ensure we improve efficiencies between operations and supply chain planning teams. Prepare short term and long-term capacity and stock holding views. Maintain stock health. Identify bottle necks and draw up contingency plans to overcome these.

    Key Responsibilities

    Strategic Planning:

    • Plan, Control and Execute the forward plan (3-6 months, 2 years etc.) as defined by management.

    Capacity Planning:

    • Develop the Capacity overview for all SKU’s across the Vector network.
    • Identify exceptions where stock holding exceeds warehouse capacity and provide contingency plan in order to still service our Customers.
    • Develop alternate scenarios to address exceptions by closing the gap between supply, demand and capacity.
    • Work closely with the warehousing and transport planning teams to ensure that there is sufficient capacity to meet the national demand requirements.
    • Collaborate with suppliers to ensure uninterrupted supply during the year. 

    Short Term Capacity Planning:

    • Review demand (demand forecasts and actual orders) and stock cover (days) requirements as often as possible across all depots and stock holding positions.
    • Ensure that we have sufficient capacity available to accept inbounds on a day-to-day basis.

    Stock Management:

    • Calculate the stock targets by SKU by obtaining and using the relevant information to input in the inventory optimization model. (e.g. forecast accuracy, factory reliability, production cycle times, order lead time, customer service levels).
    • Propose stock level targets for agreement by the Outbound Supply Chain Planning management team (for both operational planning and budgeting processes) for both national and regional levels (for all stock holding points).
    • Review stock targets on a periodic basis (usually quarterly).
    • Make appropriate recommendation on stock where days cover either exceed maximum or are below minimum covers.
    • Proactively drive the management of stock age, slow moving and obsolete stock across all stock holding points and make recommendations to clear stock.
    • Compile the warehouse capacity plans.

    Sales and Operations Planning:

    • Develop the overall supply plan that will be used as input into the company-wide S&OP process.
    • Identify gaps and opportunities and make appropriate recommendations to close these with the Supply Planning Manager.

    Innovation / Discontinuation Coordination:

    • Assist in the coordination for delivery of innovation into the supply chain.
    • Work closely with the replenishment teams to ensure sufficient stock covers at the time of new innovation launches as well as assist in the bleed-out of stock.
    • Report on a weekly basis on obsolete stock as well as plans to clear stock.
    • Ensure stock of new items is received timeously for go-live.

    Team Supervision:

    • Take ownership and accountability for tasks and activities as completed by the Assistant Capacity Planner.
    • Ensure continuation of work if the Assistant Capacity Planner is not available.
    • Monitor Assistant Capacity Planner performance and provide feedback in this regard to the Supply Planning Manager.
    • Performance reviews to be done as required.

    Team Coordination:

    • Take ownership and accountability for tasks and activities and demonstrate effective self-management in terms of planning, prioritising and self-development.
    • Follow through to ensure that quality and productivity standards of work are consistently and accurately maintained.
    • Inform relevant parties in the event of tasks or deadlines not met, the potential risks thereof and provide appropriate resolution.

    Key Relationships

    Internal Relationships

    • The role supports multiple internal stakeholders including S&OP, Commercial, Engineering, Finance, Customer Operations, and broader supply chain functions.

    External Relationships

    • Externally, the role interfaces with customers where capacity requests arise directly following engagement with the relevant project teams. 

    Qualifications, Skills and Experience Required for the Job

    Qualifications and Experience

    • Must have Matric (Grade 12).
    • A relevant bachelor’s Degree in supply chain management, Industrial Engineering, Logistics or Operations Management).
    • 3 – 5 years’ experience within a supply chain environment.
    • Must have had SAP exposure.
