    Operations Manager

    Job description

    JOB OBJECTIVE

    Providing both an internal and external service and support to all staff and clients of the organization and ensure company facilities, equipment and resources function optimally and achieve maximum profit.

    Direct responsibility for packaging outsourcing and manufacturing, product manufacturing, quality control, order processing and shipping, customer service and office management.

    TASK DESCRIPTION

    • PRODUCT DEVELOPMENT
      • Work with top management in strategic planning or new product development.
      • Planned and formulated proposals of projects, that can be utilized from findings, costs of project, and equipment and human resource requirements.
      • Review and analyse proposals submitted to determine if benefits derived and possible applications justify expenditures.
      • Develop and implement methods and procedures for monitoring projects such as preparation of records of expenditures and research findings, progress reports, and staff.
      • Negotiate with international Companies on new product launches.
      • Ensure that launch deadlines.
    • PACKAGING & PRODUCT MANUFACTURING
      • Study production order to ascertain type and quantity of product, containers to be used, and other packaging requirements.
      • Observe packaging operations and inspected containers to verify conformance to specifications.
      • Requisition containers and other supplies for delivery to work stations.
      • Manage in-house manufacturing and production schedules and estimate worker hour requirements for completion of job assignment.
      • Set quality control procedures for all new batches of products being delivered to the warehouse.
      • Analyse and resolve work problems, or assisted workers in solving work problems.
      • Initiate or suggest plans to motivate workers to achieve work goals.
    • STOCK MANAGEMENT
      • Demand Planning and forecasting.
      • Compile data from sources such as contracts, purchase orders, invoices, requisitions, and accounting reports and entered information into computer to maintain inventory, purchasing, shipping, or other records.
      • Manage product landed costs.
      • Compile stock control records and information such as monthly averages, characteristics of items in storage, and current market conditions, to determine stock supply and need for replenishment.
      • Prepared requisitions, orders, or other documents for purchasing or requisitioning new or additional stock items.
      • Review files to determine unused items and recommended disposal of excess stock.
      • Work closely with the marketing team to ensure that stocks are aligned with sales and marketing activities across all markets.
      • Notify management team of any stock issues, quality issues which may impact our customers and distributor partners.
    • BOOKKEEPING
      • Operating platform - Sage Evolution
      • Verify, allocate, and post details of business transactions to subsidiary accounts in journals or computer files from documents such as sales orders, invoices, Supplier Invoices, Good received notes, and computer printouts.
      • Monitor Debtors Age analysis.
      • Compile reports to show statistics pertinent to the operation of business.
      • Developed and implemented cost control measures.
      • Maintain performance evaluation, cost and asset management.
    • ORDER PROCESSING AND CUSTOMER SERVICE
      • Process all the orders from customers in a timely manner.
      • Ensure clear communication with customers on times of delivery.
      • Work closely with the Credit Control department to ensure that orders are only shipped to accounts who have up to date balance of accounts.
      • Improve, whenever possible, ordering processes to save time.
      • Collaborate with the IT Company, managing our website, to develop an online order system.
    • WAREHOUSE
      • Manage the warehouse.
      • Supervise the picking and dispatching procedures to guarantee the accuracy and quality of the orders picked and packed, run regular quality checks.
      • Perform random inventory checks to detect any anomalies.
      • Monitor number of picking and packing errors in order to improve processes.
    • OFFICE MANAGEMENT
      • Responsible for the office day-to-day management and point of contact for any office related questions or matters (general supplies, equipment, liaising with HR on safety in the workplace, etc.).
      • Ensure that the workplace and workstations are kept tidy and professional.
      • Manage the SKIN Division’s storage facilities.
      • Coordinate any repairs with the Facilities Manager.
    • STAFF MANAGEMENT -OPERATIONS & CUSTOMER SERVICES
      • Recruit, interview, and select employees to fill vacant positions.
      • Plan and conduct new employee orientation to foster positive attitude toward company goals.
      • Manage inquiries regarding policies, procedures, and programs.
      • Administer performance reviews to ensure effectiveness, compliance, and equity within organization.
      • Administer salary administration to ensure compliance and equity within organization.
      • Administer benefits such as medical aid, vacation, sick leave, leave of absence, and employee assistance.
      • Represent organization at personnel-related hearings and investigations.
    • PLANNING AND REPORTING
      • Provide a monthly report with a 12 month rolling calendar of activities.
      • Attend all Managers Meetings as and when required.
      • Budget planning and implementation and monitoring thereof.
    • TEAM COLLABORATION
      • Provide leadership, guidance and management to your direct report, ensuring best in class
      • execution of brand plans
      • Set performance objectives for direct reports.
      • Act with integrity, honour commitments, take responsibility for decisions made
      • Establish high workplace cooperating standards and values
      • Provide coaching and constructive feedback to report to build and empower their growth Identify opportunities to develop high potential staff
      • Set development plans for team members to drive growth
      • Shape environment to foster open communication and teamwork
      • Identify the need for additional team resources within International Operations, focusing on future goals within Operations. Interview and select candidates required to fill positions within the department.
    • PROCESS MANAGEMENT
      • Ensure collaboration between all other department managers for streamlining approval processes, reducing costs and implementing management technologies to enhance efficiency between departments.
