    Learning Administrator/Coordinator

    Job description

    EXPERIENCE AND QUALIFICATIONS:

    • Senior Certificate
    • ETDP Diploma or equivalent advantageous
    • 5-10 years’ experience in similar role. Within a professional services environment

    JOB ACCOUNTABILITIES:

    • Administrator:
      • Book meetings in Learning Outlook Calendar
      • Book venues and arrange for catering and IT support
      • Keep Learning Portal up to date with Outlook Calendar
      • Send invitations to relevant learners and facilitators
      • Record sessions, edit and upload on vimeo/Learning Portal
      • GetAbstract license administration (add or remove licenses)
      • Book flights and accommodation and issue visa letters
      • Process invoice payments
      • Scan and save payments documentation on Filesite (invoice, requisition, POP)
      • Generate attendance registers for sessions
      • Capture on 3E, scan and file completed attendance registers on Filesite
      • Capture Workplace Skills Plan reports on SASSETA platform
      • Capture budget and forecast information on 3E for budgeting purposes
      • Load messages on social media (as provided by Learning Manager and Group OD and Learning Manager)
      • Load post programme surveys on SurveyMonkey and provide consolidated data to Learning Manager and Group OD and Learning Manager
    • Coordinator:
      • Input into and  monitor (budget versus actual for all Practice Groups)
      • Liaise with all vendors to determine fee increases for budget input
      • Monitor flights and accommodation for all learning events with an eye to how things can be done more efficiently, i.e. Radisson as opposed Garden Court, Uber as opposed to Gautrain
      • Produce Budget versus Actuals post all events and inform Practice Groups on monthly spend
      • Oversee and manage all learning social media including Twitter, intranet site, and portal
      • Manage all content (beyond calendar on the portal)
      • Design and manage all learning related apps, i.e. new Leadership Development Programme, Graduates
      • Manage all “ push” from learning, including z folders, promotional materials, posters, learning stands
      • Coordinate Partner and group wide events
      • Schedule all Senior Associate Development Centre events, feedback conversations and mentoring conversations
      • Schedule all Practice Group specific mentoring conversations
      • Manage and brief external vendors on projects
      • Liaise with vendors and Partners regarding programmes
      • Report of gender and race demographics as they relate to learning attendance
      • Assist will all post programme evaluations, i.e. focus groups or Survey Monkey
      • Manage all HighQ related content
      • Standardise all co-ordinator related logistics across all offices
