    Project Administrator

    Purpose of the role:

    We are seeking a detail-oriented and proactive individual to join our Project Management Office (PMO) as a Project Administrator/Coordinator. The successful candidate will be responsible for overseeing administrative tasks related to quotations, invoices, change request documents, report updating, and providing essential support to project managers in the execution of projects.

    Responsibilities:

    • Facilitate and manage project quotations and invoices in collaboration with the finance and project departments.
    • Ensure accuracy and compliance with project budgets and financial guidelines.
    • Coordinate the processing of change requests, including documentation, communication, and tracking.
    • Collaborate with project managers to assess the impact of changes on project timelines and budgets.
    • Maintain and update project status reports, ensuring timely and accurate information.
    • Generate ad-hoc reports as requested by project managers or stakeholders.
    • Provide comprehensive administrative support to project managers, including calendar management, meeting coordination including minuting said meetings.
    • Act as a liaison between project managers and cross-functional teams, ensuring effective communication.
    • Facilitate communication regarding quotations, invoices, change requests, and project updates within the project teams and relevant stakeholders.
    • Ensure proper organization and management of project documentation, including contracts, change orders, and other relevant records
    • Maintain a systematic and easily accessible organizational structure for project documentation.
    • Categorize and label documents logically to facilitate quick retrieval and reference.
    • Develop and implement effective archiving procedures to ensure the secure storage of project documentation.

    Qualifications:

    • Matric.

    Experience:

    • Minimum 1 year project administrator experience.

    Knowledge and Skills:

    • Organized and a good multi-tasker.
    • Take charge and know how to lead.
    • Effective communicator.
    • Negotiation skills.
    • Attention to detail.
    • Identify and escalate problems immediately

    Additional Requirements:

    • Related qualification will be advantageous
