    Project Coordinator and Assistant to the CFO - Grahamstown

    Purpose
    To work closely with the CFO to provide effective and efficient personal administrative, project and organisational support including but not limited to: -

    • Responsible for project coordination and high-level administrative support for the CFO.
    • Responsible for managing the office of the CFO in respect of office information and processes, optimising ongoing processes, and implementing business improvement processes, in consultation with the CFO.
    • Providing administrative support to the Risk Manager and Internal Auditors and the Risk Function.
    • Committee Officer for the following Committees: Board of Governors Investment Committee, Enterprise Risk Management Committee, Major Projects Committee, Financial Sustainability Task Team; IPC Infrastructure Planning Sub-Committee as well as the Budget Executive Committee and Safety & Events Committee when needed, and any other committee that falls in the ambit of the CFO or his portfolio. This will be done in conjunction with the Registrar’s Office.
    • Facilitation with secretary and administrative tasks: Facilitation / management of secretarial and administrative tasks with the administrators with the direct reports of the CFO.
    • Assisting in coordinating DHET: Infrastructure and Efficiency Grant application and progress report submissions
    • Projects Coordinator/ Administrator to the Project Directors/Leads for projects sponsored by and under the responsibility of the CFO, for example the Risk Management and Business Continuity Planning Management
    • Responsible for a proactive approach to understanding and keeping up to date with the CFOs activities in order to be able to co-ordinate projects and manage project timelines, liaising with senior stakeholders as required to ensure that the CFOs office runs smoothly.

    Requirements
    Degree/Diploma (NQF level 7) plus approximately 4 years’ relevant experience where such experience includes: -

    • Experience where managing processes and systems was a key responsibility
    • Experience working with a variety of professionals at all levels and particularly at the executive and senior level within an organisation
    • Experience of undertaking project work
    • Previous administrative experience within a computerised environment where planning, co-ordinating and executing administrative processes and where the job required a high degree of multi-tasking
    • Previous experience handling, responding, and directing queries
    • Administrative experience within a university and/or large scale operational/service orientated environment will be an advantage
    • Evidence of excellent planning and organisational skills, time management and delivering to deadline
    • Experience researching and drafting documents, agendas, minutes, presentations, and reports.
    • Evidence of excellent written and verbal communication skills, including the ability to collate information and data from a range of sources and present to a variety of stakeholders
    • Experience managing budgets and accounts, and the ability to read a balance sheet and reconcile accounts
    • High-level administrative experience within a computerised environment
    • Evidence of leadership skills
    • Experience arranging and managing events (face-to-face and virtual)
