    Stock Controller

    Job Purpose

    • To effectively manage and control all stock-related activities within the warehouse, ensuring accurate stock levels, timely procurement of stock, efficient stock issuance, and strong supplier management. The Stock Controller is responsible for maintaining inventory accuracy, supervising the Storeman, and ensuring that operational requirements are met through proactive stock planning and control and provide any ad-hoc support to the Senior Financial Administrator (SFA).

    Key Responsibilities :

    Stock Management and Control

    • Maintain accurate inventory records and ensure stock levels are aligned with operational requirements.
    • Conduct regular stock counts, cycle counts, and monthly stock takes.
    • Investigate and resolve stock discrepancies, variances, and shortages.
    • Monitor stock movement and ensure proper stock rotation practices are followed.
    • Maintain accurate records of all stock receipts, transfers, returns, and issues.

    Procurement and Purchase Orders

    • Generate and process Purchase Orders (POs) in accordance with company procurement procedures.
    • Ensure stock orders are placed timeously to prevent stock shortages and operational disruptions.
    • Monitor lead times and track outstanding orders.
    • Verify deliveries against purchase orders and goods received notes.
    • Ensure all procurement documentation is accurately completed and filed.

    Supplier Management

    • Liaise with suppliers regarding quotations, orders, deliveries, and stock availability.
    • Follow up on outstanding orders and delayed deliveries.
    • Resolve supplier-related issues and discrepancies promptly.
    • Build and maintain effective working relationships with suppliers to ensure reliable service delivery.

    Warehouse Management

    • Ensure the warehouse is maintained in a clean, organised, safe, and secure condition.
    • Monitor storage practices and ensure compliance with health and safety requirements.
    • Ensure stock is correctly labelled, stored, and easily accessible.
    • Control access to the warehouse and safeguard company assets.

    Stock Issuing and Distribution

    • Issue stock and consumables to operational teams according to approved requisitions.
    • Maintain accurate records of all stock issues and usage.
    • Ensure stock issuance procedures are followed consistently.
    • Monitor stock consumption trends and provide recommendations for replenishment.

    Supervision of Storeman

    • Supervise and guide the Storeman in daily warehouse activities.
    • Allocate duties and monitor performance to ensure departmental objectives are achieved.
    • Provide training and support on stock control procedures and company standards.
    • Ensure compliance with company policies, procedures, and safety regulations.

    Reporting and Administration

    • Prepare weekly and monthly stock reports for management.
    • Report on stock variances, slow-moving stock, and stock shortages.
    • Maintain accurate filing systems and inventory records.
    • Assist with budgeting and forecasting stock requirements.
    • Ad-hoc tasks as required by the Senior Financial Administrator.

    Minimum Requirements

    Qualifications

    • Grade 12 (Matric).
    • Optional - Certificate or Diploma in Inventory Management, Supply Chain Management, Logistics, or related field will be advantageous.

    Experience

    • Minimum 1-2 years' experience in stock control, warehouse management, or inventory management.
    • Experience working with procurement processes and purchase order systems.
    • Experience supervising warehouse personnel or store staff.
    • Experience within a facilities management, contract cleaning, or service environment will be advantageous.

    Skills and Competencies

    • Inventory and stock control knowledge.
    • Good understanding of warehouse operations.
    • Proficiency in Microsoft Excel and inventory management systems.
    • Strong organisational and planning skills.
    • Excellent attention to detail and accuracy.
    • Effective communication and supplier management skills.
    • Problem-solving and analytical ability.
    • Ability to work under pressure and meet deadlines.
    • Leadership and team supervision skills.

    Key Performance Indicators (KPIs)

    • Inventory accuracy levels maintained above target.
    • Stock shortages and stock-outs minimised.
    • Purchase orders processed within required timelines.
    • On-time delivery performance from suppliers.
    • Accurate and timely completion of stock counts and reports.
    • Effective warehouse organisation and compliance.
    • Successful supervision and performance management of the Storeman.
