    Executive Assistant: CATA Officer

    Job description

    • Office Management: Act as first point of contact, representative and information source for the executive’s office, and respond to basic queries and requests for information and meetings. Receive and welcome guests and visitors courteously and efficiently. Screen all incoming calls of the executive and divert or take messages. Respond to queries where possible on behalf of the executive in their absence. Arrange meetings, prepare agendas when required, obtain inputs from all parties concerned, and ensure that all relevant documentation is in order. Manage and maintain the executive’s schedule with due consideration of the Corporate Calendar and relevant events, demonstrating an awareness and understanding of business priorities and challenges. This includes daily time management and consultation with relevant stakeholders to ensure optimisation of the executive’s time, availability and contribution. Maintain a proper system for handling the receipt and distribution of incoming and outgoing mail, emails, and publications.
    • Administration: Prepare and process documents and correspondence using appropriate MS Office packages within the required timelines for review and approval by the executive:
    • Distribute to relevant parties
    • Liaise with courier services for delivery
    • Follow up with intended recipients to ensure receipt thereof
    • Draft standard letters, memorandums and other communication as instructed. Gather data and information from various sources and generate requested documents accurately and timeously. Coordinate and quality assure reports compiled by management team members and ensure timely submission to the Company Secretary. Proof-read documents when requested. Take minutes of meetings when required and distribute to all attendees. Prepare a basic expense report for the executive’s office including variances to the budget on a monthly basis, monitor the flow of funds and keep the executive updated and informed. Compiling quarterly reports for business units as required. Compile ad hoc reports as required in line with relevant guidelines Prepare correspondence timeously and as instructed for review and approval by the executive. Develop PowerPoint and Excel presentations when requested.
    • Stakeholder Relations Management: Establish and maintain sound relationships with all relevant stakeholders including Exco members, the divisional management team, and relevant staff and stakeholders. Liaise with and engage relevant stakeholders courteously and competently in dealing with issues and queries, assisting with communication to and from the executive’s office, and managing incoming and outgoing instructions and responses to and from the executive. Follow executive office protocol at all times, i.e. the way things are done in terms of executive office management processes, practices, and in managing stakeholder relationships. Ensure that the ATNS corporate identity is accurately reflected in and around the executive’s office, i.e. in brochures, booklets, stationery, etc. Liaise and interface with relevant internal and external stakeholders such as suppliers, government officials, and other executives, conveying information accurately, competently and courteously whilst maintaining the required level of confidentiality and discretion. Maintain effective communication channels at all times to keep the executive informed of important issues whether in the office or travelling.

    Minimum Qualifications

    • 3-Year Secretarial Diploma including Office Management or equivalent qualification

    Minimum Experience 

    • Minimum 6 years’ experience in a secretarial role
    • Experience in the running and coordination of a senior manager /executive’s office is required

    Client Relations Officer

    Job description

    • Establish sound relationship with clients before meeting them at ATA: Acknowledge receipt and respond to client service requests within 48 hours. Process the enquiries by prospective clients. Prepare for client arrival by obtaining non-ATNS delegates arrival details from Training Information System, by ensuring that arrangements are finalized to transport non-ATNS delegates from the airport to their accommodation prior to their arrival and by ensuring that an ATA representative meet non-ATNS delegates upon arrival at the airport.
    • Strengthen relationships upon meeting Clients at ATA or any other place: Receive delegates on the first day of their course at the ATA. Manning registration Desk. Prepare for the ATA Induction i.e., Arrange a venue for the Induction, ensure sufficient OHAS forms are available, Medical History forms, Induction Booklets, Welcome Messages, fill hi-tech request form, etc. Present ATA Induction to the delegates. Introduce ATA Delegate Portal to the delegates. Forward confirmation of arrival of international delegates to relevant parties. Sensitize ATA staff of the Culture, Religion and Social behavior of the international delegates.
    • Strengthen relationship while at ATACommunicate and interact with delegates daily to obtain daily feedback and inputs from the delegates. Monitoring and Coordination of student’s affairs, i.e. Visas Assistance, Transportation, Telephonic Services, etc. Implement Customer Service Initiatives. Coordinate Photography i.e. ensure that photos are taken for every course commencing. Monitoring and handling of Customer Complaints. Regularly monitor suggestion box. Follow up and respond to delegates’ suggestions and queries. Forward relevant Delegate Evaluation Reports to CRM monthly. Attend to delegate illness/request for medical assistance by referring them to the M: TS&A for approval of medical assistance. Arrange monthly international ATNS delegate excursions with specific attention to transport to and from the visiting site, transport to and from the ATA, guest lodge arrangements, entry fees and pre-prepared lunches. Attend to planned ATA facility tours. Continuous Interactions with Service Providers. Collect Ezine information and send to Marketing for publication. Monitor Kiosk sales and inventory. Ensure monthly Stock take is updated
    • Liaise and Coordinate the format of Certifications/ Graduation Ceremonies with reference to the ATA Internal Procedure: Liaise and coordinate the format of Certification Graduation and End of Course Ceremonies. Coordinate and arrange the IATA graduation events. Coordination of all events in conjunction with ATNS Marketing. Confirmation of flight details for delegates on request. Administer Alumni registrations. Verify and check Alumni Content and send to Marketing for publication. Update Alumnus Database
    • Ensure Post Course Phase Feedback and Evaluations is obtained from external Organisation after completion of course:Ensure post-course feedback is issued to external organizations four months after completion of course. Ensure that the post-course feedback is obtained from the external organization four months after completion of course.

    • 3-Year Diploma in Public Relations/Customer Relations

    Specialist Air Traffic Services Safety Implementation

    Major Activities

    •  Strategic Alignment - Develop, implement and manage the Air Traffic Services Safety Implementation (ASI) strategy for Operations to ensure the effective and safe delivery of air traffic management services, ensuring alignment with the broader Operations and ATNS business strategies;  Conceptualise and develop the Safety Implementation strategy supported by the Head of ASE and the COO;  Leverage data analytics and information to enable the provision of meaningful ASI inputs and insights into the long-term Operations strategy;  Support the Head of ATS Safety & Efficiency, the COO and the Operations leadership team in the development, implementation and management of the Operations strategy to ensure achievement of strategic Operations targets and objectives;  Drive delivery of the required ASI projects/initiatives to be on time, within budget and to the required standard;  Analyse safety trends, developments and metrics to inform adoption of the required solutions, programs, and initiatives in line with business needs and priorities;  Provide inputs into the development and implementation of an integrated annual business plan for ASE to enable the achievement of strategic business objectives.
    •  Air Traffic Safety Implementation - Ensure effective, efficient, and safe delivery of air traffic management services through the development, implementation and management of the Air Traffic Services Safety Implementation (ASI) strategy for Operations in alignment with the broader ATNS business strategy;  Develop and execute plans and programs for the advancement of safety within Operations;  Develop and implement safety policies, processes and procedures for Operations to enable the effective management of safety, and ensure compliance thereto;  Evaluate practices, processes, procedures and facilities to identify and assess strategic and operational business risks and develop effective mitigation;  Engage with Operations employees and management to conduct safety training and to give presentations on safety management and accident prevention;  monitor compliance to policies, legislation and the ICAO, CATS & CARS regulations and requirements by inspecting relevant units within Operations on a regular but random basis;  Investigate accidents and safety events to determine and understand root causes in order to prevent reoccurrence;  Recommend solutions to safety issues, improvement opportunities or new preventative measures and controls;  Report statistics on safety issues to Operations management to improve awareness and understanding of the status of safety and potential risks;  Conduct research and statistical data analysis to improve safety across Operations;  Benchmark safety management outputs against national, regional and global trends and practices;  Provide specialist advice with regards to the management of Corporate and Operations safety;  Promote and continuously improve safety and related processes;  Contribute and support operations to ensure efficient and effective sectorisation of ATM services;  Participate in continuous improvement of the safety management system and related safety processes to continuously increase effectiveness;  Create awareness of the safety management system throughout Operations;  Coordinate the development of safety cases for processes and systems within Operations to facilitate approval thereof;  Coordinate the application for operational exemptions to regulations;  Drive system improvements to ensure availability of the most effective systems and tools to enable efficiency within Operations.;  Identify and undertake ASI related projects to enable achievement of strategic ATNS safety objectives;  Collaborate with S&R and Business Services on all safety related matters;  Coordinate with Strategy and RDI on possible research activities for continuous improvement of aviation safety;  Attend seminars, conferences, workshops, etc on safety related matters to remain abreast of the current and future landscape.
    •  Governance, Measurement, Risk and Compliance Management & Reporting - Formulate and implement a robust governance framework for the effective management of safety within the ASE environment;  Continuously monitor and measure compliance to aviation regulations and internal frameworks governing safety;  Lead the assessment and management of ASI project risks;  Identify, assess, and ensure effective management of risks;  Consolidate inputs from all relevant parties to develop reports on ASI for the Head of ASE, COO and other relevant stakeholders to inform decision making.
    • Stakeholder Relations Management - Build effective relationships with other relevant operational functions to ensure the required resources are available to drive safe, efficient, and effective service delivery within ASE;  Establish and maintain collaborative relationships within workstreams within Operations to ensure alignment and optimal service delivery;  Ensure all stakeholders are managed effectively.
    • Financial Management - Manage expenditure in line with business objectives and priorities, and within approved  financial parameters;  Participate in, and provide inputs into the development of the ASI budget;  Report expenditure on a monthly basis including variances when required.

    Minimum Qualification:

    •        Air traffic control qualification (aerodrome control, or approach control, or area control)
    •        Safety Management System Course or equivalent
    •        Tertiary qualification in Project Management is required

     Minimum Experience:

    •       Minimum 5 years’ technical and operational experience in ATM 
    •      Project management experience is required

     Candidates who do not meet the minimum requirement of a tertiary qualification in Project Management, may apply, if they meet the following Alternative Qualification and experience:

     Alternative Qualification

    •      Air traffic control (aerodrome control, or approach control, or area control)
    •      Safety Management System Course or equivalent

    Alternative Experience

    •       Minimum 8 years of experience in air traffic management
