    Job Purpose    

    • To assume full responsibility for all aspects of commercial operations of the business units under the incumbents control to ensure that they are run profitably, safely and in accordance with the organisations Standards and Procedures as approved by the BIL Board of Directors and within the boundaries of the relevant legislations and by laws.

    Qualifications & Experience    

    • Matric
    • BCom Logistics or National Diploma in Materials Handling, Logistics or Industrial Engineering.
    • Minimum of 10 years experience in a broad spectrum of management, preferably in a Logistics or Supply Chain Environment.
    • Well grounded in all aspects of planning, leading, organising and controlling. 
    • Thorough knowledge and application of operational methods, Finance, reporting, legislation, Industrial Relations, Health and Safety administration, ISO administration, commercial negotiations, SLA management, Contract management and customer service.
    • Sound inventory management.

    Key Responsibilities    
    PLANNING AND ORGANISING

    • Responsible for the short, medium and long term planning for the business units under the incumbents control including operations, finance, administration, marketing, SHERQ, IT requirements and profitability.
    • Establish reliable forecasts for the BU’s monthly and over 1, 3 and 5 years.
    • Monitor these forecasts / budgets weekly and monthly and advise the Operations Director on market and customer changes and opportunities.
    • Take initiative and corrective action to ensure forecasts / budgets are achieved and surpassed.
    • “Trouble Shoot” existing or expected situations and take corrective action.
    • Resolve day to day problems concerning all aspects of the business units which cannot adequately be dealt with by the respective Facility Managers.
    • Ensure equipment and business units are capable of handling current and new business.
    • Anticipate fluctuations in volumes and revenue to be earned and takes necessary corrective action.

    BUSINESS DEVELOPMENT

    • Responsible for developing, establishing, securing, and maintaining business opportunities for the BU’s, in consultation with Business Development
    • Explore opportunities and the validity of new business options related to the business units.  Initiate proposals, co-ordinating and developing these into real opportunities.
    • Keep abreast of market conditions and developments that may influence the business units or opportunities for the division.
    • Plan / initiate promotional functions to further the division’s interests.
    • Promote a positive public relations image of BIL amongst the local community, local authorities and industry.

    CUSTOMER SERVICE

    • Liaise and participate with the clients of the various business units in so doing building and maintaining good client relationships.
    • Ensure that SLA’s are in place with each customer and that these are effectively managed.

    PROFITABILITY

    • Ensure that the respective business units’ pricing is competitive within the market whilst remaining profitable and keeping/securing business.
    • Set standards around each business unit to ensure that the operations remain within the forecast profitability.

    OPERATIONS

    • Structure staff according to laid down staff compliments.
    • Ensure safe methods of operating and that staff are trained to conform to these standards.
    • Ensure that available equipment is in good order, relevant to the type of work being done, and follow a sound replacement program.
    • Monitor the purchases of critical materials.
    • Ensure that all legislated safety requirements and standards are adhered to.
    • Keep abreast of developments in technology that would make the operations more efficient and more profitable.

    INDUSTRIAL RELATIONS

    • Build and maintain sound industrial relations in accordance with BIL’s IR Policy.
    • Assist the HR Manager as part of the Negotiating team during substantive negotiations or Procedural Negotiations, from time to time as the need arises.

    OPERATIONAL ADMINISTRATION

    • Ensure sound administrative control of all operations.
    • Ensure that the Quality Policy of BIL, the Occupational Health and Safety Act and the BIL SHERQ Management System are communicated to all employees and adhered to.
    • Ensure sound accounting procedures are maintained in accordance with auditing requirements.
    • Ensure necessary reports are submitted timeously, eg Board Report, Facility Report.
    • Establish the necessary statistical information to assist in planning and controlling.

    STAFF

    • Institute control and discipline (if necessary) in all staff via direct reporting channels.  Ensures disciplinary procedures are adhered to.
    • Employ or dismiss staff as and when the need arises, according to laid down procedures.
    • Ensure that the BU”s have succession plans in place for selected staff and ensure that the incumbent has a successor or successors.

    SECURITY

    • Ensure that the BU’s have adequate and effective security staff and systems in place.

    TRAINING

    • Ensure that all business units complete an annual Training Needs Analysis / IDP for each staff member.
    • Ensure that staff attend Training in accordance with the Skills Development Plan / IDP for each business unit.

    Skills & Competencies    

    • Advanced working knowledge of Microsoft Excel, Word and Power Point.
    • Detailed understanding and working knowledge of Warehouse and Transport Management systems.

    Supervisor - Denver

    Job Purpose    

    • BIL seeks to employ a Warehouse supervisor who will lead a team of MHE operations as well as administration clerks, the successful candidate will have full knowledge of warehouse operations and problem solving abilities. The candidate must be Proactive, self-starting, seizes opportunities and takes responsibility for actions.

    Qualifications & Experience    

    • Minimum Grade 12 (Matric)
    • Relevant Diploma or Degree in Logistics/Supply Chain Management/Transport Management                    
    • 3+ years in a warehouse environment
    • CargoWise experience would be an added advantage            
    • Experience in leading teams

    Key Responsibilities    
    Resource Planning

    • Ensure that you plan your resource requirements in terms of contract labour and material handling equipment so as to be positioned to service all clients without failure
    • Report any additional resource requirements to your immediate superior
    • Report any lack of support with resource requirements to Facility manager

    Transport Arrangements

    • Ensure that transport controller is notified of all vehicles required, by way of email in terms of ensuring all client product is delivered in line with client requirements
    • Ensure that transport controller provides the relevant vehicles to service client requirements               
    • Ensure vehicles are accurately despatched with relevant product and documentation as per work instruction process

    Stocktakes

    • Ensure that stock takes are completed. Physical stock and system stock to balance against client system and records               
    • Ensure that all clients are subject to a wall to wall stock count at least once in every 3 months.
    • Ensure that where relevant that client system adjustment and BIL adjustment are made., within 96 hours of stock take, and where possible, communicated to your Facility manager before any deadlines lapse                                                                                          
    • Ensure all relevant cycle counts are conformed to and variances addressed                              
    • Ensure all variances are actively investigated and closed. Report to Facility manager within 24 hours of Stock take                          

    People Management

    • Ensure staff queries and issues are addressed, where you are unable to resolve, escalate to your immediate superior               
    • Ensure that time and attendance is managed in line with BIL requirements, address all non-conformances
    • Ensure accurate recorded documents of time and attendance are kept for all staff under your supervision
    • Plan for labour requirements around the client requirements, so as to facilitate optimal productivity               
    • Ensure new employees are inducted and provided with documented training in terms of their role
    • Apply first line discipline where required, with guidance from HR and Facility manager
    • Identify development requirements for staff and provide guidance and mentoring to staff under your supervision

    Material Handling Equipment

    • Maintain all MHE to high levels of cleanliness                                                            
    • Report any damages to MHE to the Superintendent                              
    • Ensure checklists are in place and are accurately completed daily during all periods of handover of MHE from one operator to another. Keep all records of checklist for audit purposes

    Superintendent - Denver

    Job Purpose    

    • BIL is in persuit to to employ an Operations Superintendent to assist the Facility Manager in achieving site specific OTP's, EC Audits and SHEMS audits, the successful incumbent will also adhere to control, monitor and enforce all BIL Policies, Procedures, and Health BQMS, Plan resources (Equipment and people) to meet the clients service requirements and ensure legal operational compliance.

    Qualifications & Experience    

    • Matric or equivalent
    • Degree in Logistics related filed (SCM)
    • 5 Years experience in Warehouse Management Receiving / Dispatching / Operation Warehouse Skills/ Strong Administration Skills Experience in leading teams
    • CargoWise experience will an added advantage

    Key Responsibilities    
    OPERATION

    • Oversee planning operation to ensure good customer service and timeous deliveries.
    • Ensuring that daily updates are given to management and were required action has been taken.
    • Anticipates problem areas and ensures that a contingency plan is in place.
    • Source and introduce, where possible, 'best practice' into the facility to ensure a competitive advantage.
    • Ensure that the warehouse conforms to excellent housekeeping.
    • Ensure that all POD's and returns are checked and forwarded to the relevant persons including returns on a daily basis.
    • Returns are managed and controlled
    • Ensure all required administration of documentation is checked, followed up on and filed correctly.
    • Maintain all necessary records that are related to ISO compliance certification and ensure that records are available
    • Co-ordinate all claims until closure
    • Update overtime, leave and sick leave records reporting.
    • Any adhoc Admin, HR and Sherq reports and feedback if necessary.
    • Communicates standards of housekeeping to staff and takes appropriate action when standards are not adhered to (5S).
    • Compile training needs analysis and encourage staff development.
    • Conduct job specific training and complete BIL Record of Training for new employees and contractors.
    • Ensure that adequate communication is in place, in the event of overtime.
    • Conduct training on amended procedures.
    • Ensure that all office equipment is in good optimal working condition.
    • Identifies training needs and employees with potential for advancement on the Basis of work performance.
    • Manage absenteeism in accordance with company procedures.
    • Manage the schedule of annual leave for all staff reporting into you.
    • Measure Picker and Checker Performance, record statistical data and compile Dailly reports with graphs.
    • Obtain all relevant information for daily completion of the KPI Report for all Clients
    • Prepares daily picking activities of shift in advance and arranges for the necessary resources.
    • Ensure all exception reports are clear and all PGI dates have been met
    • Reviews performance of individuals against set requirements on an annual basis.

    FINANCE/ADMIN

    • Implement effective cost control methods
    • Ensure that all assets in the Facility, whether owned or leased, are accounted for and maintained
    • Prepare Capex motivations and obtain necessary quotations.
    • Ensure that all stipulated deadlines are met.

    HUMAN RESOURCES

    • Maintain staffing levels within industry norms at operational levels
    • Retain key personnel
    • Develop staff at operational levels to ensure compliance with 'best practice'
    • Conduct an Annual Training Needs Analysis with all staff members
    • Ensure adherence to the union recognition agreement
    • Ensure that the Disciplinary and Grievance procedures, OHS Act etc. are adhered to at all times.
    • Review Individual staff members performance against set requirements on a bi-annual basis.
    • Chair/Attend disciplinary and grievances hearings
    • Ensure that the annual medicals are done

    GENERAL

    • Ensure office and desks are clean at all times. All BIL Documentation to be placed into respective Trays
    • Adhere to company policies and procedures at all times
    • Adherence to site policies, procedures and SHEQ Requirements
