    Creditors Clerk

    JOB PURPOSE:

    • To provide a clerical and administrative support service in respect of Vendor’s accounts.
    • This role is based in Waterfront, Cape Town. 

    KEY PERFORMANCE AREAS:

    Duties include but not limited to:

    • Processing of creditors’ (vendors) invoices according to set requirements for both local and foreign suppliers.
    • Reconciliation of creditors’ accounts and resolving queries accurately and within deadlines.
    • Liaising with Operations, Procurement and suppliers.
    • Manage and monitor filing system i.e., Recons, invoices, payments.

    REQUIREMENTS:

    • Matric with Accountancy and Mathematics
    • At least 2 years relevant experience within a creditor’s environment is essential
    • Advanced Computer Literacy (e.g. able to create & edit Ms Excel spreadsheets using formulae; typing & editing of MS Word documents)

    Vessel Engineering Administrator

    • We are looking for two (2) Vessel Engineering Administrators  to provide dedicated administrative, procurement, planning and cost-tracking support to the Vessel Superintendents, enabling them to focus on the safe and efficient operational management of their nominated vessels.

    Reporting to: Vessel Superintendent
    Department: Engineering
    Location: South Arm Road, V&A Waterfront
    KEY RESPONSIBILITY AREAS

    PROCUREMENT

    • Obtain a minimum of three competitive quotations for all planned repair and maintenance work on nominated vessels. Evaluate and present quotes to the relevant Superintendent for approval.
    • Load the approved quotation onto the NAV system as a purchase requisition and follow up with the Procurement Department to ensure timely conversion to a purchase order and placement with the supplier.

    PLANNING

    • Assist the Superintendents in planning vessel turnaround repair cycles. Prepare and maintain Gantt charts tracking key milestones, work packages and completion dates for each vessel turnaround.

    COST TRACKING

    • Together with Finance, track and record all maintenance and repair costs against nominated vessels. Provide regular cost summaries to the Superintendents and flag variances against budget.

    MAINTENANCE PLANNING

    • Assist with the consolidation and triply updating of the running hours and planned maintenance data for each nominated vessel. Ensure maintenance schedules are up to date in the relevant system and support the Superintendent in monitoring compliance with planned maintenance intervals.

    REFIT SUPPORT

    • Support the Superintendents with costings for their nominated vessel turnarounds. Assist with refit budget preparation and ensure that the refit SOP is followed.

    FUELING

    • Monitor vessel fuelling cycles for nominated vessels. Track fuelling data and follow up with Superintendents and Chief Engineers to ensure adherence to the laid-down fuelling SOP. Report exceptions to the relevant Superintendent.

    ADMINISTRATION

    • Manage all administrative tasks supporting the nominated vessel cluster, including document control, record keeping, correspondence management and meeting coordination for the assigned Superintendents.

    REQUIRED SKILLS AND COMPETENCIES

    • Proficient in Microsoft NAV or similar ERP system
    • Microsoft Excel (work list tracking and costing)
    • Basic budget tracking and variance analysis
    • Understanding of procurement processes and purchase order lifecycle
    • Familiarity with vessel maintenance terminology and processes
    • Understanding of planned maintenance systems
    • Awareness of refit and drydock planning processes
    • Comfortable working in a technical, operational environment
    • Experience in a maritime, engineering or logistics admin role
