    Engineering Manager

    Job Purpose                                                                                              

    • VECTOR LOGISTICS is seeking an experienced Engineering Manager to join our Coastal Logistics Division, based at Bellville South, Cape Town, reporting to the Engineering Executive.  The Engineering Manager will provide strategic and operational leadership for the engineering function across the region, ensuring the effective operation, maintenance, availability and efficiency of refrigeration plants, facilities, plant and equipment. The role will oversee engineering projects, maintenance planning, resource allocation and the effective management of maintenance and capital expenditure budgets. The position will also lead the regional Engineering Operations team and ensure that adequate resources are available to support maintenance and project requirements. A key focus of the role will be to monitor and optimise maintenance costs, refrigeration plant availability and efficiency, project expenditure and utilities utilisation, while ensuring the reliable and efficient operation of engineering assets across the region.

    Key Responsibilities

    Project Management:

    • Develop and execute annual capex budget with a focus on reducing plant down time and improving efficiencies of the refrigeration plant.
    • Drive the preparation of the conceptual design and preliminary costing estimates for capex preparation.
    • Manage all building and construction projects in the region or work with nominated project management specialist company.
    • Plan and schedule the projects execution in line with operations requirements, deadlines and set milestones.
    • Drive the risk management process and ensure health and safety requirements are adhered to with regards to facilities and equipment.
    • Manage and control the fixed asset register and ensure that it is updated as per policy and depreciation is in line with group standards.
    • Ensure that all project work on site is carried out and completed to the highest level of trade-man ship quality and to safe food requirements.
    • Manage outside contractors to ensure the integrity of the engineering team and carry out corrective action when required.
    • Conduct weekly project meetings to ensure all disciplines are aligned and that capex targets dates met in view of the year planner.
    • Preparation of all capitalized major maintenance and capital request motivations and supporting documentation.
    • Complete project reports and effectively communicate changes to the year planner.

    Maintenance Management:

    • Develop and implement an effective maintenance program for the facilities and refrigeration plants across the region.
    • Drive continuous improvement initiatives on asset care and resources utilization to optimize R&M costs in the region.
    • Drive the maintenance planning, execution and reliability engineering to deliver required plant availability and refrigeration plant performance across the sites.
    • Drive and ensure key maintenance metrics (planned maintenance compliance, backlog, artisan utilisation etc.) meet set targets.
    • Ensure the plant, buildings and accessories are maintained in line with risk, security, safety, health, HACCP AND ISO22000, 14000, 18000 and food safety requirements.
    • Ensure all electrical equipment and installations are maintained or installed in accordance with statutory requirements and business needs.
    • Manage maintenance team and ensure that planned maintenance is effectively executed to enable optimal asset utilisation.
    • Ensure that maintenance practices and procurement processes are aligned to business standards.
    • Effective management of outsourced services, service level agreements and contracts.
    • Effectively manage the breakdown, call-out and escalation process to ensure facilities temperatures are maintained.
    • Lead the engineering team across the region and ensure the required tools, support, performance reviews and development plans are in place.
    • Performs work inspections and sign off major maintenance, overhauls and statutory inspections/checks to ensure completeness of tasks.
    • Management of utilities operation, monitoring usages and implementation of savings initiatives.
    • Reporting on maintenance metrics, utilities usages and facilities risk mitigation plan.

    Risk Management:

    • In terms of design, use and maintenance, ensure all facilities comply with health, safety, security and other legal requirements.
    • Management of risk-based inspections and maintenance on fire detection and fire protection systems.
    • Ensure refrigeration plant compliance with SANS 10147 and other relevant legislation.
    • Ensure that all legislative and industry standards are met.
    • Responsible for health and safety with regards to all equipment and plants to ensure a safe environment to operate and work on for all staff.
    • Ensure that the required focus is given to all audit requirements and findings.

    Leadership:

    • Lead the maintenance team towards meeting targets through regular communication and utilisation of the full organizational talent management tool set.
    • Contribute to the development of new training solutions in collaboration with other regional engineer/s.
    • Train and mentor teams to improve performance.
    • Ensure alignment of teams on action plan/s and key objectives.

    Financial Management:

    • Manage costs to ensure lowest cost maintenance and the optimal utilisation of assets.
    • Report to EE/ROE on a weekly basis on actual KPI’s versus budget and work with team to address and areas of nonconformance or concern proactively and timeously.
    • Report on and manage all input costs and manage any over or underspend appropriately to ensure that issues are escalated before significant financial loss occurs.
    • Manage engineering expenses within level of authority and monitor spending activity within teams to ensure compliance with financial and ethical standards.
    • Implements and encourages cost cutting initiatives within the team where these do not impact on long term business sustainability.
    • Provide input into CAPEX documentation considering return on investment, resourcing, and sustainability requirements.
    • Manage suppliers and contracts in collaboration with the procurement team to ensure agreed service levels are met, escalate areas of concern to the ROE where necessary.
    • Manage contractors daily to ensure that correct standards of work and agreed timelines are achieved.

    Qualifications, Skills and Experience Required for the Job:

    • Relevant engineering degree (Essential).
    • 8 years’ trade experience of which at least 5 years in a management category.
    • Experience working with refrigeration systems (Essential).
    • Experience in Plant maintenance within medium to large scale facilities.
    • Excellent understanding of mechanical, refrigeration and electrical engineering.
    • An additional Refrigeration Qualification (advantageous).
    • GCC factories (Advantageous).

    IT Site Lead

    Qualifications, Skills and Experience Required for the Job

    • Bachelor’s Degree in Computer Science, Information Technology, or a related field is required. Alternatively, a combination of formal education and equivalent professional experience will be considered.

    Must hold certifications in:

    EDI Coordinator

    Job Purpose

    • To effectively manage and monitor the EDI ordering process by ensuring accurate and timely order processing, pricing validation, master data alignment, system integration, and resolution of EDI-related queries.

     EDI Processing Management

    Ensure daily EDI orders are processed accurately and on time before the EDI cut-off times.

    • Monitor and escalate any delays of time stamps of files received by customers with the SAP integration partner.

    Transport Planner

    Job Purpose

    • To develop and manage daily transport plans that balance service delivery with operational efficiency, while supporting vehicle tracking and resolving day-to-day operational queries. The role provides critical planning support to ensure effective fleet utilisation and a high level of customer service. In addition, the role manages principal customer logistics requirements at both operational and depot level. 

    Transport Planning & Scheduling

    • Develop daily route plans to ensure optimal productivity and service delivery.
    • Deliver route plans to depots or PBCS’s within agreed timelines.
    • Ensure planning is aligned with prescribed operational KPIs.
    • Review special delivery requests, update temporary master data, assess feasibility, and communicate outcomes to stakeholders.
    • Engage regional DC leadership teams or PBCSs to validate routing plans and ensure operational alignment.

    Warehouse Clerk

    Job Purpose

    •  Administration within the warehouse departments

    Key Responsibilities

    Checking and dispatching

    • Adhere to checklist for the Truck and confirm:
    • Clean vehicle
    • Pre-cooling done 
    • Temperature spec control
    • Checks picked stock against loaded stock for accuracy and correct any loaded variances / disparity
    • Dispatches stock items in an efficient, compliant and timely manner and dispatches stock from the warehouse including ensuring that they are not damaged, the cold chain has been maintained and that everything dispatched is accounted for on the loading document
    • Once the truck is confirmed as accurately loaded, closes the truck doors and seals the truck with a numbered seal which is recorded against a fleet number for the truck
    • Collates and handovers completed loading documents to the Billing Clerk
    • Records loading start / loading finish times to determine checking and loading rates and reports to the Shift Warehouse Controller any loading delays.
    • Record pallets dispatched on the truck.
    • Issue and receipt of stock and refrigerated / chiller stock management and rotation
    • Stock reconciliation and materials handling
    • Maintaining of ISO / HACCP health and safety and hygiene standards

    Billing

    • Compile the documents and records from different sources such as sales receipts, purchase orders, shipping invoices, credit slips, and tax statements.

    • Ensure the amounts captured into the system correlate with the receipts.
    • Send the bills to customers electronically via e-mail.

    Information and Data Management

    Transport Control Administrator -Polokwane

    Job Purpose

    • To mitigate Company risk by executing route assignments through daily dispatching and debriefing of drivers and vehicles. Coordinate the dispatch process per route and physically debrief of each route in order to support increased customer service and improve efficiencies in the business.

    Key Responsibilities

    Vehicle Dispatch

    • Administer and monitor the uploaded system route allocations on a daily basis.
    • Ensure that the vehicles are dispatched according to the agreed business process.
    • Responsible for issuing all relevant documentation to the driver including equipment (including but not limited to) vehicle keys, fuel cards, thermometers and navigational tools.
    • Check company resources and staff meet company standards as per the Daily Vehicle Checklist form.
    • Ensure the Tracking tripsheet is correct as per the physical situation in terms of driver, vehicle and other resources before the vehicle leaves the depot. 

    Driver Debriefing

    • Monitor real time fuel consumption, speeding, braking and other driving and vehicle performance exceptions prior to vehicle returning to the depot.

    • Liase with Tracking on road Execution Agents.
    • Retrieve the printed Debrief document and correct daily vehicle checklist prior to the drivers’ return.

    • Discuss, resolve and record any exceptions.
    • Walk the vehicles to confirm no damage or issues as per the Daily Vehicle checklist.
    • Get the driver to sign the Trip sheet, Debrief document and Daily vehicle checklist.

    Business Intelligence and Solutions Analyst

    Job Purpose

    • The purpose of the role is to manage, maintain and further develop the organisation's BI environment and associated costing and profitability models, ensuring that they provide accurate and reliable information for financial, commercial and operational decision making. The role is primarily responsible for maintaining the Activity-Based Costing model, including the underlying logic and assumptions that underpin the model. The model is used extensively for profitability reporting, new business costings, forecasting and budgeting. The incumbent will manage the end-to-end flow of data through the model and ensure the integrity of the system. The role acts as a key point of support for users of the system.

    Key Responsibilities

    TM1 Maintenance and Administration

    • Coordinate and execute the monthly and routine updating of data into the TM1 models and reconciling back to source systems.
    • Maintain and develop the organisation's models including its Activity-Based Costing model to ensure that costs are appropriately allocated to activities, business units, customers, products and services.
    • Maintain the cost drivers, assumptions and allocation methodologies underpinning the model to ensure that costing outputs continue to reflect the operational reality of the business.
    • Ensure that all models provide accurate and meaningful information for commercial and management decision-making.
    • Investigate variances and anomalies to identify and resolve potential data, model, allocation or business-process issues.
    • Identify and incorporate business and masterdata changes into the model.
    • Administer and maintain the organisation's TM1 environment, including cubes, dimensions, hierarchies, subsets, rules, feeders, processes, security and user access, to ensure the system remains stable, secure and fit for purpose.
    • Monitor TM1 processes and model performance, investigate system issues, and implement appropriate solutions to maintain reliable and timely outputs.

    Time and Motion Process Management

    • Manage the collection, validation and maintenance of Time & Motion data, ensuring accurate employee time allocations are reflected in TM1 and appropriately incorporated into costing models and cost drivers.

    Data Integrity and Validation

    • Perform data validation and reconciliation across source systems, ETL processes and TM1 models to ensure the accuracy and integrity of critical costing and profitability information.
    • Identify data-quality issues, investigate root causes and implement appropriate corrective actions to prevent recurring errors.
    • Maintain appropriate controls, validation procedures and audit trails over key data
    • and model inputs.

    Data ETL and Integration

    • Extract, transform and integrate data from SAP ERP, SAP BW, SQL databases and other disparate sources to provide reliable inputs for TM1, semantic models, costing, profitability and reporting solutions.
    • Use SQL and an understanding of relational databases and data structures to query, manipulate, validate and investigate data.
    • Develop and maintain production data warehouses in SQL server.
    • Develop and maintain automated ETL workflows using Alteryx to streamline data preparation, improve data quality and ensure the timely and consistent availability of information.
    • Apply appropriate business rules to cleanse, transform, join and aggregate data from multiple sources to produce fit-for-purpose datasets.
    • Monitor automated data processes, investigate failures and data anomalies, and implement corrective actions to maintain reliable data flows.
    • Document key data flows, transformations, dependencies and controls to support the ongoing management and integrity of the data environment.

    Stakeholder Support and Engagement

    • Act as a subject-matter expert for TM1-based costing and profitability models and provide guidance and technical support to users on the interpretation and use of system outputs.
    • Investigate and resolve user queries and discrepancies and provide clear explanations of technical, costing and data-related issues to non-technical stakeholders.
    • Manage development projects end-to-end from gathering requirements to final delivery keeping scope, timelines and stakeholder expectations on track.
    • Escalate decisions involving fundamental costing methodologies, material financial assumptions, system architecture or business policy to appropriate stakeholders.
    • Share knowledge and provide training to users where required.

    Automation, Development and Continuous Improvement

    • Support the ongoing development and enhancement of the models and functionality to meet changing business and reporting requirements.
    • Develop specification documents for new models and functionality, and manage testing, migration and deployment of changes into production
    • Engage with Finance, Commercial, Operations, IT and other stakeholders to understand business requirements and translate them into practical solutions.
    • Identify manual, repetitive or inefficient processes and develop automated solutions to improve efficiency and reduce manual intervention.
    • Continuously evaluate opportunities to improve the TM1 model performance, data processes, reporting functionality and costing methodologies.
    • Challenge requirements where appropriate and recommend solutions that improve efficiency, accuracy, automation and sustainability.

    • Experience in administering and developing TM1 / IBM Planning Analytics models.
    • Relevant SQL, database, data analytics or business analysis certification.
    • Experience developing and maintaining Powerbi semantic models.
    • Previous SAP ERP and SAP BW end-user experience is highly advantageous.
    • Experience in Activity-Based Costing, financial modelling or management reporting.
    • Experience in logistics, warehousing, distribution, manufacturing or other operationally complex environments.
    • Experience using Alteryx or comparable ETL/data preparation platform.

    Skills and Competencies
