    Facilities Coordinator

    Key Purpose Statement

    • To support the management of the facilities and quality to ensure a safe, clean and hygienic, healthy and legally compliant work environment to best practise. This includes the coordination and execution of all administration tasks and facilities management related services and processes which support all activities and operations on/at the relevant premises. To ensure that the most suitable working environment is created and maintained for all employees and their activities with a focus on continuous improvement within a cost-effective framework

    Key Duties & Responsibilities    
    Key Outputs and Accountabilities

    Maintenance management  

    • Coordinate the cost-effective maintenance (both scheduled and reactive) of the relevant building, including but not limited to electrics, plumbing, gardening, air conditioning, audio visual, fittings, fire equipment, furniture and meeting room equipment.
    • Interact with external stakeholders including but not limited to Municipalities / Eskom / Local Business Forum’s.
    • Provide effective and timeous facilities administrative related support of the COF premises
    • Update and maintain all databases and records, including electronic and hard copy records including but not limited to employee lockers, asset lists and other SHERQ requirements
    • To attend to communication by co-ordinating all relevant notifications as and when necessary and conduct any required SHERQ training related to the facility.

    • Regular update and maintaining of initiative registers (CAPEX and OPEX) and Inspection Sheets (quarterly) and SHERQ records.
    • Execute small facilities related projects with guidance from the projects team.

    Soft Services Management

    • COF Facilities Management but not limited to operational activities on a day-to-day basis:
    • Mechanical Services or air-conditioning

    • Ensure that negotiated Service Level Agreements are tightly managed for:
    • Cleaning contracts including but not limited to Canteen, Office Space, Meeting Rooms and Cafes.

    Quality Systems

    • Maintain ISO 14001 and ISO 9001 systems for the facility and manage all related documentation
    • Canteen:  Manage canteen SHE System and Safety Representatives.
    • Ensure accurate utilisation of the RUBI risk system.
    • Ensure that BCM is reviewed and updated.

    Security and Accident Management:

    • Maintain and communicate safety and emergency procedures at Central Office site.
    • Manage approved procedures to ensure building security including the monitoring of the CCTV.
    • Manage access control at Central Office Site in consultation with the Midrand Site Risk Controller.
    • Manage the security company against Service Level Agreement.
    • Management of parking and access control for all sites.
    • Management of the shuttle service.
    • Interpret and action insurance claims incidences for Central Office.
    • Level of interaction within and outside of the company as well as the nature and purpose of the interaction

    The role interacts with:

    • External contractors in close consultation with the Risk Controller, Quality Specialist and other key role players
    • All Central Office / Sales / Depot staff, across departments and organisational levels as per the requirement at the relevant facility.
    • Outside service providers as relevant to facilities maintenance and management requirements
    • External contractors or guests using strong internal customer focus while portraying a professional demeanour and discretion will be exercised within well-defined parameters.

    Qualifications and Experience

    • A minimum requirement – A Technical Diploma with facilities management experience or equivalent. A relevant professional and vocational NQF 6 qualification (e.g., Facilities or maintenance management diploma would be applicable.

    Risk Controller

    Key Purpose Statement

    • To provide operational line management with a comprehensive and professional integrated risk management service and support the RISK management components of CCBSA ensuring that the business operates in a lawful and ethical manner.

    Key Duties & Responsibilities    
    Risk Management

    • Support through coaching, guiding and facilitating in the execution and implementation of the company Risk Management and control strategy to minimise risks, losses and exposures and ensure that risks are effectively and accordingly managed.
    • To provide professional expertise, consultancy and audit services in the disciplines of Risk Management and Control (Protection of CCBSA  assets), Investigation of Serious Crime, Forensic Audit, Security, Occupational Health, Medicine & Hygiene, Safety, Fire and Explosion Protection (LPG Installations, Diesel and Petroleum), relevant legislated compliance and insurance policy adherence.

    Security management/fraud/stock loss investigations

    • Ensure through appropriate security providers, that the site is adequately secured from a physical, electronic and guarding perspective.
    • Conducting a RACM audit to ensure compliance with fraud/theft risks, policies and procedures to mitigate or transfer the risk.

    Insurance

    • To assist in ensuring that the CCBSA Corporate image and insurance fund is protected by ensuring that at corporate arranged events risks are assessed and safe for the public in attendance.
    • To monitor insurance claims and costs, in liaison with the Regional Risk Manager, with the objective of reducing risks and insurance costs, reducing claims and creating savings, ensure that applicable excess recoveries actually occur.

    Occupational Health and Safety

    • To ensure compliance with the Occupational Health and Safety Act at the CCBSA manufacturing, warehousing facilities, depots, LDPs and sales offices.
    • Implementation of a Nosa 5 star system within Manufacturing and identified depots.
    • Ensure that the SHE management system is fully integrated with KORE and other external requirements.
    • Ensure all new employees and contractors are inducted on the SHE programme.

    Environmental 

    • To identify appropriate corrective actions arising from NOSA, Insurance and legal compliance audits and manage corrective action.
    • Maintain the environmental management programme and monitor key environmental indicators for the sales and distribution environment. (S&D Specific leadership required)
    • Monitor with Occupational health practitioner results in respect of occupational health and environmental risk assessments and surveys (E.g. illumination and noise levels, emissions, ventilation etc.).

    Legal Compliance

    • Monitor legislation in regard to health and safety. OHS Act and the various Regulations, COlD Act, Hazardous Substances and Major Hazard Installation regulations to ensure liabilities are addressed and to avoid as far as possible criminal and civil action against CCBSA, Directors and Executive Management, by ensuring adequate compliance levels without compromise.
    • Ensure applicable designations (legal appointments) in terms of OHS Act and regulations are in place.

    Fire and explosion protection

    • Ensure that these risks are adequately addressed and to monitor audits/surveys/maintenance to ensure that fire and explosion risks are minimised.
    • Ensure fire equipment is adequate in relation to the risk, reliable and in a ready to use state. (Both fixed and portable)
    • Ensure ASIB certification for Fire pump and sprinkler system and weekly checks, services and maintenance programme is in place. (where installed).

    Contractors and General

    • Ensure that all contractors undergo site SHE induction and comply with CCBSA internal contractor management requirements.
    • Any construction work conforms to the requirements of the Construction Regulations (required SHE plan etc) including Capital projects and Civils etc.
    • Develop sound relations with external legal authorities e.g. Dept. of Labour, local police and services, consultants, Insurance Agents and Approved Inspection Authorities, and relevant areas of expertise, to ensure sound corporate risk management practices.

    LDPs (Local Distribution Partners)

    • The LDP must comply to basic SHE and legal requirements. The Risk Controller in liason with the relevant LDP manager must ensure legal compliance is adhered to by the LDP owner and staff. Regualr audits are required to measure performance.
    • As new LDPs are identified, the Risk Controller must conduct security risk assessments, and oversee the installation of the security system. Security must be monitored at regular intervals to ensure the site is adequately coovered to reduce the risk.

    Skills, Experience & Education    
    Key Qualifications and Experience 

    • A minimum of a National Diploma in Risk Management or Equivalent.
    • A minimum of 2 to 5 years practical risk management experience having worked within an industrial or FMCG environment (This should have included accountability for Occupational Health and Safety, Environmental management, Security Management, investigating serious crime including theft and fraud, case docket compilation for external criminal and internal disciplinary hearings, Dust/Gas/Sugar Explosion/Fire protection, Environmental compliance etc).
    • Have a valid code B drivers licence.
    • Must be willing to travel extensively.

    Financial Planner Budgeting & Scenario

    Key Purpose  

    • To execute scenario and business planning processes by conducting various analyses and running of financial models, used to support the delivery of the CCBSA Annual Business Plan (ABP), Long Range Plan (LRP) and forecasts, aligned to the CCBSA business strategy.

    Key Duties & Responsibilities

    Budgeting and Scenario Planning (Group, Regional and Forecasts)

    • Calculate revenue, raw materials and discounts across CCBSA, using input model and submit into the budgeting platform tool for ABP, LRP and forecasts. 
    • Prepare and compile templates for the ABP, LRP and forecast related information in preparation for submission, as part of the pre-budgeting process.
    • Upload approved ABP, LRP and forecast information onto budgeting reporting platform for submission to Group Office. 
    • Propose timelines for regional forecast submissions, through collaboration with business stakeholders, to ensure timeous completion. 
    • Conduct variance analyses and provide input into commentary for month-to-month movements, in the respective financial statements, to identify the key drivers of these movements. 
    • Prepare mid-month forecast model to determine the forecast view of the income statement.
    • Prepare the rolling estimate forecast (Income Statement, Balance Sheet and Cash Flow) for all entities in the South African statutory group structure, and upload onto the statutory reporting platform post final approval.
    • Prepare master data requests and log calls to ensure alignment of budgeting tool platform to identified models, enabling ensure adequate preparation for the budgeting process. 
    • Draft presentations to illustrate comparisons across regional and group budgets and provide input into commentary. 
    • Upload regional budgets onto the ERP platform to ensure regions are able to measure monthly financial performance against the budget. 
    • Run adhoc scenario planning models to predict future outputs and feedback to business stakeholders. 
    • Train and upskill new users on the budgeting tool to drive capability. 
    • Coach regional finance teams on the budgeting tool to resolve any queries and build capability.

    Governance 

    • Pull reports from the statutory reporting platform to be used as evidence in the Corporate Audit Division (CAD), internal and external auditing processes. 
    • Attend quarterly full-stock count within region, as a management control requirement, to ensure accurate stock reporting.
    • Execute action plans to ensure closure of audit findings.  

    Skills, Experience & Education    
    Qualifications and Experience

    • BCom Honours degree in Accounting or Financial Management.
    • Chartered Accountant of South Africa (CA(SA)) / Certified Institute of Management Accountant would be advantageous.
    • 3-5 years of finance experience.
