Principal Accountabilities:

Programme Management and Support:

• Assist Programme Manager in the planning, execution, and monitoring
• Track milestones, deliverables, and timelines to ensure adherence to project plans.
• Work closely with action owners to drive delivery to plan, understand blockers and propose solutions. 
• Facilitate communication between project teams, stakeholders, and management.
• Schedule and coordinate project meetings, prepare agendas, and document meeting minutes.
• Support Programme spend tracking and reporting against budget.
• Help design and continuously improve programme delivery processes

Documentation and Reporting:

• Maintain and update project documentation, including project plans, status reports, risk logs, and change requests.
• Help prepare regular project status reports, dashboards, and metrics for stakeholders and senior management.
• Administer and maintain project repository

Stakeholder Communication:

• Support programme team onboarding & stakeholder communication.
• Assist in managing stakeholder expectations and fostering positive relationships.

Risk and Issue Management:

• Assist in identifying, assessing, and monitoring project risks and issues.
• Support the development of risk mitigation strategies and contingency plans.
• Maintain risk and issue logs and ensure timely escalation to management when necessary.

Key Challenges:

• Rapid and effective project management.
• Ensuring adherence to project framework, governance, and associated controls.
• Tracking and reporting project spend.

Requirements

• 2+ years of experience in project management, PMO, or similar role is mandatory.
• Experience must include monitoring, controlling, and reporting on multiple projects / programs, with teams distributed across Africa and Europe.
• Proven demonstration of strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
• Ability to work independently - within a pressurized environment - and take initiative in a fast-paced environment.
• Excellent verbal and written communication and interpersonal skills with a proven ability to effectively manage and engage diverse stakeholders at all levels.
• Familiarity with project management methodologies such as Agile, Waterfall etc.
• Strong attention to detail and commitment to delivering high-quality work.
• Advanced skills in Microsoft Office suite (Word, Excel, PowerPoint, MsTeams).
• Good Presentation skills & Facilitation skills.
• Strong problem-solving skills.
• Assertiveness & demonstrated ability to deliver through others.
• Conflict handling / management.
• Project management qualification preferred
• French language beneficial

Principal Accountabilities

Non-Bulk Fuel Product Price Updates

• Accurately capture updates on non-bulk fuel product selling price received from the business into SAP to ensure that customer billing is correct and that business requirements are fulfilled and adhered to.

Bulk Fuel Product Price Updates

• Accurately capturing price updates for regulated bulk fuel products received from the department of energy thereby ensuring customer billing is correct and that regulatory requirements are fulfilled.

Discount Capturing on SAP

• Accurately capture discounts received from the business to ensure that customer billing is correct and that business requirements are fulfilled.

Margin Control

• Analyse Customer pricing errors and accurately process conditions necessary to manage customer margins.

Query Management

• Manage all incoming queries by ensuring that they are logged and resolved according to GBS SLA's.

• Foster and sustain effective working relationships and rapport with the government authorities, business and management institutions, national and key industry players and service providers to keep abreast with latest development to capture new business opportunities.

COBE, POPI, and ABC Policies

• Communicate, interpret and champion the execution of Engen's policies and provisions of the Codes of Conduct & Business Ethics (COBE), Protection of Personal Information (POPI) and Anti-Bribery & Corruption (ABC), and undertake appropriate mitigation and/or intervention programmes to safeguard business operations, high staff discipline and industrial harmony.

• Enforce the implementation of applicable Vivo Energy procedures and guidelines and affect the compliance to statutory and legislative requirements to ensure conformance to the established Limits of Authority (LOA) to safeguard Vivo Energy interest, image and reputation.

Requirements

• NQF level 6 (Diploma in Finance)
• 3 years customer pricing experience;
• Experience in updating SAP condition records.
• Experience and/or understanding of South Africa's regulated pricing models (advantageous).
