    Events and Logistics Specialist

    About GIZ

The South Africa Lesotho eSwatini Country Office provides operational procurement logistical event and travel support to all clusters and projects ensuring compliance service excellence and efficient delivery.

    Requirements and Qualifications

    Qualifications

    • Bachelor of Commerce in Purchasing Supply Logistics Supply Chain Management or Business Administration
    • Honours or Master of Business Administration
    • MCIPS or CIPS Accreditation

    Professional Experience:

    • Minimum of 5 to 8 years experience in a comparable position
    • Solid understanding of Procurement principles and fundamentals
    • Experience with an international donor agency

    Skills and Competencies

    • Intermediate to advanced ICT and ERP proficiency
    • Knowledge of National or EU Procurement laws
    • Excellent written and verbal communication skills
    • Strong command of English knowledge of German is an advantage
    • Customer service and solution orientation
    • Excellent interpersonal and collaborative ability
    • Strong negotiation and conflict management skills
    • High level of organisation self management and prioritisation

    Why This Role Matters
    This role anchors all events travel logistics and procurement support for the Country Office. You will ensure compliance accuracy and operational excellence across diverse stakeholders while driving continuous improvement and digital transformation within the Unit.

    Key Responsibilities:

    • Events Management
    • Organising all elements of events as defined by GIZ including procurement and contracting support
    • Developing multi year Framework Agreements where relevant
    • Designing communicating and maintaining Standard Operating Procedures
    • Ensuring audit proof use of systems records and functional mailboxes
    • Upholding value for money through market analysis cost reviews and strong negotiation
    • Submitting documentation for accurate financial processing
    • Clearing receivables timeously
    • Coordinating delivery and return of workshop materials
    • Collecting analysing and implementing service feedback

    Travel Management

    • Procuring outbound flights for staff partners and visitors
    • Advising and booking safe travel in line with GIZ Security protocols
    • Managing end to end business travel visas
    • Advising teams across the Country Office and Clusters on travel regulations
    • Updating the Travel Policy for South Africa Lesotho and eSwatini
    • Ensuring competitive pricing aligned with PuR
    • Maintaining accurate travel data
    • Ensuring compliance with VVT and Data Privacy requirements
    • Supporting SAP Concur
    • Preparing tender documentation
    • Coordinating implementation of the global travel system

    Logistics Management

    • Managing transfers and transhipments including goods information and financial flows
    • Leading importation processes using correct Incoterms clearance and collection
    • Advising seconded experts with household goods during arrival and departure
    • Updating tracking and tracing of shipments
    • Leading Records Management Archiving and Filing within Procurement and Contracting
    • Coordinating preparation approval and shipment of files to Head Office
    • Ensuring adherence to Filing Management and Key Policies
    • Submitting and coordinating insurance requests and claims
    • Managing vehicle registration and deregistration through the German Embassy DIRCO and NDoT
    • Ensuring valid insurance for all GIZ vehicles until deregistration
    • Managing ownership transfers and diplomatic plate processes
    • Supporting Finance with SARS and VAT claims for diplomatic staff

    Cross Category Procurement Support

    • Procurement of Materials and Equipment
    • Managing tender processes aligned with GIZ rules and Sustainable Procurement
    • Benchmarking pricing
    • Ensuring efficient receipt inspection and defect reporting
    • Maintaining supplier data and conducting market research
    • Supporting inventory and asset registry processes
    • Clearing procurement processes including Obligos

    Service Works and Construction Contracts and Financing Arrangements

    • Managing RFx processes
    • Establishing Service Works and Construction contracts including iDPPs
    • Concluding Financing Arrangements with eligibility checks
    • Establishing Framework Agreements aligned with PuR
    • Executing tender procedures
    • Ensuring adherence to Signatory Protocols
    • Monitoring contract performance and supplier relations
    • Maintaining SAP supplier data
    • Ensuring clearance of receivables and contract closure

    General Responsibilities

    • Improving processes templates and checklists aligned with PuR
    • Supporting digital transformation of systems and tools
    • Communicating professionally with stakeholders
    • Coordinating and delivering training sessions
    • Contributing to quarterly KPI reporting
    • Applying risk management to ensure business continuity
    • Preparing for audits and internal controls
    • Deputising senior specialists when required
    • Completing additional duties and required training

    Additional Information

    • Position based at the GIZ South Africa Lesotho eSwatini Country Office in Pretoria Hatfield
    • Fixed term contract for 24 months

    Intern – IT

    • Based in Hatfield and reporting to the Head of Finance and Administration with guidance from the IT Specialist this 6-month role places you at the centre of GIZ’s digital operations. You will support the smooth running security and reliability of all IT systems ensuring colleagues can work efficiently across the organisation.

    What You Need to Succeed...

    Qualifications:

    • Diploma or Degree in IT
    • Training for Microsoft Windows Server 2012 or 2016, Windows 10 and MS Office 2016 or 365 (certificate advantageous)
    • CompTIA A+ and N+ certificates (advantageous)
    • CCNA training (certificate advantageous)
    • Outstanding knowledge of IT hardware, software, networks, database systems and security
    • Knowledge of SAP or WINPACCS is advantageous

    Professional Experience:

    • Up to 6 months experience in an IT support or similar role (advantageous but not required)

    Additional Competencies

    • Strong working knowledge of ICT technologies, MS Office 365, MS Teams and general IT applications
    • Good command of English, German an advantage
    • Strong communication skills, interpersonal maturity and collaborative approach
    • Ability to work under pressure, prioritise and meet deadlines
    • Proactive, structured and able to work independently
    • Willingness to upskill continuously

    What You Will Be Doing ...

    • You will support colleagues across the Country Office and projects with day-to-day ICT needs, ensuring that all systems remain stable, secure and aligned with GIZ IT regulations.

    Key Responsibilities

    • Maintain hardware and software to minimise interruption to GIZ operations
    • Ensure compliance with ISO or IEC 27001 related guidelines
    • Identify issues, propose solutions and support digital improvements
    • Support innovation, documentation and knowledge management

    Technical Tasks You Will Support

    IT Infrastructure and Tools:

    • Assist with purchasing, installing and maintaining hardware such as notebooks, servers, printers, scanners and digital devices
    • Monitor hardware and software condition and assist with upgrades 
    • Support the maintenance and updating of Office 365, SAP, Payroll, Windows 10 or 11 and Server environments
    • Support software updates and acquisitions 
    • Monitor internet connectivity 
    • Help maintain the local area network

    IT Security

    • Monitor vulnerabilities in communication networks 
    • Support compliance with GIZ IT and data security rules 
    • Update antivirus and operating system patches  
    • Maintain user permissions and shared folder access  
    • Assist with backups and recovery processes

    General IT Support

    • Support administration of the entire IT system
    • Assist in safeguarding systems against security threats
    • Resolve user support requests and provide telephonic assistance
    • Maintain IT emergency readiness
    • Support IT related projects
    • Maintain and update hardware and software inventories
    • Document server and workstation settings
    • Ensure on-site IT is aligned with GIZ IT guidelines
