    Main Purpose of Job

    The main purpose of this role is to ensure that all AGR events are rolled out effectively, ensuring that they add value and meets the high standards of quality, as well meeting the objectives outlined by stakeholders. The co-ordinator provides support to the national team with all regional event rollout, logistics; post event reporting and analytics.

    Minimum qualifications

    Diploma (1 year)

    Minimum experience

    2 years within a similar role

    Desired experience

    4 years’ working experience, 3 years in a similar role


    Specialised /Technical Competencies

    • Pre- planning
    • Understand the strategy of the division in terms of market penetration and positioning Deloitte as the pre-eminent employer of choice in the South African and global market places
    • Utilizes the understanding as well as creative and innovative ideas to ensure that all events fall within the strategic parameters
    • Plan/give input into collation of the annual AGR events calendar, focused on functions that are consistent and cyclical.
    • Understanding market segmentation as well as market preferences and ensuring alignment with Deloitte AGR goals and market demands
    • Ensure adherence to the plan throughout the year, make necessary in line with business needs
    • Event Planning and Coordination
    • Conduct a complete and thorough stakeholder analysis for each event or programme
    • Responsible for full detailed planning and write up of event plan to be submitted to management for approval
    • Ensure that there is a full “physical walk-through” before each event -
    • Responsible for drawing up the project budget and tracking the project against this
    • Once approved, to focus on the pre-organisation which includes:
    • Suppliers liaison
    • Vendors liaison
    • Locations organisation
    • Communication of event
    • Marketing of event to stakeholders
    • Focused on the detail to take the event from ordinary to extraordinary
    • Attendance management, includes invitation and RSVP
    • Social Media
    • Prepare communication plans for all social media platforms in line with AGR and broader firm themes
    • Research and collate articles for broadcasting
    • Engage with stakeholders and creative teams for input on articles
    • Prepare and publish all social media content on all selected platforms in line with social media plans
    • Execution of Events
    • Ensure that events and conferences are rolled out effectively, ensuring that they add value, meet high standards of quality and are aligned with the strategic goals of the firm
    • Ensure that you are physically present at the event to monitor any queries or issues which arise on the day - where needed and pre-determined
    • Ensure that all elements are ready for the event to go live in time to meet management requirements
    • Support function for individual hosting the event, where applicable
    • Operational Effectiveness
    • Ensure that there is a full “physical walk-through” at events, pertaining to big event, outlined in the working
    • Obtain an in-depth understanding of our Database Management Systems, with a particular focus on the event modules within the systems
    • Responsible for maintaining the Database Management Systems as well as the data integrity on these with respects to events
    • Reporting
    • Responsible for the financial administration of events
    • Liaise with the Finance Team to understand budgeting constraints with support from the M&E team leader
    • Responsible for the full budgeting of the event, which includes tracking spend against the budget and reporting to management
    • Any over budget or increased budget requests must be submitted to the team leader prior to the event
    • Provides accurate reflection of expenses for each programme
    • Within 7 working days of the event conclusion close project and submit BvA to team leader and finance manager
    • Provide documented evidence to any over budget expenses. This must be presented to the team leader and finance managers upon conclusion of the BvA
    • Complete the financial process per event/project by reviewing entries against GL and making any necessary corrections or amendments
    • Responsible for Operational Reporting
    • Timely reporting as per project managers request
    • Comparison between planned and actual event
    • Return on investment in terms of meeting predefined objectives
    • Responsible for Development and Learning feedback
    • Team feedback on learning from each event
    • Broadcasting and Communication
    • Responsible for eminence of the AGR Team, including but not limited to providing written and verbal communication to relevant stakeholders through various media platforms such as (Facebook, Twitter, Instagram, Blogging, Website, Email, Newsletters)
    • Ensure that there is constant 360 Degree Communication
    • Communication before, during and after an event to ensure buy-in from stakeholders, attendance at event and overall eminence of the firm and the AGR Team
