    Administrative and Leasing Assistant

    Job description

    Job Purpose: To provide support for three top level executives by providing executive level administrative support through clerical support, receiving clients and visitors, arranging travel and correspondence, and scheduling meetings. Responsible for the administration and preparation of lease agreements, as detailed by the appropriate executive/s.

    Roles and Responsibilities

    • Manage and maintain executive schedules, including scheduling travel, making appointments, and making changes to appointments.
    • Answering and directing calls to appropriate executives and parties, taking messages.
    • Perform searches on prospective clients based on information provided (training to be provided)
    • Prepare lease agreements based on client application forms (training to be provided)
    • Ensure FICA documents are received and recorded for all clients (training to be provided)
    • Greeting visitors and determining access to appropriate parties.
    • Overseeing administrative policies within an organization and within the office; recommending changes as appropriate.
    • Develop and utilize historical information; provide retrieval of information.
    • Occasional record meeting discussions and provide minutes.
    • Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.
    • Proficient in MS Word, Excel, Outlook.
    • Interact with customers when appropriate and problem solve. Document complaints and develop an appropriate course of action. Report problems to executives when they cannot be resolved for attention.

    Preferred Qualifications/Experience

    • 3+ years administrative support or executive assistance
    • Problem solving ability
    • MS Office experience

    Salary

    Commensurate with Experience
