    Customer Services Coordinator

    Description

    Main Purpose

    Provide support to the different areas in what respect to planning and coordination of various modes of transport, clearing and warehousing

    Key Responsibilities

    • Understand our business & operate widely, cooperate with and consider other relevant departments in terms of business, controls, related processes and problem solving;
    • Efficient planning and coordination of various modes of transport (rail, road, ocean), clearing and warehousing to ensure accurate and timely execution of all customer orders and related operations with maximum efficiency;
    • Liaising with suppliers and bookings services in accordance with internal procedures and SLA’s;
    • Ensure that all customer and supplier queries are resolved accurately and in timely manner;
    • Arrange KYC approval for new clients and suppliers prior to new business transactions;
    • Opening of all MTC’s, monitoring and controlling the accurate and timely completion of all MTC’s;
    • Revenue management - ensure timely and accurate issuance of settlement proposals and payment to suppliers, invoicing to clients, reconciliation and closure of projects profit and loss accounts;
    • Recording of all transaction details in relevant IT systems (Navitrans/Alfresco) according to procedures;
    • Regular tracking and reporting of the goods to the clients and other Impala teams as required, including pre-alerts, stock reports, forecasts, receipts and dispatches from warehouse, shipment details;
    • Investigate delays, breakdowns and report to operations manager and clients as required;
    • Manage the forwarding, tracking and reporting in accordance with our customer SOP’s and ensure that KPI’s are met and exceeded on a consistent basis;
    • Preparation and issuing of quotations for business in accordance with internal procedures;
    • Ensure compliance with Impala internal operating procedures including recording, filing and including the input and managing of information systems (Operational and Accounting);
    • Work closely with the other departments (Operations, Finance, HR, and Customs Clearing) to ensure that both our business and client’s expectations are met;
    • Continuously improve operating standards, clients service and support for Impala teams;
    • Pro-actively analyse the tracking data to find trends of poor performance by suppliers, clients and Impala and report to management with proposals for how to improvement the poor performance;
    • Pro-actively manage standing time and demurrage (trucks, containers, wagons, sea freight);
    • Comply to country specific regulations;
    • Perform additional duties as assigned.

    Knowledge Skills And Abilities

    • Mnimum 5 years’ experience in freight forwarding (road, rail, shipping), clearing, warehousing and related services in SADC Region.
    • experience in freight forwarding and logistics for chemicals, agri commodities and industrial minerals
    • Tertiary education in the relevant field.
    • Attention to details, high level of accuracy and structured approach to work.
    • Prioritisation skills, time management skills.
    • Proficient computer skills in particular in Excel, Navitrans, Qlickview and Powerpoint .
    • Analytical and problem solving skills.
    • Strong understanding of finance and accounts including P&L’s, pricing, exposure reporting;
    • Strong negotiations skills and the ability to understand the market that we operate in.
    • Passion for clients and the ability to support the sales process.
    • Languages: Fluent English – oral and written. Additional language preferable - French, Swahili, Afrikaans or Mandarin.
