    Project Manager and Coordinator (Member Engagement)

    Job description

    KEY TASKS & RESPONSIBILITIES

    Purpose of Role

    We would like to invite candidates that fit the profile to apply for a contract position until 30 November 2017. The purpose of the role is to assist the Member Engagement department to achieve its mission and vision by managing and implementing various projects to ensure they are completed within time, cost quality and scope. The role will include project management (60%) and coordination of the activities of the department (40%)

    • Project Management (60%)
    • Project Communication
    • Create project communications plan
    • Creating progress reports and dashboards for stakeholders, as required
    • Timely generation, collection and dissemination of information throughout the project
    • Creative presentation of project elements
    • Project Finances
    • Prepare budget
    • Perform cost-benefit analysis
    • Track actuals to budget
    • Consultation with relevant stakeholders if estimated budget is to be exceeded, during the project
    • Risk and Issues Management
    • Document and track issues, both within in outside of the project
    • Assess, document and manage internal and external project risks; and develop contingencies and mitigation plans
    • Use proven problem-solving to address risks and issues identified in projects
    • Manage the duration of the project
    • Using standard project management tools and techniques, plan, track and correct project performance, in working towards effective executing on project objectives
    • Prioritising work, as required
    • Coordinating, implementing, testing and delivering a project within set time frames
    • Stakeholder Management
    • Understand and document the business requirement and ensure stakeholder expectations will be met
    • Identify optimal resource requirements
    • Motivate project members
    • Establish and maintain a clear team structure
    • Documentation and Information Management
    • Prepare business cases for projects where required
    • Prepare project summaries for meetings where required
    • Ensure that all projects specific documents are created and the necessary sign off is obtained
    • Ensure project documents are stored in appropriate locations
    • Quality Management
    • Ensure the result of a project meets the needs for which the project was undertaken (includes quality planning, assurance, and control)
    • Understand how to obtain and ensure quality results for total client satisfaction, can take corrective actions and effectively perform verification of project standards.
    • Scope Management
    • Limiting and controlling the work included in a project and ensuring that all the work of the project is included in what is delivered
    • Establishing a clear scope (inclusions and exclusions)
    • Identifying and defining requirements and objectives
    • Using effective change control
    • Policies, procedures and templates
    • Develop fit for purpose policies, procedures and templates for the department
    • Procurement and Contracting
    • Understanding the procurement and contracting policies of the organisation and applying them in project initiation and delivery, as required
    • Contributing towards the creation of relevant and meaningful contracts
    • Tracking project against the agreed-on contract
    • Vendor management, where external resources are involved in project delivery
    • Benefits management
    • Actively manage the benefits of the project by creating SMART objectives and assist stakeholders to ensure that they are met
    • Coordination of projects/initiatives (40%)
      • Assist the Member Engagement team with the following projects/initiatives:
      • Budgeting and planning for 2018
      • Champion the development of digital content for local and international members
      • Member experience management project
      • Plan and prioritize member hierarchy of needs initiatives
      • Member Professional development catalogue 2018
      • Planning for changes to the CPD policy
      • Planning for conferences 2017 and 2018
    • Reporting
      • Assistance with these projects will entail:
      • Budget calculations and preparation of budgets
    • Research
      • Strategy creation and planning
      • Requesting information from various stakeholders
      • Drafting of communications to members and other stakeholders
      • Attending and participating in stakeholder meetings
      • Procurement of suitable vendors
      • Prepare legal contracts
    • Reporting
      • Create business case document
      • Create user requirement specifications

    General

    • Assist the team and specifically the Senior Executive in overflow circumstances and as the need arises;
    • To treat members, trainees and students contacting SAICA with a professional approach;
    • To be service orientated in dealings with members, trainees, students or customers;
    • To have a sufficient knowledge of the departments within the Secretariat to assist with queries
    • Perform any other functions or activities that my reasonably be required to enable SAICA generally or the unit specifically to achieve its strategies;
    • Adhering always to SAICA’s policies and procedures including policies and procedures relating to;

    Qualifications

    • Project Management Qualification – highly advantageous
    • Degree from a recognized university

    Position is open to CA(SA) members with at least 2 years post articles experience

    Experience

    • Minimum of 5 years project management experience/project coordination
    • Computer Literacy
    • Advanced MS Projector other project management tools
    • Advanced MS Excel
    • Advanced MS Powerpoint
    • Document Management
