    Payroll Accountant II

    Job description
    Job Description

    Overall Purpose of the job:

    The purpose of the role is to ensure an accurate, timeous processing and payment of employee salaries in AVI. The incumbent is expected to provide a value added service that complies with all legislative, audit and business requirements.

    Main Duties & Responsibilities
    Preparation for payroll

    • Follow up and resolve all outstanding master data, workday and payroll input queries with site
    • Check all Timesheet entries from sites are approved
    • Check all workflows from site are approved
    • Sense check working hours, overtime and general payroll changes and input for accuracy & errors
    • Ensure all payroll entries are received
    • Ensure all new terminations and changes are received from HR
    • Ensure all supporting documentation is received

    Payroll Input

    • Receive input from site, HR Admin and third parties
    • Capture all master data information, earnings and deductions accurately
    • Capture all staff movements
    • Ensure that all payments and deductions are correctly calculated including manual checking of pro-rata calculations
    • Ensure that all outstanding debt has been included for recovery in the final payment run of a terminated employee
    • Monitor monthly deadlines and continuously engage with sites and HR admin to ensure all input is received by payroll close and escalate to Team Leader if necessary
    • Ensure all documentation is complete & accurate and processed through payroll by payroll close

    Payroll processing
    Payroll

    • In the event of transfers, ensure that the payroll run is correct
    • Verification of data accuracy:
    • Master data detail (per employee)
    • Cost Centre assignments
    • Overtime hours
    • Pending leave entries
    • PSIRA capturing and balancing

    Run payroll, check nett pay results, compare variances to input and investigate & correct differences
    Print payslips and ensure timeous delivery to sites
    Run reports for Finance and ensure all department have all the necessary payroll information

    Financial

    • Payroll corrections should be balanced to the finance recons
    • Ensure all Finance related queries are address accurately
    • Balance month end reports
    • Reconciliation of Medical Aid
    • Reconciliation of Provident fund
    • General 3rd party recons to be done monthly
    • Manual payments must be checked, loaded and prepared for sign-off

    General

    • Ensure that customers queries are address within 24 hours
    • Keep Customers informed of all changes and requests outstanding

    Statutory and Annual Process checking

    • Correction of master data for the preparation of IRP5’s
    • Check accuracy of data for the following annual processes:
    • Salary and wage increases
    • Short term incentive payments
    • Black Share payments
    • Medical aid changes

    Job Qualifications

    Minimum qualifications and experience:

    • Matric
    • Diploma in payroll administration
    • VIP Software / and or any other payroll system knowledge
    • Microsoft packages
    • Exposure to an HR administration system.
    • Understanding of legislations governing payroll function
    • Computer skills
    • Communication skills
    • Team worker
