Purpose Of The Position
Reporting to the Head of Forestry Operations, Central Region, the incumbent of this position will provide a Receptionist / Administrative support service to the regional office situated in Piet Retief.
EDUCATION
Min Education Required
Grade 12
TERTIARY: ESSENTIAL
National Diploma in Office / Business Administration / Secretarial or similar equivalent commercial qualification
Job Experience
Minimum 3 years general admin/receptionist experience.
Responsibilities / Kpas
To portray a positive image of the company
General reception duties: Front desk, switchboard, etc.
General Office Administration including, but not limited to:
Recording of Electricity, Water, Telephone and any other related expenditure and invoices as required
Debtor invoicing and loading onto SAP with correct approvals, distributing to Debtors and filing
Creating purchase requisitions, following up on quotations, order numbers and invoices, workflow, obtaining of signatures on quotations and invoices
Accurately taking and conveying messages to relevant employees
Updating and distributing of regional telephone lists
Drawing monthly telephone reports
Handling and record keeping of daily Courier Services
Receiving, sorting and distributing daily mail and parcels
Managing visitors’ sign in and visitors’ book. Announcing visitors to staff after sign in
Keeping filing up do date
Ensuring a well maintained stationery and grocery management system
Weekly checking and reporting on boardroom crockery
Boardroom and meeting venue bookings, arranging refreshments or lunches for meetings, function organizing and accommodation/flight bookings
Taking & distributing minutes of meetings
Providing a general purchasing and account payment function to the BU in compliance with Mondi’s Corporate Governance policy & Procurement Procedures, including the managing of open orders and accruals.
Executing any other reasonable BU-specific tasks as may be necessary from time to time for the successful functioning of the area.
Checking reception first aid bag and reporting to OHP
Job Competencies / Attributes/Skills – Essential
Computer literate (MS Office) with knowledge of SAP a definite advantage
Pleasant personality with ability to interact at all levels
Excellent interpersonal skills with professional approach to all
Good administration skills
Good communication skills
Fluency in English – IsiZulu an advantage
Attention to detail
Understanding of corporate governance
Understanding of compliance to procurement procedures
Valid Driving license
