    Clinical Engineering Administrator

    • A vacancy exists for a Clinical Engineering Administrator at Life Wilgeheuwel Hospital, reporting to the Senior Clinical Engineer. The incumbent will be responsible for all administrative tasks within the Clinical Engineering (CE) Department. This job requires a well-organized, enthusiastic individual with good interpersonal and communication skills. The ability to work in a demanding environment, with high levels of accuracy and attention to detail is crucial.

    Critical Outputs

    • Maintenance of a sound filing, archiving and retrieval system of medical equipment records including medico-legal records, ensuring adherence to legal retention requirements.
    • Perform all administrative duties relating to the computerized maintenance management system (CMMS), pro-actively identifying, reporting and taking ownership of system and end-user related errors.
    • Function as the super-user for the computerized maintenance management system (CMMS), maintaining the data integrity of the CMMS and providing training for all hospital unit specific staff as and when required
    •  Participate in SHEQ procedures (OHSC Act) and Quality Management Systems, as related to the Clinical Engineering department
    • Capture all equipment and related maintenance activities accurately, and process all corrective and preventive maintenance job cards on the CMMS on a daily basis, ensuring timeous resolution of high priority faults/requests.
    • Generate and distribute CMMS reports on a regular basis to the relevant stakeholders.
    • Stock take & inventory control of critical spares, tools and equipment within the CE Department
    • Effective implementation of control registers to regulate movement of medical equipment and contractors in and out of the hospital.
    • Generate and process all capex and opex purchase requisitions on SAP timeously
    • Follow up on purchase order deliveries and invoices on a regular basis, receipt on the system, and capture all invoices for payment, maintaining an accurate spreadsheet of expenditure and accruals for the department
    • Develop a good understanding of medical equipment.
    • Provide full secretarial support to the Clinical engineering department, which entails typing of relevant correspondence and meeting minutes, compiling relevant statistics, message taking, diary management, facilitating meetings
    • Provide administrative support to the clinical engineer related to day-to-day operations, ad hoc projects, capital projects, obtaining of quotes, document control of internal and external records, coordinating and arranging of CE training sessions and workshops.

    Requirements

    • Grade 12
    • Strong computer literacy and competence in MS Office suite is essential
    • Post matric office administration related qualification would be an advantage
    • Previous experience with a computerized maintenance management system (CMMS e.g. SAP PM) would be an advantage
    • Knowledge of clinical engineering in the hospital environment would be an advantage
    • The ability to deal with confidential matters and interact professionally at all levels, both internally and externally
    • Must be customer orientated with a commitment towards continuous improvement
    • Good interpersonal skills and communication ability as well as good telephone etiquette is essential
    • Candidate to be self-motivated and self-disciplined
