    Commercial and Finance Coordinator

    Role Overview

    • We’re looking for a proactive Commercial & Finance Admin Assistant to help keep our operations running smoothly and ensure seamless execution of key initiatives. In this role, you’ll provide vital administrative support, coordinate activities across departments, and contribute to delivering world‑class customer and brand experiences.

    Responsibilities

    • Support commercial teams with related initiatives and project coordination.
    • Coordinate and manage the commercial and finance calendars, including all related events and sessions.
    • Manage the full Travel & Entertainment (T&E) budgets for commercial and finance teams
    • Assist Marketing, Sales, and Finance Directors with expense submissions to ensure timely and accurate processing.
    • Oversee applications and timely payments for corporate and petrol cards and corporate cards, including monthly reconciliations.
    • Support new employees with corporate card onboarding.
    • Assist in creating and distributing marketing materials and promotional content.
    • Support sales with Point Of  Sale Management allocation, tracking, and event preparation (brochures, banners, giveaways).
    • Create Commercial and Finance Purchase Orders and ensure timely payment of invoices.
    • Open and update vendor profiles; maintain accurate vendor lists for marketing and sales.
    • Coordinate with external vendors, printers, and agencies for marketing material production and campaigns.
    • Handle daily administrative tasks including filing, record-keeping, documentation of marketing and sales activities.
    • Manage external document warehouse storage and retrieval.
    • Track delivery of materials and services, handling order follow-ups, payment processing, and invoice administration.
    • Support logistics for sending samples, hampers, and marketing kits to customers or sales teams.

    Experience you’ll bring:

    • A bachelor’s degree is often preferred but not always required.
    • Previous experience in a similar administrative role.
    • Excellent organizational, communication, and time-management skills.
    • Proficiency in office software (e.g., Microsoft Office Suite).
    • High level of professionalism, discretion, and attention to detail.
