Office Manager at Unique Personnel

Job Description:

• Supporting Managing Director, Financial Director, General Manager and two representatives with administration
• Supporting all staff with quotations
• Handling of all spare part queries/quotations/orders/sales
• Liaising with customers on queries and orders and give frequent updates
• Ordering of spare parts from and local and international
• Liaising with suppliers on quotations and orders
• Foreign payment applications for all international orders
• Open, maintain and close job cards and present to MD for sign off
• Courier bookings
• Stock control of spare parts
• Stationery stock control
• Travel arrangements for management
• Handling off all correspondence for MD
• Manage switchboard
• Manage subordinates
• Manage office equipment
• Making sure the reception and office is clean and maintained
• Receiving of clients
• Import and export function of parts and equipment
• Monthly debtors and creditors reconciliation and preparation of payments
• Reconciliation of company credit cards, debit cards, EFT payments
• Compile and present monthly sales reports to management
• Invoicing to clients
• Receiving parts and equipment of the Sage system
• Issue monthly debtor statements
• Debt collecting
• Weekly wages of staff
• Manage and update cashflow forecast
• Office groceries purchases

Inherent Requirements;

• Matric
• Experience as an Office Manager
• Computer programs working on:
• Outlook
• Word
• Excel (spreadsheets)
• Sage One
• Experience with Patel will be beneficial
