The successful candidate will provide support and administration to ensure all Engagements, Movements and Terminations with applicable documents are integrated correctly from the HR System. Required to deal with external and internal customer queries. To maintain confidentiality of all payroll information.

What You’ll do for the Brand:
- Integration Support:
- Support Payroll Co-Ordinator with investigating and resolving queries and errors. Ensuring that all resolutions and changes are supported by approved and correct documentation.
- Data Support:
- Support Payroll Specialist (Projects and Reporting) with data match queries and resolution. Ensuring that all resolutions and changes are supported by approved and correct documentation.
- External Support:
- Responsible for communication to external parties, including but not limited to the Department of Labour/UIF – ensuring complete and accurate responses according to business policy and practice.
- Project support:
- Provide input as required.
- Team support - Standing in for absent Payroll Administrators and assisting with high volume periods:
- Ensure all New Engagements on the HR System has integrated and check all basic information and leave has been updated on the Payroll System, and matches documentation integrated or provided by HR.
- Movements – ensure changes have integrated from HR system. Global Transfers ensure correct company transfer integrated with correct date, salary, reports to and hours manager and matches documentation integrated or provided by HR. Correct leave balances carried over with previous company payslips.
- Banking Detail Changes – monitor ESS inbox daily for banking detail changes and update the Payroll System.
- All terminations have integrated from the HR System to the Payroll System. Date of termination is correct.
- Leave balances are updated before advising Payroll Supervisor to process leave encashment.
- Ensure all that all applicable documents for Engagements, Movements, Banking details changes and terminations have integrated to the Payroll System. To ensure any additional or other appropriate documents are uploaded to attachments.
- End of contracts email notifications – to ensure the appropriate and necessary action is timeously taken.
- Prepare required legislative documentation correctly and timeously i.e. UIF documentation or BCEA5.
- Applicable Custom Forms on the Payroll System is executed for Engagements, Movements and terminations to ensure all checks are done.
- Monitor the Payroll Admin Shared Mailbox for integration notifications to action and other payroll admin queries and requests e.g. Self-Service or any other payroll admin related queries.
- Monthly data clean ups to be completed accurately and timeously.
- All integration errors, quality issues or deadlines not met are logged on the Quality Alert Tracker on MS Teams and to follow through with resolution.
- Apply the internal customer experience payroll training when dealing with your internal customers.
- All internal customer queries to be logged and resolved within 24 hours.
- Adhere to all Payroll deadlines daily/weekly and monthly basis.
- Keep abreast of all changes within the Payroll department.
- Live and apply the Hollywood Group values.
- Confidentiality of all Payroll information is to be maintained at all times.
- General admin duties and reporting as required.
- Additional Adhoc functions may be required.
