Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
Manage incoming and outgoing calls, directing them to the appropriate departments or individuals.
Handle all incoming mail, packages, and courier deliveries, ensuring they reach the intended recipients promptly.
Schedule and coordinate appointments, meetings, and conference room bookings.
Maintain tidiness and organization at the front desk area, ensuring a clean and welcoming environment.
Collect and distribute mail and faxes.
Provide general administrative support, such as photocopying, filing, data entry, and maintaining office supplies.
Assist with travel arrangements and accommodations for employees or guests.
Respond to inquiries, providing accurate information, or referring inquiries to the appropriate department.
Maintain a comprehensive knowledge of the company's products, services, and personnel to effectively handle inquiries.
Required Skills and Qualifications:
High school diploma or equivalent; some college or relevant certification is a plus.
Proven experience as a receptionist or in a customer service role is preferred.
Strong interpersonal skills with the ability to communicate professionally and effectively with diverse individuals at all levels.
Excellent telephone etiquette and ability to handle phone calls with professionalism and composure.
Proficient in using office equipment, including telephone systems and computer software (MS Office Suite).
Professional appearance and welcoming demeanor.
Exceptional time management and organizational skills.
Ability to multitask and work independently or as part of a team. Fluency in English (verbal and written) is required; additional language proficiency is advantageous.
Familiarity with office procedures and basic administrative tasks.
