Responsibilities

• Reception
• Management of reception personnel
• Meeting setup
• Meeting room phone assistance
• Switchboard cover

PA support

• Dealing with correspondence and phone calls
• Booking and arranging travel, transport and accommodation as and when needed
• Liaising with staff and clients on Directors behalf as and when needed
• Typing, compiling and preparing reports, presentations and correspondence
• Managing diaries and organising meetings and appointments

Business support

• SSI score
• Meeting preparation
• Admin and printing support
• Accommodation and client reservations as required
• Travel support
• Visa application support
• Demo meeting scheduling
• Awareness campaigns
• Manage staff list and next of kin spreadsheet
• Health and safety including first aiders and fire marshals
• Post Office mail collections/ mail to be sent
• Courier support

Asset register

• Supporting finance by capturing new assets on the asset register as instructed
• Suppliers and stock
• PO process on Rubberstamp
• Managing and liaising with suppliers
• Order of groceries and cleaning supplies

Requirements

• 3 years experience in a similar position
• Experience in Legal Industry
• Excellent command of MS Suite
• Professional persona
• Discreet and trustworthy
• Strong management and people skills
• Strong negotiation skills
• Highly confident and excellent interpersonal and communication skills (oral and written)
• Excellent time management skills, deadline and target driven
• Proven track record in delivering excellent client service
• Willingness to adapt to changing business requirements
• Responsible with a strong work ethic
