RESPONSIBILITIES:
The incumbent will be responsible for:
- Providing a comprehensive and effective secretarial administrative support to the Office of the Director: Facilities Management as well as the Department of Facilities Management (comprising of 850 staff members);
MINIMUM REQUIREMENTS:
- National Diploma in Office Administration with 3 years’ secretarial and administrative experience, which includes experience in the office of a Director (Senior Management) in a corporate or higher education environment;
- Proven experience in secretarial and administrative functions;
- Use of Ms Word and Excel (advanced), PowerPoint (intermediate), Visio (Intermediate), Internet Explorer (intermediate Level);
- Certificate in MS Office: Word, Excel, PowerPoint.
- Valid driver’s licence
REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
- Ability and sophistication to interact with a wide range of entities within the university community, as well as external entities;
- Professional etiquette, discretion and the ability to maintain confidentiality.
- Written and verbal communication skills;
- Knowledge of filing systems;
- Diary and time management;
- Professional office etiquette and protocol;
- Administrative skills;
- Meeting proceedings;
- Computer skills: MS Office: Word, Excel and PowerPoint;
- Database administration;
- Good interpersonal skills;
- Ability to function independently;
- Organising/prioritising skills;
- Attention to detail.
ADDED ADVANTAGES AND PREFERENCES:
- Relevant Secretarial/Office administration degree;
- Previous experience as Management Assistant in a higher education environment with reference to support services department experience;
- Previous experience in: Web page design, tender administration, strategic support

The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
