    Senior Specialist: Contract Manager

    Job Summary

    To establish a supplier network, drafting of contracts and to ensure that formal Service Level Agreements (SLA) are in place for internal and external suppliers and ensuring that any contract gaps are addressed.

    Job Description

    Accountability: To  ensure an effective and compliant Supplier Management and Contracts environment

    • To ensure that all contracts within the BU remain executable as per the services provided through them and that they remain current, relevant and needed. To ensure that services identified as no longer required within the BU are terminated as per the contract terms and conditions, these include; early termination for convenience/breach, formal termination at expiration etc.

    • To manage validity, expiration and/or termination, in terms of contract renewals and the drafting of a new contract followed by contract reviews.

    • To ensure that all suppliers comply with industry standards and all legal and other requirements.

    • To ensure that all contracts meet Absa Legal requirements as well as those of Group Sourcing.

    • To establish a library of contractual agreements, that is up to date, available and accessible at all times.

    • To support business to ensure costs (the Spend) are contained and aligned with the agreed contractual fees.

    • To engage Business Finance for budget confirmation and planning

    Accountability: To ensure an effective SLA and OLA tracking is effectively run and maintained on an annual basis

    • To establish and ensure that the total spectrum of Service Level Requirements are in place for each Supplier, internal and external to Absa.

    • To establish a SLA with every supplier, that is documented and signed by all stakeholders.

    • To establish and obtain agreement on service level monitoring procedures and penalties, where required.

    • To establish formal procedures and rules of engagement within the SLA. To ensure that these are documented on an ongoing basis and that action is taken to resolve issues.

    • To play a central liaising role with regards to resolving problems with suppliers on an ongoing basis (outside of formal SLA monitoring).

    • To ensure that all issues are resolved within SLA timeframes and escalate where required.

    • To establish a library of supplier agreements, that is up to date, available and accessible at all times.

    Accountability: Stakeholder Management

    • To foster effective stakeholder management to be regarded as the go-to person within the BU for all Supplier and Contract related issues.

    • Continuously engage both internal business partners and external stakeholders across the Supplier and Partner Management value chain.

    • Ensure that regular engagements with the Channel Managers and Product Owners take place to ensure an understanding of their upcoming projects (inclusive of the BoW) to ensure timeous Contract and Supplier related issues are dealt with proactively.

    • Continuously support and educate business on the Supplier Management Policy (SSMP) requirements, which includes participation in business discussions in order to understand business strategy and to promote behaviour aligned to the SSMP requirements.

    • To assist business with the logging of Sourcing and Supplier Management Policy (SSMP) policy breaches and drive remediation action in line with SSMP as and when required.

     

    Accountability: Governance

    • To assist with Supplier Audits as and when required.

    • Involvement in all Supplier audits and the closure of findings and mitigation of identified risks.

    • Supplier Management Monitoring.

    • To ensure that appropriate governance is applied to Suppliers and Partners in conjunction with Procurement.

    • To oversee that an effective records management process exists and is maintained.

    • To ensure that annual and ad-hoc updates of the standard contract clauses are implemented timeously, as per Variation Agreements (VA's).

    • To ensure that the electronic contract and SLA register remains updated for all Suppliers and Partners with the BU which includes the tracking of all invoices.

    • To ensure that there is regular engagement with the respective invoice processing teams to ensure that the payments terms are met and tracked continuously.

    • To ensure compliance with the Sourcing and Supplier Management Policy and it's deliverables, and to participate in projects that are supplier related where required.

     

    Accountability: People Management

    • To manage a team of 4 direct reports.

    • To develop a capacitated team.

    • Focus on staff development by:

      • Strict application of the end to end PD process.

      • To manage the PD process for every team member according to the prescribed process.

      • Ensure that all roles within my team have an approved Role Profile in place.

      • Create a climate within the area that is fully inclusive and conducive to performance.

    • Continuously mentor the team (both direct and indirect reports).

    • Delegate tasks to the leaders in the team and support them to succeed without intervening unless there are requests to do so or lack of performance.

     

    Education and Experience Required

    • NQF Level 6 Degree in Commerce/Legal or equivalent.

    • 3 Years experience in Contract Management and Service Level Management.

    • 2 Years experience in co-ordinating and developing Legal Contracts and SLA's.

    • 2 Years experience in report writing.

    • 1 Years Managerial experience.

     

    Knowledge and Skills

    • Computer Literate (MS Office).

    • Knowledge of Service Level Management (Advanced).

    • Communication (Written and Verbal Skills).

    • Problem Solving.

    • Negotiation.

    • Management Capability.

    Education

    Bachelor`s Degrees and Advanced Diplomas: Business, Commerce and Management Studies (Required)
