Create a training schedule for employees in line with the training plan, company policy and relevant regulations;
Create folders for new recruits with required documentation;
Create user profiles and assign training to employees from training systems;
Release crew to operations once training is completed;
Monitor crew currency and license validity;
Schedule training, venues and instructors in line with the training schedule;
Distribute training material;
Confirm attendance of trainees and ensure that they are aware of training details;
Inform trainees, instructors and rosters of changes relating to training;
Provide instructors with attendance registers & other administrative documentation before training commences;
Follow up with scheduled trainees who did not attend and update rosters accordingly;
Support Instructors with ensuring that training rooms are prepped and training packs are ready;
Update the system based on training completed and ensure that expiries are captured correctly;
Inform managers of expiry dates;
Confirm training dates based on management feedback;
Ensure paperwork is completed and received for submissions;
Submit documents to SACAA;
Assist team members with duty travel bookings when necessary;
Obtain sign-off on invoices and submit invoices to finance for payment;
Monitor stationery and other training materials and initiate the order process to ensure that stock levels always meet requirements;
Print and distribute certificates;
Collect training documentation from Instructors and ensure that all training records (i.e. participant lists, employee progression and course completions) are updated accordingly;
Ensure that training documentation is accurate and meets regulatory requirements;
Prepare documentation/ training files for audit purposes and SACAA submissions;
Meet turnaround time deadlines for course administration and all training administration policies and procedures;
Compile training reports based on management requirements (attendance, evaluations etc.);
Resolve all training-related queries or refer any queries that cannot be resolved to the relevant person/ department;
Create user profiles on the training system and update the system as required;
Encourage, promote, and embody a spirit of teamwork;
Assess and optimise the performance of direct reports;
Provide specialised insights to direct reports;
Guide, support and develop direct reports.
Requirements
Grade 12 or Equivalent (Essential);
Certificate/Diploma in administration or related qualification (Essential);
3-5 years of administration experience of which at least 1 year is in a similar role (Essential);
Experience in an aviation training environment (Desirable);
Sound knowledge of MS Excel, MS Word and MS Outlook (Essential);
Knowledge and understanding of aviation training requirements (Essential);
Strong administrative skills (Essential);
High attention to detail (Essential);
Excellent organisational skills (Essential);
Ability to multi-task and prioritise in a highly deadline-driven environment;
