    Stock Controller – Live-In Employment Equity Appointment

    The Opportunity

    • Our client is seeking a highly organised, accurate and accountable Stock Controller to manage stock movement, inventory records, receiving, issuing and stock-control procedures across the lodge.
    • The successful candidate must have previous stock-control experience gained specifically within the hospitality industry, preferably within a luxury lodge, safari lodge, hotel, resort or restaurant environment.
    • The Stock Controller will work closely with the kitchen, food and beverage, housekeeping, maintenance, finance and lodge-management teams to ensure that stock is received, stored, issued and recorded accurately.
    • This role requires an individual with excellent numerical ability, strong administrative skills and the confidence to investigate discrepancies and enforce stock-control procedures.

    Key Responsibilities
    Stock Management

    • Take responsibility for the accurate control of stock across all lodge departments.
    • Monitor food, beverage, housekeeping, maintenance, operating-equipment and general consumable stock.
    • Maintain accurate stock records and ensure that all stock movements are documented.
    • Monitor stock levels and identify shortages, overstocking and slow-moving items.
    • Ensure that minimum and maximum stock levels are maintained.
    • Conduct regular spot checks and scheduled stock counts.
    • Assist with weekly and monthly inventory counts.
    • Reconcile physical stock against system and manual stock records.
    • Investigate stock discrepancies, variances, losses and unexplained movements.
    • Report material stock variances to lodge and finance management.

    Receiving and Verification

    • Receive stock deliveries from suppliers.
    • Verify delivered goods against purchase orders, invoices and delivery notes.
    • Check quantities, quality, packaging, expiry dates and product specifications.
    • Reject damaged, expired, incorrect or substandard goods in accordance with company procedures.
    • Record all received stock accurately on the relevant system.
    • Ensure that delivery documentation is signed and filed correctly.
    • Communicate discrepancies to suppliers, purchasing personnel and lodge management.
    • Coordinate the return or replacement of incorrect or damaged goods.

    Stock Issuing

    • Issue stock to the kitchen, bar, restaurant, housekeeping, maintenance and other departments.
    • Ensure that all stock issued is supported by an authorised requisition.
    • Record departmental stock issues accurately.
    • Prevent unauthorised access to storerooms and stock areas.
    • Monitor departmental usage and identify unusual consumption patterns.
    • Follow up on incomplete, inaccurate or unauthorised requisitions.
    • Ensure that emergency stock issues are properly recorded and approved.

    Storeroom Management

    • Maintain clean, organised and secure storerooms.
    • Ensure that all stock is labelled, categorised and stored correctly.
    • Apply first-in, first-out stock-rotation principles.
    • Monitor expiry dates and identify items approaching expiry.
    • Ensure that food, beverages, chemicals and maintenance products are stored separately and safely.
    • Monitor storeroom temperatures and storage conditions where required.
    • Restrict storeroom access to authorised employees.
    • Ensure that storeroom keys and access controls are managed responsibly.
    • Report pest-control, safety, security or maintenance concerns promptly.

    Food and Beverage Stock Control

    • Monitor food, beverage, wine, liquor and bar stock.
    • Assist with bar, kitchen and cellar stock counts.
    • Reconcile beverage issues, transfers, returns and breakages.
    • Monitor high-value and high-risk stock items.
    • Review wastage, spoilage, complimentary items and breakage reports.
    • Assist with investigating food and beverage cost variances.
    • Work closely with the Head Chef and F&B management team to monitor usage.
    • Ensure that stock transfers between departments are properly recorded.
    • Support portion-control and waste-reduction initiatives.

    Purchasing and Supplier Coordination

    • Assist with preparing stock orders based on approved levels and operational requirements.
    • Monitor outstanding purchase orders and expected deliveries.
    • Liaise with suppliers regarding delivery times, shortages and discrepancies.
    • Support management in obtaining competitive pricing and suitable product alternatives.
    • Maintain updated supplier and product information.
    • Assist with reviewing supplier performance and delivery accuracy.
    • Ensure that purchasing procedures and approval requirements are followed.

    Systems and Administration

    • Capture stock receipts, issues, transfers and adjustments accurately.
    • Maintain complete and organised stock documentation.
    • Process invoices, delivery notes, credit notes and supplier returns.
    • Assist with invoice verification and three-way matching.
    • Prepare stock reports, variance reports and usage reports.
    • Maintain accurate filing systems for all stock-related documentation.
    • Assist with month-end stock procedures and financial reconciliations.
    • Provide supporting information for internal and external audits.
    • Ensure that stock records are updated within the required timeframes.
    • Protect confidential financial, supplier and company information.

    Cost Control and Loss Prevention

    • Support the lodge in maintaining approved stock and operating-cost targets.
    • Identify potential stock losses, misuse, theft, over-ordering and wastage.
    • Recommend improvements to stock-control procedures.
    • Monitor high-value stock and sensitive inventory items closely.
    • Ensure that write-offs and stock adjustments are properly authorised.
    • Participate in investigations relating to stock shortages or irregularities.
    • Promote accountability for stock usage across all departments.
    • Assist management with implementing corrective controls.

    Health, Safety and Compliance

    • Ensure that stock is stored according to health, safety and hygiene requirements.
    • Maintain safe storeroom access and clear walkways.
    • Ensure that chemicals and hazardous materials are handled and stored correctly.
    • Report expired, contaminated or damaged stock immediately.
    • Ensure compliance with food-safety and environmental procedures.
    • Follow all company policies relating to procurement, receiving and stock control.
    • Support responsible waste-management and sustainability practices.

    Requirements
    Minimum Requirements

    • Matric or Grade 12.
    • A certificate or diploma in Stock Control, Purchasing, Hospitality Management, Finance, Supply Chain Management or a related field would be advantageous.
    • At least three years’ relevant stock-control or inventory-management experience.
    • Previous stock-control experience gained specifically within the hospitality industry is essential.
    • Candidates without hospitality stock-control experience will not be considered.
    • Previous experience within a luxury lodge, safari lodge, hotel, resort or restaurant environment would be highly advantageous.
    • Experience controlling food, beverage, housekeeping and general operating stock.
    • Experience conducting physical stock counts and investigating variances.
    • Experience with receiving, issuing, purchasing and supplier documentation.
    • Sound understanding of food and beverage stock-control procedures.
    • Strong numerical and reconciliation skills.
    • Good computer literacy, including Microsoft Excel and stock-management systems.
    • Strong administrative and record-keeping capabilities.
    • Willingness to relocate and reside on-site.
    • Willingness to work according to the lodge’s structured work cycle.
    • Ability to work weekends and public holidays when operationally required.
    • A valid South African driver’s license would be advantageous.

    Ideal Candidate Profile

    • The ideal candidate will be an experienced hospitality Stock Controller who understands the operational demands of a lodge, hotel or resort environment.
    • They must be comfortable working with food, beverage, housekeeping, maintenance and operating-equipment stock and must understand how inaccurate stock control can affect service delivery, profitability and guest satisfaction.
    • The successful candidate will be highly organised, trustworthy and willing to take ownership of inventory accuracy. They must have the confidence to question discrepancies, follow up on missing documentation and ensure that employees comply with established stock procedures.
