    Call Centre Agent (Temporary) (JHB North)

    OBJECTIVE OF ROLE 

    • Call a Pharmacy, Dispensing Doctors, Clinic database to communicate our products in the OTC portfolio. 

    KEY RESPONSIBILITIES

    • Calling on customers (Pharmacies, Dispensing Doctors and Clinics)
    • Timeous communication of back in stock products to realize a sale.
    • Communicate new launches, campaigns and any communication regarding brands.
    • Maintain a call schedule on pharmacies.
    • Maintaining a database (customer list) of Pharmacies and Clinics.
    • Monthly reports for sales order taken by customers/brand/SKUs.
    • Record all feedback on customers and feedback to relevant person.
    • Retain customers by providing world-class service.
    • Responsible for the correct use of Repwise call logging system to allow for report generation that will enable management to make proactive decisions for improved service. 

    CUSTOMER SERVICE 

    • Deliver customer service excellence across all customer queries regarding OTC Brands.
    • Take full responsibility for providing feedback and closing all calls received
    • Handling of all query-types across all call center contact points; to sales of brands and ensure routed to the correct person.
    • Use customer service knowledge to handle difficult customers and make sure that each customer’s problem is solved or propose solutions where applicable. 
    • Demonstrate good knowledge of Aspen-specific services and products with the ability to discourse clearly and easily on all products
    • Answer all calls using professional telephone etiquette.
    • Deals effectively with others in antagonistic situations, using appropriate interpersonal styles and methods to reduce tension or conflict.
    • Sourcing information to close all calls.
    • Escalate calls to the applicable person, or to Supervisor where necessary.
    • Communicate and distribute relevant feedback.
    • Build, establish and maintain open lines of communication with OTC Marketing, other areas of the company to facilitate problem solving.
    • Handling all customer orders for products within SLA.
    • Picking up all voicemail messages, logging calls and returning the customer query within SLA.

    Requirements
    EDUCATIONAL REQUIREMENTS 

    • Matric / Grade 12
    • Project/Business Management or Finance Diploma or Degree
    • Computer literate (Microsoft Excel and Word). 

    KNOWLEDGE & EXPERIENCE REQUIREMENTS 

    • 2 - 3 year exposure to in outbound call center

    Finance Lead: Central Finance (Port Elizabeth)

    Description
    Job purpose

    • Oversight and management of the accounting and reporting functions.
    • Oversight of the implementation and management of accounting controls within the unit
    • Ensures accurate and timeous reporting in line with requirements of the strategic plan, company policy and IFRS

    Responsibilities

    Planning: Policies & Systems

    • Manage financial accounting systems, ensuring data integrity and confidentiality.
    • Develop, review, and manage the implementation of aligned and compliant financial policies and procedures.
    • Delegate, control and review authorization levels and system access for transaction processing. 

    Financial Management

    • Oversee validity, accuracy, and completeness of financial information.

    Audit & Risk Management

    • Highlight concerns and risk items, ensuring timeous mitigation.
    • Facilitate the development and management of the risk register and ensure that mitigation steps are implemented.
    • Coordinate internal and external audits, ensuring integration of the external team and the Aspen team.

    Unit Management

    • Provide technical and operational input during drafting of unit strategy and operational objectives.
    • Guide operational planning and advise on prioritization of activities.
    • Provide input into budgets and resource requirements for the unit.
    • Request and allocate assets and resources for the fulfilment of work objectives and monitor their use.
    • Provide unit staff with day-to-day direction and tasks.

    Requirements
    Skills Required

    Background/experience

    • 6 to 8 years’ working experience in a financial management environment.
    • Experience in a manufacturing environment and in the management of staff.
    • BCom degree in a financial field

    Specific job skills

    • Computer literacy: proficiency in Excel, Word, Powerpoint, and a fully integrated ERP system.

    QC Team Leader (East London)

    Description
    Overview

    • Manage and co-ordinate lab preparation and QC activities. Manage and co-ordinate sampling and testing of external environment. Provide analytical, maintenance and QC lab support. Ensure continuous compliance of lab with GMP standards. Ensure that products are produced, tested, and stored according to the required SOPs and documentation. Performance management and of direct reports.

    Responsibilities

    Planning and Section Management

    • Provide input into operational planning of section, and prioritisation of objectives.
    • Provide input into, interpret, and execute policies and procedures.
    • Provide input into and manage budgets and resource requirements for section.
    • Provide section staff with day-to-day direction and tasks. 

    QC Lab Testing

    • Manage and monitor compliance of QC lab testing activities to GMP, quality standards and product specifications.
    • Manage and co-ordinate lab preparation activities according to SOPs (samples, working area(s), PPE, and lab equipment.)
    • Prepare and implement maintenance and calibration schedules and records.
    • Ensure set priorities and targets are achieved, identifying constraints and solutions.
    • Investigate and report Out of Specifications (OOS).
    • Enforce Good Lab Practice. 

    Environmental Management

    • Manage and co-ordinate sampling and testing of external environmental, according to SOPs and sampling plan/schedule.

    Lab Quality Reviews & Training

    • Validate batch documentation approvals.
    • Review and approve corrections in batch documentation.
    • Identify and coordinate training of staff of SOPs.

    Deviations Investigations

    • Manage and coordinate deviation investigations and reporting.
    • Coordinate and initiate risk/ impact assessments and plans to address quality deficiencies.
    • Manage implementation of operational changes to SOPs and processes.

    Governance, Risk and Compliance

    • Provide input to QC for improvement of risk-based compliance systems.
    • Monitor implementation and correct own and / team compliance with legislation, policies and procedures.

    Requirements
    Skills Required

    Background/experience

    • Bachelor’s degree in chemistry / microbiology with 5 years of related experience.
    • Laboratory and Good Laboratory Practice experience.
    • Supervisory experience.

    Production Pharmacist (East London)

    Description
    Overview

    • Monitor manufacturing compliance to GMP and statutory requirements
    • Monitor adherence to guidelines, procedures and document controls
    • Deliver expected productivity targets as per business requirements

    Responsibilities

    Planning and Procedures

    Inspections and Verifications

    • Perform, review and approve batch reconciliations to product specifications and quality
    • Ensure production process adherence to standards and specifications

    Process and System Improvements

    • Manage, review and approve change control programs and deviations/ concessions comply to standards and specifications
    • Manage and resolve customer complaints

    • Drive CAPA investigations in area of focus

    Compliance and Auditing

    • Perform and review shift GMP checks, environmental checks, and agent expiry dates, and ensure continued compliance

    • Verify the identity of bulk product and printed packaging materials, and conduct intermix checks to assess uniformity
    • Verify IPCs are in line with product quality and specifications
    • Review and approve preliminary batch records

    Troubleshooting

    • Investigate deviations and concessions, and assess risk
    • Raise deviations and implement corrective action
    • Raise maintenance notifications as and when required 

    Training and Technical Expertise

    • Train new Pharmacists and PMAs on SOPs in transition period
    • Identify refresher or awareness training needs

    Administration and Record Keeping

    • Complete batch records and labels
    • Complete deviation forms as required
    • Query documents and sign off declarations
    • Perform and verify calculations in BMR
    • Maintain and update records and systems as required
