    Customer Service Representative | MedTech | Cape Town

    Job Description

    This position will report to the Customer Support Manager.

    Area of Responsibility

    • Processing of orders received through Orderwise, Surgicom and email within our Service Level Agreement of 24hours;
    • Liaising with customers telephonically and on email;
    • Dealing with Sales Consultants regarding queries, requests, sales orders, kits etc.;
    • Releasing back orders, should it be requested;
    • Sending invoices of consignment orders received to the customer and the Sales Consultant;
    • Replace consignment stock used to customer;
    • Action movement of stock when collection/delivery was arranged;
    • Allocating stock for orders;
    • Preparing pro-forma invoices;
    • General administrative duties including regular filing;
    • Arranging collections and deliveries by completing the required template and sending it to Logistics to arrange;
    • Following up on collections and delivery requests;
    • Obtaining the necessary approval for credits to be passed;
    • Credits and re invoices to be done on the same day;
    • Booking out kits if required;
    • Assisting with after hours emergency call if required;
    • Removing consignment items invoiced from QWIX;
    • Investigating errors on QWIX transfers done by Sales Consultants;
    • Checking stock availability for Sales Consultants;
    • Applying transfers on QWIX;
    • Generating quotes 
    • Invoicing Government orders and invoice according to tender pricing;
    • Generating ROE list and submitting ROE’s monthly;
    • Removing and Invoicing items from WIP;
    • C6 Replenishment weekly.

    Requirements

    Qualifications

    • Grade 12 (Matric) is a minimum requirement;
    • A tertiary qualification would be a definite advantage.

    Experience required

    • Previous experience in Customer Support of at least 3 years is essential;
    • Experience in a Medical Environment preferable
    • Strong Communication Skills;
    • Managing consignment stock 
    • Coordinating stock transfers between hospitals
    • Medical device Industry background
    • Arranging overnight and same-day deliveries
    • Familiarity with the Orderwise and Surgicom platforms
    • Billing and replacing consignment stock
    • Loading orders for purchased stock
    • Following up with customers and representatives on delivery notes and orders
    • Processing stock transfers for consignment movements
    • Checking stock availability (advanced Excel skills are essential)

    Skills and Competencies

    • Proficiency in MS Office, specifically Excel (advanced); MS Word and Outlook is essential;
    • Proficiency in Syspro; (advantageous)
    • Excellent communication skills (verbal and written) especially in English;

    Job Description

    • This position reports directly to the Managing Director. 

    Areas of Responsibility:

    Support product strategy & vision:

    • Support the development and execution of the product strategy for clinical pathology.
    • Define and maintain a product roadmap in alignment with market needs and corporate objectives.
    • Conduct market research to identify customer needs, industry trends, and competitive landscape.

    Compliance & regulatory requirements:

    • Ensure that the product meets relevant regulatory standards.
    • Work closely with regulatory affairs teams to navigate product certifications, quality control processes, and compliance with medical device regulations.
    • Maintain awareness of healthcare standards and guidelines to ensure the product adheres to safety, efficacy, and quality requirements.

    Customer & market focus:

    • Assist Sales Consultants to network & develop relationships with new customers and to manage existing customers.
    • Build and maintain relationships with healthcare professionals, including pathologists and clinical leaders, to understand their needs and gather feedback on product performance.
    • Attend all applicable National & International Congresses.

    Cross-functional collaboration:

    • Partner with sales, marketing, and service teams to ensure that product messaging, training, and support are aligned with customer expectations and product capabilities.
    • Support Admin staff to ensure stock rotation.
    • Assisting the Tenders & Quotes department with all queries on specifications.

    Product lifecycle management:

    • Oversee the product lifecycle from start to finish and post-launch updates, ensuring the product stays competitive and addresses emerging technological and customer needs.
    • Control stock levels.

    Product performance monitoring:

    • Use performance feedback and analytics to drive product iterations and updates, ensuring continued product relevance and improvement.
    • Address any post-launch issues related to product quality or usability, coordinating with customer support teams for resolution.

    Strategic project implementation:

    • Serve as the relational bridge between customer and the division’s internal departments.
    • Support the competitive win strategy through successful execution of large-scale projects.

    Financial & business outcomes:

    • Oversee the product’s financial performance, ensuring it meets profitability targets while maintaining competitive pricing within the healthcare market.
    • Assisting Sales team in achieving budgets by driving sales.

    Launch strategy:

    • Collaborate with the marketing and sales teams to develop product launch strategies, including go-to-market campaigns, product training, and customer support.
    • Support sales efforts with product knowledge and materials, ensuring sales teams are equipped to sell the product effectively.

    Risk management & issue resolution:

    • Proactively address challenges related to customer adoption, ensuring smooth transitions during product implementation and training.
    • Ensure product upgrades and improvements are well-managed and communicated to existing customers

    Training & support:

    • Ensure that the Sales Consultants receive adequate training and support for the correct use of the products as well as in the latest products and product differentiators.

    Requirements

    Qualifications

    • A Grade 12 certificate as a minimum requirement.
    • Tertiary qualification in related field advantageous.

    Experience required

    • Fluent in English, verbal and written;
    • 3-5 years experience in a clinical laboratory environment preferred;
    • Proven track record in project implementation and large project rollouts within the IVD market;
    • Previous management experience advantageous;
    • Sound Regulatory knowledge;
    • Clinical & product knowledge beneficial.

    Technical Sales Consultant - Cloud Storage/AWS | Johannesburg

    PURPOSE OF JOB

    • Our client is seeking a highly motivated Technical Sales Consultant to join their team. This role combines technical expertise with sales acumen to deliver tailored document management solutions to prospective clients.
    • The ideal candidate will work closely with sales teams, solution architects, and technical specialists to design, present, and implement scalable solutions that meet customer needs. As well as developing and delivering technical sales presentations, and identifying sales opportunities to meet sales targets.

    Pre-Sales Support:

    • Collaborate with sales teams to understand customer requirements and develop technical solutions.
    • Conduct detailed technical presentations, demonstrations, and workshops showcasing document management systems.
    • Prepare proof-of-concept (POC) setups to validate proposed solutions.

    Solution Design

    • Analyse customer workflows, systems, and business challenges to architect suitable document management solutions.
    • Create solution proposals, system architectures, and technical specifications that align with client needs.
    • Work closely with internal teams to ensure proposed solutions are feasible and align with company offerings.

    Technical Expertise

    • Experience in solution architecture and developing technical documentation.
    • Sales-oriented mindset with the ability to understand and align technical solutions with business objectives.
    • Familiarity with compliance standards related to document management (e.g., GDPR, HIPAA, POPIA).

    Preferred Qualifications

    • Bachelor’s degree in Information Technology, Business, or a related field.
    • Experience with enterprise document management platforms (e.g., SharePoint, Open-Text, On-Base, DocuWare, M-Files, Laserfiche).
    • Certification in document management or imaging technologies is a plus.
