    Administrative Officer

    Duties/Pligte        

    • Providing administration and financial support to the IT management and staff.
    • Administrating and processing items for procurement as logged and delegated via the SU internal logging system, including obtaining quotations from service providers when required, goods receipts and payment.
    • Monthly reconciliation and payment of the IT credit card.
    • Processing staff and student expense reimbursements.
    • Requesting and administrating for new vendor registration on the University's creditors system.
    • Checking compliance of transactions and processes with IT and the University's policies.
    • Handling enquiries from and liaising with vendors, IT staff, IT senior management and other support environments, with a strong focus on finance and procurement.
    • Coordinating registration and payment for IT staff training and workshops as approved by the IT management.
    • Completing annual staff training reports submitted to HR.
    • Paying the commitments that are due monthly (from contracts and tenders).
    • Closing recons of listed expense items monthly to ensure that information is available for quick decision making.
    • Processing and administration of monthly asset transactions, write offs, corrections, transfers and in transit requests.
    • Conducting and coordinating the annual IT asset certification process.
    • Responsible for maintaining the database / electronic filing of all IT contracts and tenders.
    • Requesting and coordinating supporting documentation required for licence and subscription renewals.
    • Assisting with the preparation of information required for reporting purposes or the annual budget processes.
    • Preparation of journals for corrections on cost centres, transfer of funds between cost centres, or refunds for projects completed by the Network Infrastructure team.
    • Handling enquiries from and liaising with staff, students, service providers and the public.
    • Assisting with monthly and financial year end processes.

    Job Requirements/Pos Vereistes        

    • A financial diploma (at least on a level NQF 6), or administrative diploma (with accounting as part of the qualification), or equivalent qualification.
    • Four years' relevant working experience in finance and office administration.
    • Computer proficiency in Excel, MS Word and Outlook.
    • Excellent verbal and written communication skills.
    • An independent, responsible, problem-solving, and collaborative working approach.
    • The ability to work as part of a team and providing peer support.
    • Sound judgement and strong interpersonal skills, with the ability to interact with diverse individuals.
    • Exceptional customer service orientation.

    Accountant: Information Technology

    Duties/Pligte        

    • Providing financial advice and support to IT management and divisional staff.
    • Handling enquiries from and liaising with vendors, IT staff, IT senior management and other support environments, with a strong focus on finance and procurement
    • Providing support to functional areas within IT by streamlining financial processes and finding financial solutions for problems arising due to changes within the SU environment.
    • Managing and delegating procurement requests and other enquiries logged via the IT Finance logging system, for the rest of the IT Finance team.
    • Monitoring the daily procurement and other activities for compliance with financial policies and procedures.
    • Compiling financial management reports on a continues basis and for specific decision-making purposes.
    • Analysing information of cost centres and accounts, process correction journals, and checking monthly recons required of specific listed expenses used in management decision making.
    • Managing month end processes, including financial commitments (payments) as per contracts and tenders, specific IT creditor recons, campus wide services where the financial management responsibility lies within IT, and ensuring that all contract and tender documentation are updated and electronically filed.
    • Reviewing and capturing journal requests.
    • Cash flow and fund management to cover payments for the specific month/quarter, and ensuring that cost centre budgets are not overspent.
    • Managing the IT annual asset certifications, monthly asset management processes (new procurements, write-offs, in-transit), and financial year-end processes.
    • Assisting with compiling financial related reports for the SU Finance Committee.
    • Compiling financial information required as part of the annual budget process for the various environments within IT, and being responsible for the completion of various year-end financial processes.
    • Assisting with the administration process regarding changes in IT's financial structure, new systems, processes and maintenance of the names of managers responsible for cost centres on the financial system.
    • Documenting processes used within the IT Finance team to ensure business continuity and to provide guidance to the rest of the IT staff on processes when services are requested.
    • Presenting formal and informal internal workshops and programmes to communicate financial policies and systems when required.
    • Supporting other IT Finance team members and providing team training or transfer of knowledge in areas where improvement is required.

    Job Requirements/Pos Vereistes        

    • Bachelor's degree in accounting or equivalent qualification (with accounting as major).
    • At least five years' proven relevant experience with specific inclusion of financial management and financial accounting.

    Academic Coordinator (Post Level 8)

    Duties/Pligte        

    • Coordinating the design, implementation and evaluation of all academic renewal tasks and projects for the Faculty.
    • Coordinating, driving and administering academic renewal funding opportunities.
    • Planning, coordinating and co-facilitating the Science Learning and Teaching Day and regular science-related academic renewal workshops and training sessions.

    Talent and Culture Coaching

    • Strategic Coordination of Coaching Programme by Prioritising Leadership Roles

    Job Requirements/Pos Vereistes        

    • Qualifications: Bachelor's degree in HR, Industrial Psychology, Organisational Development, or related field. Accredited (or in process) with a recognised coaching body (ICF, COMENSA, EMCC) and completion of an accredited coaching programme.
    • Experience: At least 100 hours of coaching practice, plus five to seven years' HR/OD experience, including leadership development and work in relevant complex and/or higher education environments.
    • Skills: Strong stakeholder management, organisational and project coordination, analytical reporting, vetting of coach credentials, facilitation, and excellent communication.
    • Knowledge: HR/OD expertise with professional understanding of coaching practice, ethics, and standards.
    • Registration: Active or in-process registration with ICF, COMENSA, or EMCC.

    Associate Professor/Senior Lecturer in English First and Second Language Education
