    Caretaker: Halls (Pine Valley): (REF: COM 111)

    Salary: R 174 862.03 per annum (Post Level T6 of a Grade 4 Municipality)

    Requirements:

    • Grade 12
    • Computer literate (MS Applications)
    • 2 Years of relevant experience in a similar environment.
    • A valid Code EB Drivers' licence
    • Good human relations, interpersonal, and communication skills.
    • Ability to give attention to detail and ability to work under pressure.
    • High level of responsibility and ability to handle conflict.
    • Must be fit and healthy to carry out duties.
    • Good eyesight, hearing, and speech ability, and must be mentally fit and able to do the work.
    • Ability to move, lift, and carry reasonable weights with respect to furniture during cleaning operations.
    • Fluent in at least 2 of the 3 languages spoken in the Western Cape, Afrikaans, English, or IsiXhosa.

    Duties:

    • Receive instruction from the immediate superior on bookings scheduled for the hire of the Hall
    • Verify that all requirements for the preparation of the Hall have been received
    • Issue instructions to the immediate subordinates to commence with preparations after ensuring the Hall has been cleaned
    • Complete a checklist of various items of importance to be in a good functional condition
    • Report any visual damage found after functions to the immediate superior to be deducted from deposits
    • Keep a record of all assets in the Hall and provide statistics to the immediate superior for budgetary reasons
    • Ensure that all monies have been paid by lessees before allowing function preparations to continue
    • Conduct inspections of the Hall prior to functions with the person renting the Hall prior to handing over the Hall
    • Conduct a follow-up inspection upon receiving the Hall back
    • Report any breakages found after functions to the immediate superior for further action
    • Check all the items in the Hall and toilets to be in good working order
    • Inform the immediate superior of any maintenance or repair work to issue Instructions for repairs and maintenance to be carried out
    • Conduct checks to ensure the outside area surrounding the hall is well-maintained and free of litter
    • Liaise with the immediate superior regarding functional feedback and solving problems
    • Discuss function requirements with private persons, organizations, and instances renting the Hall
    • Provide information regarding requirements from the Council for booking of the Halls
    • Discuss the available equipment with Lessees and stipulate the conditions attached to it
    • Liaise with subordinate staff regarding preparations to be carried out
    • Communicate information to people making enquiries about leasing the Hall for functions
    • Keep and maintain a filing system for all application forms for Hall rent
    • Ensure that all monies due have been fully paid for the rent of the Hall
    • Compile and submit reports on the functional operations carried out at the Hall
    • Sign the rental funds and submit them to the immediate superior to allow/disallow the refunding of deposits
    • File all correspondence for easy reference and possible future use
    • Reply to the immediate superior on any written queries and complaints received
    • Give instructions to the Worker to carry out cleaning and maintenance duties at the Halls
    • Inspect the stacking of tables and chairs to ensure It is safe and neatly stacked
    • Check on areas inside the Hall parameters for papers and cleaning work, and request the subordinate to perform the actions of cleaning and maintaining the grounds
    • Refer all leave applications to the immediate superior for consideration and possible temporary replacements
    • Ensure that subordinates are well-informed and understand the instructions given

    Requirements:

    • BCOM Degree (NQF Level 7) in the field of SCM.

    • Control and coordinate the work sequences established to render a public service.

    • Translating municipal documents such as: Reports, Letters or any other documentation in at least two of the official languages of the Western Cape.
    • Translate recommendations and summaries of items that served before Council and its Committees.
    • Forward translation requests electronically, via e-mail or telephonically.
    • Proofread all translations prior to dispatching back to the requestor and typing of translated documents.
    • Translate PowerPoint slides for public participation.
    • Ensure the successful implementation of the municipal language policy by liaising and communicating with other municipalities regarding language issues.
