    Fitness Instructor

    • Reporting to the Fitness Manager, the incumbent will work as an individual in a team environment to drive the success of Maties Gymnasium and the overall organisation.

    Duties     

    • Assisting members in completing various health and fitness assessments, including body composition analysis.
    • Completing various sport-specific testing, using, amongst others, Vald Force Decks, T-Apex and Enode testing equipment.
    • Prescribing effective exercise programmes and advice to members, depending on the individual needs of the member.
    • Teaching floor and studio-based exercises set to music (30-minute express classes).
    • Correcting exercise techniques where and when appropriate and providing alternative exercises to members based on their needs.
    • Solution-driven and assisting members in solving any queries that may arise from time-to-time.
    • Establishing, maintaining and growing sound, positive relationships with fellow staff and organisational departments, suppliers, vendors, tenants and gym members.
    • Ensuring that all weights and equipment are neatly and correctly stored and accessible at all times.
    • Ensuring that members adhere to the various access control processes.
    • Ensuring ethical, honest and responsible conduct at all times.
    • Ensuring adherence to Occupational Health and Safety regulations, gym rules and organisational policy and procedures at all times.
    • Performing all necessary administrative functions for the position.

    Job Requirements

    • Relevant qualification in fitness (diploma or similar).
    • At least two years' experience in the fitness industry.
    • Good computer skills (Microsoft).
    • Good attention to detail.
    • Excellent written and verbal communication skills.
    • The ability to thrive in a team within a diverse work environment.
    • Good conflict management skills.
    • Willingness and availability to work after hours and on weekends.

    Recommendation

    • A degree in Sport Science will be distinctly advantageous.
    • Experience in strength and conditioning, either in a team or individual setting.
    • Willingness to actively engage in continuous learning by enrolling in formal courses/ workshops as required by the gymnasium

    Senior Business Systems Analyst

    • The Senior Business Systems Analyst serves as a liaison between the SU Product Owners (PO) and the software vendor team to identify, define and translate development requirements to support the business processes. The incumbent will play a key role in bridging the gap between business needs and technical solutions. Working closely with product owners, developers, and testing teams, the Senior Business Systems Analyst will analyse complex systems, define requirements, and support the design and implementation of user-focused solutions. In addition, the Senior Business Systems Analyst will aid in the development cycle of new or changed business requirements after go-live, including enhancements and change requests.
    • The role will involve working on multiple capabilities in an Agile team environment. The Senior Business Systems Analyst will be required to apply an advanced level of creativity, flexibility and adaptability in the methods and techniques used to complete work.

    Duties
    Requirements analysis and documentation;

    • Translating business needs and requirements into user stories with acceptance criteria and detailed system specifications.
    • Communicating these needs clearly and effectively to both business and technical stakeholders.
    • Refining a steady backlog of requirements that are ready to go into sprints for the Scrum team, in collaboration with the PO.
    • Collaborating with cross-functional Agile teams to refine requirements during sprints.
    • Assessing impacts of new requirements or changes on existing systems and workflows.

    System design and solution alignment:

    Working with developers to design technical solutions that align with business goals.

    • Supporting testing teams in defining test cases and acceptance criteria.
    • Assisting the testers and POs in system functional testing and facilitating the user acceptance testing.
    • Ensuring that proposed solutions are feasible, scalable, and compliant with industry standards.
    • Developing and maintaining system diagrams, data flow models, and interface documentation.
    • Applying a high degree of initiative and creativity.

    Collaboration and Agile support:

    • Acting as a liaison between business stakeholders and development teams.
    • Participating in Agile ceremonies such as sprint planning, backlog refinement, daily stand-ups, reviews, and retrospectives.
    • Assisting in backlog refinement and prioritisation with product owners and developers.
    • Supporting the day-to-day needs of Scrum teams in understanding customer and business requirements.
    • Working independently with minimal supervision while contributing effectively in a cross-functional Agile team.

    Strategy and planning:

    • Assisting with the planning, designing, and development of new applications and enhancements to existing applications.
    • Meeting with decision makers, systems owners, and end users to define business requirements and systems goals, and identifying and resolving business systems issues.
    • Aligning actions, designs, specifications and initiatives to the Institutional Strategy and IT action plans.
    • Reviewing and analysing the effectiveness and efficiency of existing systems and developing strategies for improving or further leveraging these systems.

    Digital transformation:

    • Identifying opportunities for improving the effectiveness and efficiency of institutional software solutions.
    • Implementing best practices and innovative solutions to enhance system performance and user satisfaction.
    • Staying abreast of industry trends and emerging technologies to ensure the University's IT solutions remain current and competitive.

    Job Requirements/Pos Vereistes        

    • NQF 7 qualification (e.g. bachelor's degree) in computer science, information systems, or a related discipline with at least five years' experience in the field of business systems analysis, OR
    • NQF 6 qualification (e.g. diploma) in computer science or related discipline with at least eight years' experience in the field of business systems analysis.
    • Experience of working as part of a Scrum team following Agile software development methods.
    • Experience in systems implementation and support function in higher education.
    • Must be self-starter that can take agency and pick up roles within an Agile team.
    • Strong analytical and problem-solving skills.
    • The ability to manage multiple tasks and prioritise effectively in a fast-paced environment.
    • Strong verbal and written communication skills.
    • Proficient organisational and critical thinking skills.
    • Strong understanding of business analysis.
    • Experience of working in Agile / Scrum environments.
    • Knowledge of the software development lifecycle (SDLC).
    • The ability to develop and deliver presentations.
    • Teamwork and interpersonal skills.
    • Skills in fact-finding, data collection and data analysis.
    • Business process and technical / data modelling.
    • The ability to lead and facilitate meetings and workshops.
    • Proficiency in service management tools such as JIRA or similar.

    Recommendation

    Administrative Officer

    Duties
    Administrative Support to the Head of the Department (HOD):

    • Diary management for the HOD.
    • Managing the departmental calendar in accordance with the University and Faculty calendars.
    • Meeting coordination for the HOD and departmental meetings.
    • Documentation preparation, including drafting and editing memos, letters, announcements, reports, agendas, and preparing and distributing accurate minutes of the meetings.
    • Acting as the primary liaison between the HOD and all internal and external stakeholders.
    • Keeping accurate filing records of departmental documents, data and statistics.
    • Assisting with coordinating the submission of the annual report to Faculty.

    Financial administration and budget control:

    • Timeous and efficient execution of financial administrative tasks related to the daily functioning of the Department and in line with Stellenbosch University's financial policies, including processing requisitions, issuing requisitions, placing orders and receiving goods, processing departmental bursaries, ad hoc payments, and interacting with debtors and creditors.
    • Managing cost centres of academic staff and researchers in the Department.
    • Using the University's financial system to enter and extract financial data, and a thorough understanding of the Department's cost centres and accounts.
    • Acting as internal liaison with SU's divisions of Purchasing and Procurement, Financial Services and the Vehicle Fleet.
    • Responsible for all administrative and financial tasks regarding arrangements for national and international travel, accommodation and conference attendance for academic staff (with compliance to SU policy).

    Administrative support:

    • Receiving visitors, interacting with students, the effective management of email and telephonic enquiries.
    • Maintaining an effective filing system of departmental documents.
    • Providing secretarial and administrative support to academic staff members and implementing undergraduate and postgraduate administration.
    • Handling undergraduate teaching and assessment administration.
    • Handling the departmental postgraduate administration.
    • Administering and scheduling activities for the Department of Chemistry and Polymer Science (scheduling meetings and planned activities, events coordination, monitoring and managing diaries, taking minutes during meetings, etc.).
    • Compiling financial statements, memoranda and other relevant documents as needed.
    • Coordinating effective internal communication with departmental staff and students.

    Job Requirements/Pos Vereistes        

    • At least five years' secretarial and/or administrative experience.
    • Knowledge and experience of financial, administration and information systems.
    • The ability to liaise appropriately and effectively with individuals at all levels, both within and outside the University.
    • Proven intermediate to advanced computer  proficiency in the use of the Microsoft Office package (Word, Excel, PowerPoint, Outlook and Teams). Shortlisted candidates will be  required to complete an applicable proficiency assessment.
    • Excellent verbal and written communication skills in English.
    • The ability to work under pressure without compromising accuracy.
    • Outstanding interpersonal skills.
    • The ability to work independently as well as in a team.
    • Excellent organisational skills, and the ability to adhere to deadlines.

    Recommendation

    • A post-matric secretarial or administrative qualification (or equivalent experience).
    • A general working knowledge of scientific terminology.
    • Prior experience of administration work at a higher education institution.
    • Prior experience with Stellenbosch University's online systems (SUNLearn, STEMLearn, SUNStudent, SUNFin, etc.).
    • An excellent spoken and written command of Afrikaans.
