    Legal Advisor

    Description

    The purpose of the role is providing legal advisory services and ensuring effective management of legal and contractual risks. 

    Provide legal advice to clients.

    • Receive the legal file and advise on appropriate action.
    • Monitor the progress on the cases.

    Deal with cases where tenants take legal action against CPA.

    • Receive the legal file and advise on appropriate action.
    • Handle the matter relevantly appropriate and provide advice.

    Dispute resolution and litigation.

    • Receive the legal file and advise on appropriate action.
    • Settle and negotiate dispute where possible.
    • Monitor the progress on the case and report back to the Board on significant legal cases.

    Ensure and monitor compliance with relevant regulations governing CPA and its clients.

    • Identify and prioritizing the most relevant current, proposed an impending legislation and if (and to the extent) that these are found to have an impact on the company, the development and implementation of controls to minimize the compliance risk (for example implanting standard operating procedures or processes, manuals and policies).
    • Identify and assess changes in the existing regulatory framework.
    • Monitor and report non-compliance to management of the company and where appropriate, the Board.
    • Recommend corrective measures or steps to ensure compliance.
    • Monitor compliance through the adequacy and effectiveness of control measures to actively monitor and manage the company’s compliance with relevant legislation on a continual basis.
    • Report to organisational committees of Octodec and CPA, when required.
    • Create awareness with employees and training them on the finer aspects of the regulatory requirements.

    Provide professional advice to the Human Resources Department.

    • Provide legal advice to the Human Resources Department on labour matters.
    • Act as initiator for all disciplinary enquiries.
    • Provide all the administrative support for the disciplinary hearings.
    • Represent the company at all CCMA cases.

    Provide legal services for all commercial documentation.

    • Draft and review all legal agreements.
    • Provide legal resolutions on all commercial matters.
    • Provide legal support in all acquisitions and sales of buildings.
    • Ensure all properties are registered successfully.
    • Review and liaise with the Property Managers on all bank guarantees.

    Ensure professional support and legal advice, drafting and advising on documentation

    • Advise on and drafting of “deal specific” clauses, agreements, and correspondence.
    • Assist with queries and interpretation of existing lease documentation.
    • Interpret lease agreement and resolve queries on interpretation issues.
    • Draft standard lease agreement, annexures, addendums, and the like.

    Requirements

    Qualifications & Experience:

    • LLB Degree required.
    • At least 3 years’ post admission experience; ideally in a leading organisation, with a proven track record in contract negotiation and drafting.
    • Admitted attorney required.

    Skills & Knowledge Required:

    • MS Office:
      • MS Word – Intermediate
      • MS Excel – Intermediate
    • Excellent verbal and written communication skills.
    • Knowledge of the legislation and regulatory laws required.

    Draughtsman

    Description

    The purpose of the role is to create and maintain leasing and technical drawings and related documentation based on specifications and calculations.

    Surveying

    • Surveying of buildings on-site (Re-measurement of Commercial, Residential & Industrial sites).
    • Generate CAD drawings files from site sketches.
    • Calculate rentable area from CAD drawings and ensure accuracy.
    • Tidy-up drawings, add titles, notes and sizes and plot drawings onto formal CPA title block.
    • Effectively manage internal requests received through the centralized mailbox.

    Verification Verify layout of buildings on-site against existing plans.

    • Update existing CAD drawings from site sketches and re-calculate rentable areas.
    • Allocate and measure usable areas on office plans (CAD).
    • Calculate rentable areas from CAD in accordance with SAPOA method.
    • Compile neat rentable area sheet for updating MDA.
    • Generate leasing plans for leasing purposes.

    Admin & Soft Skills

    • Ensuring accuracy and completeness of all measurements and calculations.
    • Attention to detail and accessibility to complete work on internal public folders.
    • Indexing and filing of building correspondence on shared drive for use by internal staff.
    • Building and maintaining relationship with colleagues.
    • Assist with council related requests e.g., obtaining approved plans.

    Ad hoc

    • Pro-actively assist in draughting/updating drawings for office extension, building revamps, etc.,
    • Train and mentor other staff in the department as needed.
    •  Assist OHS officer with health and safety drawings

    Working conditions:

    • Site based with extensive local travelling will be required.
    • Need to be medically fit to perform the duty.

    Requirements

    Qualifications & Experience:

    • Matric qualification required.
    • 0 - 2 years’ experience in office administration required.
    • Post school qualification in AutoCAD required.
    • Post school certificate in Architecture preferred.
    • Code 08 Drivers License required.

    Skills & Knowledge Required:

    • MS Office Skills:
      • MS Word - Basic
      • MS Excel – Intermediate
      • MS Outlook – Basic
    • Intermediate knowledge of AutoCAD required.
    • Knowledge of SAPOA area of measurements required.
    • Basic Knowledge of MDA preferred.

    Administrator: Parking

    Description

    The purpose of the job is to ensure that the administration function is adhered to in line with the policy and procedures of the parking department.

    Administration of Parking leases

    • Ensure that parking leases are completed, signed and all in order.
    • Ensure that the parking lease cancellations and addendums are correctly completed and that all Terms and Conditions of the parking leases are properly signed.
    • Ensure that all supporting documents (e.g. ID copy, proof of residence etc.) to the parking lease are in order.
    • Check the completeness and accuracy of the parking lease / notice to vacate documentation and complete instruction for IT to capture lease / terminate and vacate lease.  
    • Ensure that all access control applications, issuing of tags and cancellations are done timeously and correctly to eliminate illegal access and loss of income.
    • Complete CSV files for IT to upload where applicable.

    Manage building and tenant access control.

    • Ensure that all parking tenants are enlisted on the centralized access control system to ensure that the integrity of the access control system is maintained at all times.
    • Issue access tags to parking tenants
    • Attend to all queries relating to the access control system.
    • Cancel all access tags where a parking tenant has vacated.
    • Auditing of parking sites to ensure accuracy and resolve findings timeously.

    Ensure all customer queries are attended to timeously. 

    • Increase customer satisfaction by attending to tenant calls immediately.
    • Attending to tenant queries in a friendly and professional manner.
    • Ensure that all customer queries are resolved timeously (i.e. interdepartmental interaction, Freshdesk, etc

    Working conditions

    • Office Based. 
    • Travel essential with own transport required.

    Requirements

    Qualifications & Experience:

    • Matric qualification required.
    • Administrative related qualification preferred.
    • Customer Relations experience required.

    Skills & Knowledge Required:

    • Basic verbal and written communication skills required.
