    Creditors Clerk (Fourways)

    Description

    • The Creditors Clerk is responsible for ensuring accurate and timely processing of supplier invoices, reconciliations, and payments, while maintaining strong internal controls over accounts payable (AP) and related stock transactions.
    • This role supports accurate financial reporting, assists in stock verification processes, and builds effective relationships with suppliers and internal stakeholders.

    KEY RESPONSIBILITIES

    Accounts Payable

    • Verify that all goods received match supplier invoices and purchase orders or contract terms.
    • Capture, code, and process supplier invoices accurately in the ERP system.
    • Perform regular supplier reconciliations, investigating and resolving discrepancies promptly.
    • Prepare and process payments in line with agreed payment terms.
    • Maintain accurate supplier records and update changes promptly.

    Stock & Invoice Matching Controls

    • Coordinate with the warehouse team to ensure that deliveries match purchase orders and agreed terms.
    • Identify and report discrepancies or non-conformities to management.
    • Perform spot checks on stock balances against ERP records to detect and address anomalies.
    • Support monthly, cyclical, and annual stock counts by verifying quantities and documentation.

    Reporting & Reconciliation

    • Prepare daily, weekly, and monthly AP status reports for management.
    • Highlight any variances between ERP records and physical stock, and follow up on resolutions.
    • Support month-end close by ensuring all supplier invoices and credit notes are captured and reconciled.
    • Assist with preparing journals for AP-related adjustments.

    Controls & Compliance

    • Adhere to company policies, IFRS guidelines, and internal control procedures.
    • Assist in improving AP processes and internal controls to enhance efficiency and accuracy.
    • Maintain proper classification and coding of ledger entries.

    Supplier & Internal Relations

    • Build and maintain positive supplier relationships through timely communication and resolution of queries.
    • Collaborate with procurement, warehouse, and finance teams to resolve any AP or stock-related issues.

    Ad-Hoc Support

    • Assist the Finance Team with projects and tasks as required.

    Requirements

    Requirements:

    • Finance/Accounting diploma or equivalent.
    • Minimum 2–3 years’ experience in accounts payable, preferably in a retail or FMCG environment.
    • Experience using ERP systems.
    • Strong understanding of AP processes and basic stock control principles.

    Skills:

    • Strong attention to detail and accuracy.
    • Good analytical and reconciliation skills.
    • Effective communication and relationship-building abilities.
    • Ability to work under pressure and meet deadlines.
    • Proficiency in MS Excel and other Microsoft Office applications.

    Assistant Finance Manager (Fourways)

    Purpose of the role

    • The Assistant Finance Manager will support the Finance Manager in managing the company’s end-to-end finance function, ensuring efficient day-to-day financial operations, compliance with accounting standards, and delivery of accurate financial information.
    • The role includes hands-on involvement in transaction processing, month-end closing, and cash flow management, while also providing leadership to the finance team and partnering with operational managers to drive profitability in the retail environment.

    KEY RESPONSIBILITIES:

    Day-to-Day Finance Operations

    • Oversee daily financial processes including invoicing, payments, receipts, reconciliations, and petty cash management.
    • Monitor banking activities and ensure sufficient cash flow for operational requirements.
    • Ensure proper capturing and recording of all transactions in the ERP system.
    • Resolve finance-related queries from internal departments and external stakeholders promptly.

    Financial Reporting & Month-End

    • Prepare and review monthly management accounts, ensuring accuracy and completeness.
    • Support the Finance Manager with budget preparation, forecasts, and variance analysis.
    • Ensure all balance sheet reconciliations are completed and reviewed monthly.
    • Assist with year-end financial statements and audit preparations.
    • Be the lead on External and Internal Audits.

    Compliance & Governance

    • Ensure compliance with IFRS, company policies, and statutory obligations (VAT, Income Tax, etc.).
    • Implement and maintain strong internal controls to safeguard company assets.
    • Prepare documentation and liaise with auditors during internal and external audits.

    Retail Financial Operations

    • Monitor store-level performance reports, including sales, gross margins, and operating costs.
    • Analyse trends in shrinkage, wastage, and inventory variances, recommending corrective action.
    • Partner with store managers and operations teams to improve cost efficiency.

    Leadership & People Management

    • Lead, coach, and develop the finance team to achieve departmental goals.
    • Conduct performance reviews and identify training needs.
    • Ensure effective work allocation and continuity during absences.

    Strategic & Project Support

    • Assist in financial modelling and business case development for retail projects.
    • Lead system developments, improvements and automation initiatives.
    • Provide ad-hoc financial analysis to support operational decision-making.

    Operational Performance

    • Uphold strict and effective quality measures within the business ensuring that the requirements of relevant legislation are always met, eg VAT, BEE, etc.
    • Ensure that if there are internal or external escalations, that the escalations happen as quickly as possible and with all relevant information.

    Requirements

    Qualifications and Experience:

    • Completed Accounting or Finance Degree.
    • Completed SAICA articles (eligible to register as CA(SA) advantageous).
    • Minimum 3 years’ post-articles experience (Retail or FMCG preferred).
    • Demonstrated experience managing a finance team.
    • Strong knowledge of IFRS and South African tax legislation.

    Skills you bring:
