    Section 13A Administrator – Liquidations and Terminations

    Role Overview:

    • The purpose of this role is to leverage specialized expertise to analyze and interpret data, identify trends, and deliver practical solutions that improve processes and enhance customer satisfaction. The role involves troubleshooting challenges within the team or business, performing quality assurance, and ensuring effective stakeholder management through timely communication, feedback, and client support.

    Key Responsibilities

    Specialist Requirement: The role of the Section 13A Liquidations and Terminations Administrator is to:

    • Manage the end-to-end process of Liquidations and Terminations process and ensure submission of requirements and completion as per SLA
    • Maintain the employer details and manage any changes as and when notified
    • Manage the cleanup of employer’s data on our administration system for reconciliations SAPS and OPFA cases as well as excess LPI clearing and allocation
    • Assist with the cleanup of an employer’s statement of account – when requested to do so
    • Assist with any other ad-hoc projects delegated
    • Manage weekly end to end SAPS/OPFA submissions to the fund for lodging as per agreement and update all relevant parties and departments

    Team Support

    • Be able to work independently with minimal supervision.
    • Build and maintain supportive relationships both internally and externally.
    • Accept accountability and take responsibility for any work done or allocated.
    • Action any other responsibilities allocated by the manager / team leader.

    Client Relations

    • Attend to all email and telephonic enquiries both internal and external.
    • Assist internal and external service providers
    • Applying the rules, policies and administration procedures of different funds in accordance with the Company standards or service level agreements
    • Follow through and provide client with on-going feedback until enquiry is resolved – where applicable.
    • Support a positive and responsive climate for client enquiry resolution.
    • Action all escalated enquiries within 24 - 72 hours.

    Time Management

    • Must have excellent time management.
    • Manage work outflow timeously
    • Flexible and ability to work under pressure and multitask
    • Ensure that the SLA’s are adhered to

    Section 13A Administrator - Compliance

    Purpose of Role:

    • The purpose of this role is to ensure compliance with Section 13A of the Pension Funds Act by monitoring employer contribution payments, identifying and investigating non-compliance, and implementing appropriate corrective actions. The role is responsible for analysing contribution data, engaging with employers, participating employers, and relevant stakeholders to resolve compliance matters, maintaining accurate records, and ensuring statutory reporting requirements are met. The role also provides guidance on legislative requirements, supports risk mitigation initiatives, and contributes to the effective administration and governance of retirement funds through proactive stakeholder engagement and compliance monitoring.

    Responsibilities:

    • Responsible for the daily uploading of the bank statements and the linking of the deposits received within agreed upon timeframes
    • Responsible for monitoring of unidentified deposits and ensuring that, as far as possible, these are moved from unidentified to identified
    • Responsible for the preparation and calculation of the following recons requested from the Compliance Officer, the Fund’s Legal Service provider or any other interested party:
    • Section 13A Recons
    • Responsible for the preparation of the recons for compliance certificates and requesting outstanding information needed for compliance

    • Provide assistance to Employers where necessary

    • Assist with any other ad-hoc projects delegated.

    Qualifications and Experience:

    • Matric with Mathematics/Accounting
    • Excellent command of English

    Essential Knowledge, skills and Experience

    • At least 3 years experience in similar position
    • Employee Benefits/Retirement Fund industry experience is essential
    • Everest experience will be advantageous
    • Intermediate MS Excel skills

    Front Office Administrator

    Role Overview:

    • The role involves ensuring quality assurance on documents and assessing claim legitimacy. Key responsibilities include initiating new claims, following up on outstanding payments, addressing member queries, providing guidance on fund benefits, and coordinating with service providers to ensure timely claim processing.

    Key Responsibilities:

    Walk-in members

    • Receive members and help them with submission of claim.
    • First ensure that the member is a member of the Fund
    • Ensure that the member is not still employed in the industry
    • Check that the contributions are up to date
    • Check that all claim documents are available:
    • Claim documents are completed, signed and stamped by both employer and member
    • Copy of ID is available and clear
    • Copy of bank statement is available and clear
    • Valid Tax number for the member
    • Advise member if there are any discrepancies regarding the membership or any of the above.
    • Help member to understand what the member needs to do.
    • Attend to members and beneficiaries who are submitting and following up on their claims (withdrawal, funeral, disability, death, unclaimed benefits, retirement, trust fund)
    • Ensure that the member’s claim has the necessary documentation and attachments according to type of claim.
    • Escalate claims that are outside the service level agreement.
    • Advise member of any outstanding documentation or what will affect the delay of the claim.
    • Advise members who come to enquire about their membership on their status
    • Where a member has shown proof that they were employed and the employer has not paid, refer to the relevant CLO/MCLO for further investigation.
    • Provide members with benefit statements, contribution history and quotations where available.
    • Educate members on benefits of the fund and process.
    • Provide a daily report to the manager for consideration and review.

    Reporting and Admin

    • Submit daily and weekly reports.
    • All claims and documents to be uploaded and indexed on Everest/EPIC system used by Salt.

    Relationship Management

    • Strictly adhere to the rules and policies of the Fund, legislation, administration procedures and service level agreements.
    • Maintain and improve quality results by adhering to standards and guidelines; recommend improved procedures.
    • Attend internal and external training required.

    Time Management

    • Excellent time management.
    • Flexible and ability to work under pressure and multitask.

    KPI's

    • No quality assurance failures on new claims submitted.
    • Feedback from members, colleagues and employers on employee performance.
    • All claims initiated on EPIC will have complete documents and ready for processing.
    • Unpaid claims outside of SLA timeframes that have been escalated for payments.
    • Unattended claims with proof of escalations.
    • Identified discrepancies between work done by yourself and your colleagues.
    • Members assisted are correctly captured and reported.
    • Timeous reports on employer engagements.
    • Reports provided daily without any errors.
