    IT Support Specialist - Vital

    Role Outline

    • Provide technical support for software, hardware, and network issues, ensuring system performance and service continuity. The role focuses on managing the IT budget, supporting the rollout of a bespoke ERP/WMS system (with the finance module already implemented), and enhancing operational efficiency across departments. A strong understanding of warehouse operations, transportation, and contract logistics to support WMS and TMS integration. To co-ordinate functions to maximize utilization - productivity and customer service. Internal service delivery - on time - accurately.

    Key Tasks

    • Provide first line support for users, systems, and applications, including network and hardware troubleshooting, process explanations, and training for warehouse-related functions
    • System & Application Support - first level support and network problems
    • User Access & Security - manage user accounts, permissions, profiles, and password resets
    • Network Support – basic support for LAN/WAN, Wi-Fi, and VPN connectivity issues
    • Strong technical knowledge of Windows OS, MS Office Suite, networking fundamentals, and ERP/WMS/TMS systems, with proficiency in Excel (advanced formulas, pivot tables, data modelling)
    • Solid understanding of warehouse functions, transportation, and contract logistics, with familiarity in common integration methods (e.g., file transfers, APIs) advantageous
    • Oversee the IT budget, ensuring efficient allocation, expenditure tracking, and alignment with organisational objectives
    • Manage user accounts, permissions, and digital assets
    • Support network operations (LAN/WAN, Wi-Fi, VPN) by liaising with service providers to resolve performance issues
    • External Service Providers - work with SP’s to troubleshoot and resolve performance issues
    • Monitoring and reporting – monitor application software and suggest improvements where needed
    • Project Support – participate in IT projects including software rollouts, upgrades, and migrations
    • Assist in the testing and implementation phases
    • Utilize Excel for data preparation, analysis, and decision-making to support IT and operational initiatives, while recommending software improvements to management
    • Handle IT service requests, repairs, inquiries, or complaints, alongside general administrative duties
    • Refer to requests for IT services, repairs, support, inquiries or complaints
    • Contribute to IT projects, including software deployments, upgrades, and migrations, collaborating with system developers to refine WMS and TMS solutions
    • Managing digital assets with Finance
    • General month end functions

    Qualifications & Experience
    Education:

    • Matric
    • Diploma/Degree in Information Technology or related field
    • Industry certifications are advantageous

    Experience:

    • 5 -8 Years experience
    • Proven experience in IT support or helpdesk role
    • Strong knowledge of Windows OS, Microsoft Office Suite, data analysis and networking fundamentals
    • Familiarity with ITSM ticketing systems (e.g., ServiceNow, Jira, Freshdesk)
    • Good problem-solving and analytical skills.
    • Excellent communication and interpersonal abilities.

    SHERQ Specialist

    Role Outline

    • Execute health, safety, quality, risk and environment plans and processes to provide employees a safe and healthy work environment.
    • Implement health and safety frameworks and standards, ensuring compliance and adherence to internal and external safety standards, quality standards and relevant regulations.
    • Recognize and mitigate potential workplace hazards, unsafe equipment, work practices and working conditions within the workplace and external environments.
    • Undertake inspections of grounds, facilities and premises, analyse and suggest corrective measures to reduce the risks of injuries and job-related threats.
    • Draft reports and conduct investigations on job-related injuries and fatalities, quality nonconformities and determine measures to avoid any reoccurrence.
    • Prepare and examine records of workplace injuries, illness and absences, identify areas of concern and provide information required by regulatory agencies.
    • Conduct investigations for accidents, identify cause for accidents with engineers, management and health and safety regulatory authorities and prevent their recurrence.
    • Participate in development of solutions for the transportation of hazardous material.
    • Coordinate orientation activities and daily inspections in the operations facilities, grounds and administrative areas, changes in lay-out and installation of new equipment in order to meet safety rules and standards.
    • Draft training material and content, and train employees on SHERQ protocols and safety-conscious work performance.
    • Establish contact and relations with key stakeholders from larger community and law enforcement bodies impacting own work area.
    • Study and resolve issues in day-to-day health, safety, risk, quality and environment operations and execute practices focusing on increasing effectiveness and efficiency.

    Key Tasks

    • Manage and maintain ISO 14001, ISO 45001, ISO 22001, and ISO 13485 standards, including all regulatory requirements associated with the Quality Management System (QMS).
    • Establish and coordinate Safety Committees and compliance meetings.
    • Implement and maintain Quality Management standards, including ISO 9001 and Good Warehousing Practices (GWP).
    • Maintain all quality documentation (Quality Manuals, SOPs, Work Instructions, Forms) in line with GWP requirements.
    • Lead and manage CAPA, Change Control, Supplier Management, and Training Programmes in compliance with GWP.
    • Oversee contract service providers (Pest Control, Cleaning Services, Temperature Monitoring) to ensure compliance.
    • Ensure full implementation and adherence to client quality standards.
    • Capture and report safety and quality incidents on the approved platform (LOGICS).
    • Support safety inspections and audits (internal and external).
    • Drive implementation of the Global Safety-First Rules and Driving Safety Rules within the workplace.
    • Provide safety awareness and training to employees.
    • Maintain effective communication with site management and employees on safety matters.
    • Support incident and accident investigations and reporting to site and country management.
    • Apply Behaviour-Based Safety techniques to engage employees.
    • Validate Hazard and Near Miss incidents within LOGICS.
    • Implement and manage the Business Continuity Management (BCM) strategy at site level.
    • Support site management in maintaining and executing the BCM plan.
    • Ensure compliance with DPDHL and DSC BCM standards.
    • Maintain, review, and update the site BCM plan regularly (minimum every 6 months).
    • Conduct BCM testing and support audits as required.
    • Ensure all BCM events are captured in LOGICS within required timelines.
    • Oversee technical plant installations, maintenance, and facility management activities.
    • Conduct and support facility inspections and maintenance processes.
    • Manage contractors and suppliers during maintenance activities and site interventions.
    • Provide training and guidance to Site Facility Coordinators on supplier management.
    • Monitor and control maintenance costs and facility budgets.
    • Maintain proper records and archiving systems for supplier documentation.
    • Conduct SHERQ induction and training for employees, contractors, and visitors.
    • Liaise with third-party contractors, clients, and customers on quality matters.
    • Ensure regular safety inspections (including Gemba walks) are conducted.
    • Develop and maintain a Document Control System.
    • Manage deviations, including reporting and sign-off.
    • Maintain training matrices and conduct training needs analysis.
    • Ensure audit readiness and proper record-keeping for internal audits.
    • Drive continuous improvement through CAPA implementation and monitoring.

    • 2–3 years Logistics / Warehouse experience (Essential).
    • Ability to work effectively in a physically demanding environment. 
    • Computer literate, with proficiency in MS Office. 
    • Ability to use own initiative and work independently.
    • Experience in environment, health & safety and quality departments.
    • Experience working across multiple sites (preferable).
